Summary

This document contains detailed installation instructions for PROFITstar®, PROFITability®, Profitstar Suite™, PROFITstar® Portfolio, and PROFITstar® Budget Manager.

With the assistance of the Installation Wizard, the installation of these products is a straightforward process. Remember that for all types of installations, the person actually installing the software must have “Administrator” rights.

To find the instructions you need for a specific type of installation, refer to the Contents list on page 3.

Important Considerations

Prior to installing any of these products, you and your network administrator are strongly encouraged to review these instructions and the other white papers listed in Appendix B concerning the system and hardware requirements and antivirus scanning suggestions.

In addition, before attempting to install our products, it is important to be aware of the following key points:

General

▪ Although it is possible for clients running any version of 2005 or later to move up to the newest version of the 2009 edition, it is a recommended best practice not to skip major release versions when upgrading. For example, if you are currently running a 2007 version of the software, you are encouraged to upgrade to the 2008 release before moving to the 2009 edition. Installation files for 2007, 2008, and 2009 can be found in the Client Area of our website.

▪ If Microsoft® .NET Framework, version 2.0, files are not detected on a machine being targeted by the installation, the program will attempt to download the necessary files from Microsoft’s website.

If any of these “server” or “client” machines do not allow a connection to the Internet, the .NET Framework files will need to be downloaded on another PC and then manually installed on the appropriate machine(s).

Server-related issues

▪ Two Windows® services—the Profitstar Server and the Advantage Database Server (ADS)—are installed on the server PC. The Profitstar Server service relieves the client PCs of some of the heavier data processing duties.

▪ Non-Windows operating systems—such as Novell Netware and Linux—are not supported.

▪ The Share and Security permissions for all PROFITstar users, as well as the local System account, must be set to Full Control for the root data directory (C:\PSData by default) and the nested subdirectories (PS, PA, Common, and PMData).

▪ The person installing the server components (ADS and the Profitstar Server) must have “Administrator” rights.

▪ DFS-managed folders cannot be used for PROFITstar, PROFITability, Profitstar Suite, PROFITstar Portfolio, and PROFITstar Budget Manager data.

▪ The server components must reside on the same physical machine as the PROFITstar, PROFITability, Profitstar Suite, and/or PROFITstar Portfolio data, but the service and the data do not have to be on the same drive.

Client-related issues

▪ On each computer used to access PROFITstar or its related software products, users must have Modify rights to the folder in which the PS.ini file is stored. For a Profitstar Suite client, the default location for this file is: C:\Documents and Settings\All Users\Application Data\Profitstar\PS Suite\2009\PS.INI

Client and Server-related issues

▪ If a firewall is used to protect the server or server-like machine, it must be configured to allow incoming connections on port 6262, using the UDP protocol, and on port 20923, using the TCP protocol. In order to satisfy and manage client requests for data in the database used by PROFITstar and its related software products. The Advantage Database Server (ADS) uses the first port (6262), while the Profitstar Server utilizes the second port (20923).

▪ Be aware that the 2009 editions of these products require the Microsoft® Windows® Installer. Some Windows 2000 users may need to download and run the current Windows Installer update. This installer update is available on the Microsoft website and can be downloaded using the following link:



Other

▪ The Budget Manager server runs on TCP port 20563, so if you have internal firewalls, you will have to allow traffic on this port to pass through.

First Installation of the 2009 edition – from a CD

New clients installing the PROFITstar, PROFITability, Profitstar Suite, and/or PROFITstar Portfolio 2009 programs for the first time, should perform the following steps:

1. Introduction

The combination of a Profitstar Server installation and a separate Profitstar Client installation, results in improved scalability and performance of the software

Initially, the Profitstar Server needs to be installed on the server machine, while the Profitstar Client installation must be run on each PC used to access the PROFITstar or PROFITability data.

For subsequent installations, however, only the Profitstar Server installation will need to be run, since it contains the necessary files for both the server and client applications. When each user attempts to log in, following the server installation, they will be prompted to automatically update their client application, without having to download the client installation file.

