Holy Family Catholic School SystemBoard of EducationMinutes of Board MeetingFebruary 26, 2019The regular meeting of the Holy Family Board of Education was held on Tuesday, February 26, 2019 at 6:30p.m., in the LaSalle Library. There were sufficient numbers so that a quorum existed. Ted Francois led the group in prayer.Members present- Koleen Janney, Kelly Fulton, Ted Francois, Kris Pilcher, Fr. Vu, Fr. Nienhaus, Fr. Murphy, and Fr. Glaser.Administration Present- Zachary Zeckser and Janet WhitneyAdministration absent- Jamie LarsonCall to Order-Kelly Fulton called the meeting to order at 6:35 pm.Changes to the Agenda-Item 7.11 Staffing Reduction was added to the agenda. An Executive Session took place after the regular board meeting. Fr. Nienhaus made a motion to accept the changes and Ted Francois seconded it. All voted in favor to approve the changes to the agenda. Next Board Meeting-The next Holy Family Board of Education meeting will be held in the LaSalle Middle School Library on Tuesday, March 26, 2019 at 6:30 p.m. Approval of the Board of Education December 2018 Meeting Minutes-There were no changes to the December 2018 Meeting minutes. Koleen Janney made a motion to approve the minutes and Fr. Vu seconded the motion to accept the minutes. All voted in favor. Approval of the budget for 2018-2019-January financial report was reviewed. Fr. Glaser made a motion to accept the January financial report. Fr. Nienhaus seconded the motion. All voted in favor. Old Business:6.1 HVAC – Both proxies approved – Brecke coming to calibrate pneumatics.Not moving forward just yet. A couple of thermostats have been replaced in a few rooms so far and seeing how that goes. 6.2 – Gala updates Gala want well, very enjoyable and the team did a great job. Overall it made more than in 2018. Financially it was a big win despite lower enrollment. Approx. $60K income (minus expenses). Fund a need went well. 6.3 Securing LaSalle Student EntranceInstalling old camera at student entrance for students that go in that door. Kids will buzz in at that door too.6.4 Still seeking Janitor2 interviews have been given. Trying to save some money and to cut out $5000 from the budget. It’s hard to save money if the school is paying the janitor $15/hr. 6.5 Top 20 visit and update for future planningSnowed out – facetime session with staff – good fee back from teachers. Another Zoom session at Xavier in the next few weeks. After those it goes life after first session.New Business: 7.1 Catholic Schools Week events/promotions/marketing.Tour from St Patrick’s is coming. Catholic Schools week was an overall win. Fr. Vu had more people waiting around after the weekend masses. More interest at all parishes it seemed like this year. Seemed more positive and enthusiastic this year. 7.2 Enrollment this yearPreschool looking good. Kindergarten has at least 14 families but budgeting for 28. Transfers are going well. Need to make up difference between 8th graders leaving and kindergarteners coming in. Administration confident the goal will be met. 7.3 Teacher evaluations and staff reviewsMr. Zeckser is completing those currently and they are going very well. The next few months will be busy.7.4 Preschool survey and data planningIt presented a clear picture of 2 year childcare after results. It should fill up pretty quickly due to the interest from the survey. One big aspect of the program was that it presents a Catholic sense of community.7.5 PA Chocolate SalesSold all the chocolate that was given to the school did a fantastic job this year by selling so fast people were asking for more chocolate after it was sold out. Awesome job!7.6 Recent chats with Dottie Gierut and plan for tech updates (Wifi and laptops)E-rates provide money back for what the school does and uses with electronics. It will help to double the WiFi speed. Looking into putting more Wifi in each room. Replacing laptops in next few years. A few will be replaced this year. 7.7 Gift to support differentiated reading program “Raz Kids”Donation given from a family for “Raz Kids”. It would buy 2 years of the reading program for K-8.7.8 Communication with Xavier and Mt. Mercy about student partnershipsPossible coaching and education programs for Xavier or Mt. Mercy students. Looking at creating internships for students at Holy Family.7.9 