Main Purpose of the Job:1.The post holder will be responsible for providing administrative services to the Academy as part of the main office team.5. Main Responsibilities of the Job:Student Data1.Maintaining and utilising an up-to-date SIMs database on all personal student data.2.Working closely with the Personal Development Lead Teacher collating and inputting student data relating to destinations.? Forwarding this information to outside agencies as required.3.Provide administration support for the Personal Development Lead Teacher, including maintenance of destination data as required by the DfE.4.Reporting on relevant student data throughout the year, including (but not limited to) data returns.5.Responsible for the organisation and smooth running of pupil photographs, liaising with photographers as necessary. Taking photographs throughout the year for staff ID badges and new pupils.6.Uploading and downloading secure data from S2S, including CTF files.7.Inputting Year 7 data on to SIMS under the direction of the Office Manager.8.Ensuring tutor evacuation lists are produced and distributed when required.General1.Responsible for completing tasks within deadlines in the Admin@ e-mail account to a professional standard under the supervision of the Office Manager.2.Adhering to the behaviour management policy when dealing with pupils.3.Being aware of GDPR and other legislation to ensure the confidentiality of records and information is maintained.4.Undertaking any other duties which may reasonably be regarded as within the nature of the duties and responsibilities/grade of the post as defined, subject to the proviso that normally any changes of a permanent nature shall be incorporated into the job description in specific terms.Shared Responsibilities of the Job:1.Providing clerical support for the Heads PA, assisting with the organisation of school public functions, Governor elections etc.2.To work as part of the main office team ensuring that all duties are covered at peak times.3.Assist with the Office@southwolds e-mail account and SchoolComms.4.To be present in school for the examination results days during the summer holidays.5.To support with the smooth running of the reception area, including but not limited to dealing with parent queries, distributing personal items and messages to pupils and delivering telephone message from parents and staff.6.Answering telephone queries, the appropriate directing of calls and relaying telephone messages.Person SpecificationEssentialDesirableGCSE A – C (or equivalent) in English and MathsYesAwareness of child protection and safeguarding policiesYesExcellent communication skillsYesThe ability to prioritise conflicting demandsYesThe ability to work alone or as part of a teamYesGood computer skills (Word, Excel, Powerpoint, Email and Internet use)YesThe ability to prioritise and manage your own workload using initiative and independence.YesThe ability to maintain confidentialityYesAwareness of GDPRYesExperience of working in a school / college environmentYesFamiliarity with school softwareYesThe South Wolds Academy is committed to safeguarding and promoting the welfare of children and young people and expects all staff and volunteers to support the school in the delivery of this.All staff must have the right to work in the UK and will be subject to a DBS check prior to taking up appointment. ................