2. Verify the System Requirements

Review the system requirements and verify that the computers on which the software will be installed meet these requirements.

The system requirements can be found in the System Requirements for the 2009 edition white paper, which is available at .

3. Locate your Serial Number, Validation Code, and Product Key

To install the Advantage Database service, which is necessary to run the 2009 editions of PROFITstar, PROFITability, Profitstar Suite, and/or PROFITstar Portfolio, a Serial Number and Validation Code must be obtained for the computer on which the Advantage software will be installed. In addition, you will need the Product Key that will unlock the ProfitStars software products that your institution is currently licensed to install.

You will be prompted for this information, as necessary, during the installation process. These codes may have been provided to you if you received a 2009 edition CD. If you do not have this institution-specific information for the 2009 edition, please contact your Client Services analyst at 800-356-9099. Once you have a current set of installation codes, remember to keep them in a safe place, for future reference.

4. Special Considerations – Server and Client on the Same Computer

If you will be working on a laptop that is occasionally disconnected from the network, then that computer will need to have the server components (ADS and the Profitstar Server, with related configuration tools) and the program files for PROFITstar (and any related ProfitStars software products that you intend to use) installed on it. If the server components have not already been installed, you will need to obtain a special Advantage Database Server single-user Serial Number and Validation Code from your Client Services analyst.

5. Installation Rights

The person installing the database server service must have “Administrator” rights.

6. Server Components Installation (Steps 7 – 11)

The server components (ADS and the Profitstar Server) software must be installed on the PC where the data resides. It is possible to install them on:

▪ A “true” 32 or 64-bit server machine

▪ A non-server machine that is commonly accessible to multiple users

▪ A single user’s own machine

7. Installing from a CD

Insert the CD into your computer’s CD or DVD drive. If autorun is enabled for the drive, the installation program will launch automatically.

If autorun is not enabled, click the Windows Start menu and select Run. Enter R:\Install.exe (where ‘R’ is the drive letter for your CD or DVD drive) and click OK.

This opens the first page of the Profitstar Installer.

To install the server components, select the Install the Profitstar Server option.

After each step, click Next to continue.

8. Defined Root Path

During this step of the installation process, you are asked to specify a “defined root path” for your ProfitStars dataset(s). If more than one dataset will reside on the “server” machine, select a path that will allow access to all of your data. If, for example, your datasets will be located under C:\PSData, then select that as your defined root path.

If you ever need to modify the defined root path, go to Start > All Programs > Profitstar Server 2009 > Profitstar Server Configuration to open a tool that lets you re-select the defined root path.

9. Advantage Database Service

If the data actually resides (or will reside) on the current computer, enter your ADS Serial Number and Validation Code during this step.

If you do not have this institution-specific information for the 2009 edition, please contact your Client Services analyst at 800-356-9099. Once you have a current set of installation codes, be sure to keep them in a safe place, for future reference. You will need these codes if you ever need to reinstall the software.

Remember that a laptop that is occasionally disconnected from the network will need a special ADS single-user Serial Number and Validation Code, if the server components and the client software are both installed on the same machine.

10. Install Profitstar Server

This page asks you to specify a path for the Profitstar Server installation. As with the prior step, you cannot install this software remotely, via a network or mapped drive.

11. Server Components Installed

Following the installation of the Profitstar server, you will see a completion message. Clicking the Finish button returns you to the installer’s Welcome screen.

If you are currently installing to a “server” machine, where the data and the server components are located, and if PROFITstar and its related software products will not be run from this PC, select Close to exit the installation program.

12. Client Installation (Steps 12 – 15)

The client installation should be run when:

▪ You are currently installing to a “server” machine, where the data and the server components are located, and if PROFITstar and its related software products will be run on this PC.

▪ You are installing the program files for PROFITstar and/or its related products on each PC that will be used to access the data.

If you have just completed the installation of the server components and you have been returned to the Welcome screen of the Profitstar Installer, you will see that the only option remaining is Install the Profitstar Client. Click this link if the client files also need to be installed on the “server” machine.

