Creating a Digitized Signature for Signing Letters Using Adobe Pro

AR 25?50 directs that digital signatures (CAC) will not be used on letters (para 3?6c(2)(b)); however, electronic signatures that are not secured via DoD Common Access Card, such as digitized signatures (for example, a digital image of a handwritten signature) may be used on letters (para 1?17). Letters have always been signed by hand, or in some cases, by autopen. The previous version of AR 25?50 (2013) allowed for digital signatures on memorandums, but not letters. In the current telework environment, we have provided a way to manage signing letters via a digitized signature. Although the digitized signature has been authorized to facilitate routine letter correspondence, a wet signature is recommended for high-level government addressees, international dignitaries, and other executives, or when a personal tone is appropriate. As we move to a fully electronic environment, this practice should continue even after we migrate back to our work spaces. The following pages provide instructions for preparing a letter and the proper placement of a digital date and the instructions for creating and placing a digitized signature using Adobe Pro.

Individuals who sign letters:

Sign your name on white paper and scan it. Email it to yourself and drag to your desktop (save as a PNG). You will only need to do this once, keeping your digitized signature on your desktop for future use.

Prepare the letter, and when final, save as a PDF, enabling All Features. Select Tools, then Prepare Form.
