Royal Academy of DanceJob DescriptionJob Title:Human Resources Operations ManagerDepartment:Human Resources Line Manager:Head of HRDirector:Director of Finance & OperationsDepartment Purpose:To deliver global quality services, advice, information and support in the areas of people management, resourcing, learning and development, employee relations and information management systems, including provision of UK payroll data.Job Purpose:Manage the HR team with particular focus on UK operations including all aspects of recruitment, induction, payroll instructions, contracting and aspects of employee welfare. Represent the HR team at an operational level and deputise for the Head of HR as necessary.Hours:Full time | Monday – Friday | 34.5 hrs per weekContract type:PermanentSalary range:?38,000 - ?42,000 paMain Responsibilities1. ManagementProvide management support and clear guidance to the HR team, ensuring that workloads are reasonable and that targets and deadlines are met.Undertake annual staff appraisals for direct reports and provide regular feedback with regard to performance.In liaison with the Head of HR, source appropriate and cost effective recruitment and advertising agency contacts.Ensure that working practices within the HR department are in alignment with the use of the HR management information system (SelectHR).2. Employee Recruitment, Selection & AppointmentWith the support of relevant HR colleagues, manage recruitment campaigns for all permanent and fixed term employees, casual and freelance workers ensuring that management, HR and other staff are conversant with the Recruitment and Selection policy and procedures and the requirements and implications of equal opportunities legislation.Support and advise Heads of Department/Managers in the creation of appropriate job descriptions and person specifications for vacant and/or new positions and prepare appropriate recruitment advertisements or agency briefs for their approval.Plan and agree the recruitment time-line schedule with the interview panel (including HR colleagues) and book all necessary interview rooms.Place online advertisements with the support of an advertising agency or place an appropriate brief with a recruitment agency. Ensure internal recruitment advertisements are emailed to all staff.Share advertisement quotes or agency charge rates and agree costing with the recruiting department.Oversee HR colleagues in the efficient administration of the receipt of job applications, short listing of interview candidates, set up of interviews and preparation of interview questions, auditions and skills tests (when applicable).Where possible sit on interview panels and contribute to the selection decision and/or arrange for HR colleagues to sit on interview panels and oversee them in their contribution to the selection decision and ensure appropriate employment conditional verbal and written offers are made.In collaboration with the Chief Executive, Head of HR and Head of Global Business Development plan and participate in recruitment campaigns for global National Directors and National Managers and make recommendations for appointment.Oversee the collection of references, criminal record screening (where appropriate) and documentation related to immigration status and the maintenance of relevant records. Escalate any concerns on references or criminal record checking to the Head of HR.Respond to requests for applicant / interview feedback in writing.Issue appropriate joining instructions and employment contracts, which will include information about BUPA private health care, life assurance cycle to work and childcare voucher schemes and any other employee benefits.3. Employee RelationsLiaise with employees, management and payroll in cases of sickness absence in accordance with the RAD sick leave and pay policy and procedure.Offer a point of contact, information and support to employees who are pregnant or on maternity leave, ensuring that they are aware of the RAD’s policy with regard to maternity leave and pay, they receive details of their maternity leave and pay in writing and make appropriate amendments in the payroll.Liaise with employees who wish to take paternity leave or shared parental leave advising them on eligibility and payment arrangements etc.In collaboration with EB and management, handle applications from employees for flexible working under the RADs Policy and Procedure for Requesting Flexible Working (Parents & Carers).In collaboration with EB and management, handle applications from employees for Sabbaticals in accordance with the RAD’s Sabbatical Policy.4. Learning and DevelopmentDesign the HR Induction programme and oversee its organisation and delivery by members of the HR teamEnsure that the HR Induction programme remains relevant up to date and fit for purpose, making the best use of HR and attendees’ time and implement in agreement with the Head of HR.Be familiar with the RAD’s Employee Handbook, employment policies and procedures and advise new and existing staff as appropriate.With the support of the HR team organise initial and on-going training mandatory and voluntary face to face and online training for all relevant employees and freelance workers as required by the Safeguarding Policy & Procedures, Equality Diversity and Inclusion Policy and Information Management policies and any other approved corporate policy requirement as and when necessary.Research and organise any other learning opportunities for employees, budget permitting.5. LeaversAcknowledge employees’ letters of resignation and establish agreed employment end dates and last working day municate with employees re outstanding holiday entitlement and prepare leaver notice for payroll instructions, Communicate with employees regarding the Academy’s Exit procedure and conduct interviews when necessary.Attend a regular meeting with the Lead HR Officer and Head of HR regarding the outcome of exit interviews and take any agreed actions, as necessary.Process leavers through SelectHR to ensure records and payroll remains accurate. Act on the instructions of the Head of HR with regard to the termination of employment where employees leave for reasons other than resignation.6. HR Management Information SystemManage the HR department’s use of the current HR Management Information System (SelectHR) ensuring that all employee, casual worker and freelance data is accurate and that the system functions appropriately, particularly for the recording and management of absences.Work with the software provider support desk to ensure that support issues are resolved and communicated as necessary to HR colleagues and / or users.Manage the rollover of untaken holiday from one holiday year to the next with the agreement of the Executive Board.Liaise with the Head of HR on HR software development requirements, including aCloud Recruitment.7. PayrollPrepare an RAD and RADE payroll export from SelectHR each month.Prepare a supporting set of payroll instructions on the approved spreadsheet, which summarises the starters, leavers and payroll amendments in the last month. Notify the Purchase Ledger and Payroll Officer when the export and spreadsheet are ready to be accessed on the s/drive and provide the appropriate supporting paperwork by the agreed payroll submission date.Deal with the pensions@.uk email address8. Freelance / Casual Worker ContractingCreate, sign off and dispatch Statement of Engagements for freelance and casual workers for the following activities: Genee International Ballet Competition and Benesh International.9. GeneralBe an accessible alternative source of support to staff on welfare issues, deal with any issues arising and/or discuss with the Head of HR, ensuring confidentiality is maintained as required.Provide a Mental Health First Aid service and complete the confidential central welfare record as appropriate.Deal with requests for references from current members of staff regarding tenancy/mortgage applications and ex-members of staff for employment purposes.Send regular announcements to all staff about the appointment, promotion or resignation of colleagues.Attend regular one to one meetings with the Head of HR and the HR fortnightly team meeting.Undertake the role with due regard to equality of opportunity.Any other reasonable duties, which may arise within the HR Department.Direct Reports Lead HR Officer (part time)HR Officer X 3Department RepresentationInformation Management ChampionRAD – Office Move Champion ................