If you are installing the Profitstar Client on all the individual PCs that will be used to access the data, you can get to this screen by following the instructions for installing from a CD (Step 7) or by copying the contents of the CD to a network drive and then accessing Install.exe from each workstation. (Make sure that the properties of the CD files are not set to “Read-only.”)

13. Install Profitstar Client

When this screen is displayed, enter your institution’s Product Key. This key controls which program files will be installed on the current computer. If you do not have this institution-specific information for the 2009 edition, please contact your Client Services analyst at 800-356-9099. Once you have a Product Key, remember to keep it in a safe place, for future reference. You will need this code if you ever have to reinstall the software.

The Destination Directory, shown at the bottom of the screen, can be modified by clicking the Browse button and selecting a different folder.

14. Copy Data

This step is only displayed when data is detected on the installation CD.

Answer the copy data question—Yes or No—to determine whether the data files found on your installation media will be copied to your hard drive.

If you choose to have the data copied, verify that the Destination Directory displayed is correct. The data subfolders that will be created, depending upon the ProfitStars products purchased by the institution, are PS, PA, Common, and/or PMData.

If the data will be shared on a network, the data only needs to be copied once—during the installation on the network server PC. (The server components must also be installed on this computer.) While the Profitstar Client files do need to be installed on each PC that will be used to run ProfitStars’ software, you can select No when the Copy Data step is presented during each subsequent installation.

15. Network Installation

If the institution’s data is shared by multiple users on a network, be sure to repeat Steps 12 – 13 on each additional PC used to run the software.

16. Create Shortcuts

While you can go to the Windows Start menu and select All Programs > Profitstar 2009 to launch ProfitStars’ software programs, you can also use shortcuts on your desktop.

Unless your data is on your local drive, when specifying the path to your data, it is preferable to use the full UNC (Universal Naming Convention) path in your shortcut. Refer to Appendix A for details.

17. PSData Folder Permissions

Before PROFITstar/PROFITability/Portfolio users attempt to run the software, the Share and Security permissions for both the users and the local SYSTEM account—on the “server” machine where the server components (ADS and Profitstar Server) reside—must be set to FULL CONTROL. These permissions need to be set at the root data directory level (C:\PSData by default), the nested subdirectories (PS, PA, Common, and PMData), and at any Windows share name established for the root data directory.

IT personnel must set these permissions from the server.

18. Post-Installation Issues

Additional technical information—such as required permissions, firewall settings, and interaction with active antivirus scanning software—can be obtained either from the 2009 Installation section of our Web-based FAQs

Updating your Existing Software and Data to the 2009 edition

Although it is possible for clients running any version of 2005 or later to move up to the newest version of the 2009 edition, it is a recommended best practice not to skip major versions when upgrading. For example, if you are currently running a 2007 version of the software, you are encouraged to upgrade to the 2008 release before moving to the 2009 edition. Installation files for 2007, 2008, and 2009 can be found in the Client Area of our website.

To upgrade to the 2009 edition from a CD or downloaded files, perform the following steps:

1. Introduction

20. Back Up your Data

Before installing an update, make sure that you have a current and complete backup of all of your models and organizations—either a network backup or backups created with the backup utilities that exist within each program (PROFITstar/PROFITability and PROFITstar Portfolio).

21. Locate your Serial Number, Validation Code, and Product Key

If you are converting from an early version of 2005, a Serial Number and Validation Code must be obtained for the computer on which the data and the Advantage Database service is (or will be) installed. In addition, regardless of the version from which you are updating, you will need a 2009 edition Product Key that will unlock the ProfitStars software products that your institution is currently licensed to install.

You will be prompted for this information, as necessary, during the installation process. These codes may have been provided to you if you received a 2009 edition letter and/or CD. If you do not have this institution-specific information for the 2009 edition, please contact your Client Services analyst at 800-356-9099. Once you have a current set of installation codes, remember to keep them in a safe place, for future reference.