Janet Whitney updateCatholic Schools Week was full of many activities. Had to miss a few days off school due to weather, but things turned out well for the time they had. LaSalle’s Pancake Breakfast served 500 people and the Celebrate LaSalle event turned out awesome. Twenty- Five 8th graders and twenty 7th graders participated in Speech Showcase. LaSalle students looking forward to the Speech Festival at Xavier this year. LaSalle completed winter assessments for literacy and math in FAST screenings. Goal was to have 80% of the students reach the benchmark. Did not achieve that this screening and will continue to have MTSS with our GWAEA consultants to work on universal instruction and tier support.Begun implementation of the new State of Iowa Assessment. Complete practice tests over the next few weeks and will give our actual assessments during the month of April. All 5-8th grade students will complete these online for ELA and Math. 5th and 8th graders will also complete a science assessment.Our 7-8th grade students took part in the Xavier High School Choral Festival. Due to weather the Xavier Band Festival was cancelled this year. A few band students attended the Marion Honor Band and Young Musicians Honor Band over the last few weeks.CenterStage Show Choir will have their first performance at Jefferson HS on March 1st. Also will perform at Xavier High School on March 2nd and West Delaware on March 15th.On Feb. 4th Theresa Detert had 9 students involved in Math Counts competition. The LaSalle team placed 3rd overall and had 3 students advancing to the state level competition on March 29th at DMACC.Kelly Giese took 5 girls to Collins Aerospace for Introducing a Girl to Engineering on Thursday, Feb. 21st. Now in Wresting season and have 30 wrestlers on the LaSalle/Regis team. After spring break we will begin our track and soccer seasons.Girls on the Run program has begun for this spring and held at LaSalle Middle School. Brady Hoffmann is leading the group of 3-5th graders.ELP program has begun. Students have been identified and meeting as a group. The reading and math ELP students will meet on Tuesday/Thursdays during LEAD time.During the Professional Development Day on Monday, Feb. 25th the faculty at Holy Family continued their learning on Top 20. Learned the importance of making mistakes and failure and that we are all confused at times as we learn. The Archdiocesan professional development days on standards in math and science were cancelled due to our numerous missed days of school. We will have Cedar Rapids police officer do professional development on safety issues at school and will train us in Run, Hide, Fight.Teachers are preparing for Parent/Student/Teacher conferences that will be on March 11 and 14 from 4-8 pm. The conferences at the LaSalle building will be student led.We will begin our 2019 Lenten journey next week. Our project this year will be the Sister Water Project. We will be raising money that will go toward bringing clean water to people in Honduras. The LaSalle building is having weekly collections and numerous incentives like elimination tournaments and taping Mr. Z to the wall. 7.10 2019-2020 CalendarBoard went over the tentative calendar. Ted Francois made a motion to approve the calendar with some changes to dates. Koleen Janney seconded the motion. All voted yes.7.11 Active Threat door platesThe school was informed by the fire marshal that the plates need to be removed by March 7th due to safety issues. Mr. Z is looking in to what can be done per other resources.7.12 Staff ReductionPer Archdiocesan Policy #4111.22, The Holy Family Board of Education requests the administration to conduct a review of staffing needs for the 2019-2020 school year. If necessary, as per policy, staff reduction recommendations must be made no later than the regular March board meeting. Fr. Nienhaus made a motion to accept the policy. Fr. Glaser seconded the motion. All voted in favor.7.13 Change of benefits for administratorsChief of administration has the right to change the benefits for administrators for the 2019-2020 school year. Fr. Nienhaus motioned to accept the change. Fr. Mark seconded the motion. All voted ics for future agenda:8.1 Any tabled itemsMotion to adjourn:Fr.Nienhaus made the motion to adjourn the meeting. Fr.