22. Special Considerations – Server and Client on the Same Computer

If you will be working on a laptop that is occasionally disconnected from the network, then that computer will need to have the server components (ADS and the Profitstar Server, with related configuration tools) and the program files for PROFITstar (and any related ProfitStars software products that you intend to use) installed on it. 23. Obtain the Necessary Program Files from the ProfitStars Website

For the 2009 edition, two downloadable files (ProfitstarServer.exe and ProfitstarClient.exe) are available that will install everything you need to run the software products for which your institution is currently licensed. (Additional files are available for the Budget Manager Client and Server.) Go to login. After logging in to the Client Area, choose the Software Update option from the Client Area menu.

Note: When you download an update from our website and you are given the option to Run or Save the file—be sure to choose to Save it. The resulting executable file can be launched after the download is complete.

24. Installation Rights

Remember that the person installing the server components must have “Administrator” rights.

25. Server Components Installation (Steps 9 – 14)

If PROFITstar, and/or its related software products, is used by multiple users on a network, make sure that everyone is out of the program before beginning the installation process.

The server components (ADS and the Profitstar Server) software must be installed on the PC where the data resides. It is possible to install them on:

▪ A “true” 32 or 64-bit server machine

▪ A non-server machine that is commonly accessible to multiple users

▪ A single user’s own machine

26. Installation Wizard – From a CD

Insert the CD into your computer’s CD or DVD drive. If autorun is enabled for the drive, the installation program will launch automatically. If autorun is not enabled, click the Windows Start menu and select Run. Enter R:\Install.exe (where ‘R’ is the drive letter for your CD or DVD drive) and click OK.

This opens the first page of the Profitstar Installer.

After each step, click Next to continue.

27. Installation Wizard – From a Downloaded File

If the installation file was obtained from our website, there are several ways to open it:

▪ Select the appropriate command (Run or Open) when each download is complete.

▪ Browse to the downloaded files (ProfitstarServer.exe or ProfitstarClient.exe) and double-click the one you want to install.

▪ Click the Windows Start menu and select Run. Then browse to the appropriate downloaded file and click OK.

When the installation program is launched this way, the Defined Root Path page is displayed. After each step, click Next to continue.

28. Defined Root Path

During this step of the installation process, you are asked to specify a “defined root path” for your ProfitStars dataset(s). If more than one dataset will reside on the “server” machine, select a path that will allow access to all of your data. If, for example, your datasets will be located under C:\PSData, then select that as your defined root path.

If you ever need to modify the defined root path, go to Start > All Programs > Profitstar Server 2009 > Profitstar Server Configuration to open a tool that lets you re-select the defined root path.

29. Advantage Database Service

If the Installation Wizard detects that the Advantage Database service (version 8.0) is already installed, this step will ask you to specify where the new service (version 8.1) should be installed, and it will not be necessary to enter your ADS Serial Number and Validation Code.

Note: If the Installation Wizard detects that the Advantage Database service (version 8.1) is already installed, this step will be skipped.

Remember that a laptop that is occasionally disconnected from the network will need a special ADS single-user Serial Number and Validation Code, if the server components and the client software are both installed on the same machine.

30. Install Profitstar Server

This page asks you to specify a path for the Profitstar Server installation. As with the prior step, you cannot install this software remotely, via a network or mapped drive.

31. Server Components Installed

Following the installation of the Profitstar server, you will see a completion message. If you are installing from a CD, clicking the Finish button returns you to the installer’s Welcome screen. If you are currently installing to a “server” machine, where the data and the server components are located, and if PROFITstar and its related software products will not be run from this PC, select Close to exit the installation program.

If, however, you are installing from the downloaded ProfitstarServer.exe file, clicking the Finish button exits the program.

32. Client Installation (Steps 15 – 18)

The client installation should be run when:

▪ You are currently installing to a “server” machine, where the data and the server components are located, and if PROFITstar and its related software products will be run on this PC.

▪ You are installing the program files for PROFITstar and/or its related products on each PC that will be used to access the data.

If you have just completed the installation of the server components, from a CD, and you have been returned to the Welcome screen of the Profitstar Installer, you will see that the only option remaining is Install the Profitstar Client.

Click this link if the client files also need to be installed on the “server” machine.

If you are installing the Profitstar Client on all the individual PCs that will be used to access the data, you can get to this screen by following the instructions for installing from a CD (Step 9) or by copying the contents of the CD to a network drive and then accessing Install.exe from each workstation. Keep in mind that if you have been running version 2007a or later, only the ProfitstarServer.exe will need to be downloaded, since it contains the necessary files for both the server and client applications. 33. Install Profitstar Client

When this screen is displayed, enter your institution’s Product Key. This key controls which program files will be installed on the current computer. If you do not have this institution-specific information for the 2009 edition, please contact your Client Services analyst at 800-356-9099. Once you have a Product Key, remember to keep it in a safe place, for future reference. You will need this code if you ever have to reinstall the software.

34. Copy Data

This step is only displayed when data is detected on the installation CD.

36. PSData Folder Permissions

37. Converting your Existing Data

When you launch PROFITstar, PROFITability, Profitstar Suite, and/or PROFITstar Portfolio, the program always checks to see if the data needs to be converted. The first time the 2009 edition is opened by any user, a message will be displayed that the database is out of date. If the user proceeds, the conversion program will create an automatic backup of the data and will update the data tables as necessary.

38. Update your Shortcuts

You will need to modify the properties of your PROFITstar, PROFITability, or PROFITstar Portfolio shortcuts before they can be used to open the 2009 versions of these programs.

Unless your data is on your local drive, when specifying the path to your data, it is preferable to use the full UNC (Universal Naming Convention) path in your shortcut. Refer to Appendix A for details.

39. Post-Installation Issues

Installing ProfitStars programs on a New PC

To install PROFITstar, PROFITability, Profitstar Suite, and/or PROFITstar Portfolio on a new PC, perform the following steps:

1. Verify the 2009 System Requirements

Review the system requirements and verify that the computers on which the software will be installed meet these requirements.

The system requirements can be found in the System Requirements for the 2009 edition white paper, located at .

40. Back Up your Data

If the new PC is the one that will house your data, then you will want to create Full backups of your data (PROFITstar/PROFITability and PROFITstar Portfolio) using the Backup utility found under the File menu. The compressed file(s) created during this step should be located where it can be accessed by the new PC. The file(s) will be restored as part of Step 16.

41. Locate your Serial Number, Validation Code, and Product Key

If the data and the Advantage Database service are being installed on a new PC, then a Serial Number and Validation Code must be obtained for the computer on which the Advantage software will be installed. In addition, you will need the Product Key that will unlock the ProfitStars software products that your institution is currently licensed to install.

You will be prompted for this information, as necessary, during the installation process. These codes may have been provided to you if you received a 2009 edition CD. If you do not have this institution-specific information for the 2009 edition, please contact your Client Services analyst at 800-356-9099. 42. Special Considerations – Server and Client on the Same Computer

If you still have a 2009 edition installation CD, you can use this media to install the necessary program files on the new PC. After installing from the CD, you can keep your program files up to date by downloading the latest versions from our website.

49. Advantage Database Service

If the ProfitStars data actually resides (or will reside) on the current computer, enter your ADS Serial Number and Validation Code during this step. If you do not have this institution-specific information for the 2009 edition, please contact your Client Services analyst at 800-356-9099. Once you have a current set of installation codes, be sure to keep them in a safe place, for future reference. You will need these codes if you ever need to reinstall the software.

Remember that a laptop that is occasionally disconnected from the network will need a special ADS single-user Serial Number and Validation Code, if the server components and the client software are both installed on the same machine.

50. Install Profitstar Server

This page asks you to specify a path for the Profitstar Server installation. As with the prior step, you cannot install this software remotely, via a network or mapped drive.

51. Server Components Installed

Following the installation of the Profitstar server, you will see a completion message. If you are installing from a CD, clicking the Finish button returns you to the installer’s Welcome screen. If you are currently installing to a “server” machine, where the data and the server components are located, and if PROFITstar and its related software products will not be run from this PC, select Close to exit the installation program.

If, however, you are installing from the downloaded ProfitstarServer.exe file, clicking the Finish button exits the program.

52. Client Installation (Steps 14 – 16)

The client installation should be run when:

▪ You are currently installing to a “server” machine, where the data and the server components are located, and if PROFITstar and its related software products will be run on this PC.

▪ You are installing the program files for PROFITstar and/or its related products on each PC that will be used to access the data.

If you have just completed the installation of the server components, from a CD, and you have been returned to the Welcome screen of the Profitstar Installer, you will see that the only option remaining is Install the Profitstar Client. Click this link if the client files also need to be installed on the “server” machine.

If you are installing the Profitstar Client on all the individual PCs that will be used to access the data, you can get to this screen by following the instructions for installing from a CD (Step 8) or by copying the contents of the CD to a network drive and then accessing Install.exe from each workstation. (Make sure that the properties of the CD files are not set to “Read-only.”)

Keep in mind that the first time you install the 2009 edition, the Profitstar Client installation must be run on each PC used to access the PROFITstar or PROFITability data. However, for subsequent releases, only the ProfitstarServer.exe will need to be downloaded, since it contains the necessary files for both the server and client applications. When each user attempts to log in, following the server installation, they will be prompted to automatically update their client application, without having to download the client installation (ProfitstarClient.exe) file.

53. Install Profitstar Client

When this screen is displayed, enter your institution’s Product Key. This key controls which program files will be installed on the current computer. If you do not have this institution-specific information for the 2009 edition, please contact your Client Services analyst at 800-356-9099. Once you have a Product Key, remember to keep it in a safe place, for future reference. You will need this code if you ever have to reinstall the software.

The Destination Directory, shown at the bottom of the screen, can be modified by clicking the Browse button and selecting a different folder.

54. Associating the Program Files and the Data

If you will be running your data locally on the new PC, you will need to restore the backup you made in Step 2 of this process. The Restore function can be launched from outside the PROFITstar or PROFITability programs. In Windows XP, go to the Start menu and select All Programs > Profitstar 2009 > Restore. In addition, this application can be run by double-clicking the Restore.exe file in the Profitstar 2009 program files directory. The Restore process will prompt you to identify the backup that was recently created, as well as the location to which the files will be restored.

Whether a backup is restored to the local hard drive or to a network drive, you have several ways of telling the program files where to find the data.

…Windows shortcut

Unless your data is on your local drive, when specifying the path to your data, it is preferable to use the full UNC (Universal Naming Convention) path in your shortcut. Refer to Appendix A for details.

…PS.ini file settings

Another alternative is to modify the PS.ini file. If you are running the Profitstar Suite on Windows XP, the default location of the PS.ini file is C:\Documents and Settings\All Users\Application Data\Profitstar\PS Suite\2009\PS.INI.

By default, the [Directories] section of the PS.ini file stores the RootPath parameter, which identifies the root data directory location. The [Profitstar] and [Profitability] sections store the DataPath parameters that keep track of where the data is for that product.

As with Windows shortcuts, when specifying the path to your data, it is preferable to use the full UNC (Universal Naming Convention) path in your PS.ini file. Refer to Appendix A for details.

Using the sample UNC path from Appendix A, the .ini file settings for the Profitstar Suite would look like this:

Once the parameters are specified in the PS.ini file, PROFITstar or PROFITability shortcuts do not need to reference the data path in order to be able to launch the program.

If the path to the data is not specified in either the shortcut or the .ini file, the system assumes that the data is located with the program files—which should not be the case.

Converting PROFITstar Portfolio Data

When you launch PROFITstar Portfolio, the program will check to see if the data needs to be converted. The first time the 2009 edition is opened by any user, a message will be displayed to let you know that the database is out of date. If you proceed, the conversion program converts the data in each model.

Note: Before attempting to work in or download to PROFITstar or PROFITstar Portfolio, make sure that both sets of data have been converted to the same version of 2009.

Linking PROFITstar Portfolio and PROFITstar Data

While not technically part of the installation process, it is important to remember that PROFITstar Portfolio data cannot be used with the corresponding set of PROFITstar data until you link the two.

When PROFITstar Portfolio and PROFITstar are both installed, launch PROFITstar Portfolio (Start > All Programs > Profitstar 2009 > PROFITstar Portfolio > Profitstar Portfolio) and then open the PROFITstar Data Link Setup box (Setup > Profitstar Data Link).

To create a data link, click the Add Data Link button, and:

▪ Click in the first column of the new row if you need to change the path to your PROFITstar Portfolio data. You can either key in the desired path or click the [pic] button to open a box from which you can browse to the data location.

▪ Click the second column to specify a path to your PROFITstar data.

Unless both sets of data reside on your local drive, it is preferable to use full UNC (Universal Naming Convention) paths when specifying the location of your PROFITstar Portfolio and PROFITstar data in the PROFITstar Data Link Setup dialog. Refer to Appendix A for more information about UNC paths.

After clicking off the active cell (or pressing the Enter key), the View Settings link will be either blue or red. Blue indicates that you are connected to valid data. If it is red, either the PROFITstar Portfolio or the PROFITstar data path is invalid. Clicking the red View Settings link will display a message that will tell you which data path is incorrect.

When PROFITstar Portfolio and PROFITstar are properly linked, a PROFITstar Portfolio speedbutton will appear in the PROFITstar toolbar the next time PROFITstar is opened, and the two programs will be able to exchange information.

Note: The name of the PROFITstar Portfolio data directory can be user defined—the data does not have to reside in a folder called "PMData."

Installing the PROFITstar Budget Manager Server and Client Software

To install the PROFITstar Budget Manager, perform the following steps:

1. Verify the System Requirements

(Budget Administrator and/or Network Administrator)

Review the system requirements and verify that the computers on which the PROFITstar Budget Manager software will be installed meet these requirements.

56. Uninstall Prior Versions of the Budget Manager Server Software

(Budget Administrator and/or Network Administrator)

Before installing a newer version of the Budget Manager server, it is recommended that you first uninstall previous Budget Manager server program files. From Start > Settings > Control Panel > Add or Remove Programs select and uninstall the PROFITstar Budget Manager Server. Uninstalling these program files will not affect your existing Budget Manager data.

57. Install the Budget Manager Server Software

(Network Administrator)

Like PROFITstar and PROFITability, Budget Manager uses client/server architecture. You do not need to share any folders or worry about file permissions. Instead, you need to install special software on one computer within your organization.

The Budget Manager Server software is a Windows service that must be installed on one computer in your enterprise, and listens over TCP/IP. It does not have to go on a network server such as Windows 2000 Server—it will run equally well on desktop operating systems such as Windows 2000 Professional or Windows XP Professional. However, it may be best to install it on a server, simply because servers typically have their data backed up.

The Budget Manager Server software should be installed on a single computer on your network. It is not necessary, nor is it recommended, to install it on multiple computers.

After selecting the computer that will act as the Budget Manager server, insert the installation CD into the computer’s CD or DVD drive. Click the Windows Start menu and select Run. Browse to the location of the Budget Manager Server Setup.exe file, on the installation CD, and click Open and then OK.

There are several ways to launch an update file obtained from the ProfitStars website:

▪ Select the appropriate command (Run or Open) when the download is complete.

▪ Browse to the downloaded file (ServerWebInstall.exe) and double-click it.

▪ Click the Windows Start menu and select Run. Browse to the downloaded file and click Open and then OK.

Follow the installation prompts. Then, after the installation is completed, you will be asked to create an administrative user on the server. This can be the same user ID and password that you use within PROFITstar or PROFITability, but it does not have to be. Follow the prompts to create this first user account.

58. Set Up the Server for Backups (optional but recommended)

(Network Administrator)

As with PROFITstar and PROFITability, we strongly recommend that you regularly back up the machine on which the Budget Manager service is installed. Unlike PROFITstar or PROFITability, Budget Manager chooses its own data directory. It is a good idea to make sure that your scheduled backups are set to include the Budget Manager files.

The Budget Manager Server stores its data files under the Common Application Data folder. Under a typical installation of Windows 2000 or Windows XP, the folder used to store Budget Manager data will be:

C:\Documents and Settings\All Users\Application Data\Profitstar\BudgetManager\2004

It is possible to move the Budget Manager data to a different location or rename the data folder. To do this, refer to the related FAQ that can be found at



59. Install the Latest Version of PROFITstar/PROFITability

(Budget Administrator and/or Network Administrator)

Your branch or department managers will use a piece of software called the Budget Manager Client to edit their budgets. While these “budgeteers” are connected to PROFITstar or PROFITability via the Budget Manager Server, they do not actually need to have PROFITstar or PROFITability installed at their locations in order to perform their budgeting tasks.

The budget administrator, however, does need to have direct access to all of the programs—PROFITstar or PROFITability, the Budget Manager Server, and the Budget Manager Client. Moreover, because of the close integration between the products, the budget administrator should make sure that the most current versions of the products are being run.

60. Export Organization Data from PROFITstar/PROFITability to the Budget Manager Server

(Budget Administrator)

Once you have the latest version of PROFITstar and/or PROFITability installed, you can use it to export data to the Budget Manager Server. This tells the server which organizations you want to enable for distributed budgeting, and which accounts you want budgeted.

Launch the Budget Manager Administration screen by selecting Tools > Budget Manager from PROFITstar or PROFITability’s main menu. Add a new budget year, and export the accounts for the organizations that you want your users to be able to budget.

61. Create User Accounts on the Budget Manager Server

(Budget Administrator)

Budgeteers can be set up with access to multiple organizations, although each budgeteer can only check out one organization at a time.

User management is only available from the Budget Manager Administration screen.

62. Install the Budget Manager Client Software

(Budgeteers and Budget Administrator)

At this point, the budgets are ready to edit.

All users who will be editing budgets will need to install the Budget Manager Client software at their various locations. It is recommended (though not required) that the budget administrator also install the Budget Manager Client software so that budgets can be viewed and edited without having to first import the data into PROFITstar or PROFITability.

To install the client software, insert the PROFITstar Budget Manager Client CD into your computer’s CD or DVD drive. Click the Windows Start menu and select Run. Browse to the location of the Budget Manager Client Setup.exe file, on the installation CD, and click Open and then OK.

There are several ways to launch an update file obtained from the ProfitStars website:

▪ Select the appropriate command (Run or Open) when the download is complete.

▪ Browse to the downloaded file (ClientWebInstall.exe) and double-click it.

▪ Click the Windows Start menu and select Run. Browse to the downloaded file and click Open and then OK.

Follow the installation prompts. After these steps are completed, your users will be ready to edit their budgets in Budget Manager.

Appendix A – Using UNC Paths

When specifying a path to the data, it is preferable to use full UNC (Universal Naming Convention) paths for your shortcuts, in your PS.ini file, and in the Data Link to PS dialog in PROFITstar Portfolio. PROFITstar users are encouraged to involve their IT staff in this process.

UNC paths use the \\server name\share point format. To determine what the UNC path is for a particular drive, open Windows Explorer and look at the drive letter. For example, here is what one user sees for the F:\ drive.

The server name is always marked with single quotes. So, in this example, Onesrv is the server name and Public is the share point.

If a user’s data was located at:

F:\PSData\Common

The UNC path would be:

\\Onesrv\Public\PSData\Common

When used in shortcut, the shortcut Target might look like this:

“C:\Program Files\Profitstar 2009\PS.exe” \\Onesrv\Public\PSData\Common

To use a path like this in a shortcut, right-click the desktop and select New > Shortcut. First, browse to the location of the program files. Then add the UNC path to the appropriate data subdirectory, to the right of the program files path, separated by a space (as in the above example). Click Next. Provide a name for the shortcut, and click Finish.

For institutions with multiple computers running PROFITstar, PROFITability, and/or PROFITstar Portfolio, shortcuts can be emailed or coped to removable media and then reused on each PC—as long as the program files are always stored in the same location. Select the Desktop folder in Windows Explorer and copy the appropriate shortcut file(s).
