Procurement Coordinator (Part-Time)Pay Range: $17.93 - $22.77FLSA Status: Non-ExemptBRIEF DESCRIPTION:Under direct supervision, performs work involving the purchasing of diversified commodities, services, supplies and equipment; and warehousing of goods and materials in compliance with established Purchasing guidelines, maintaining certificates of insurance for firms doing business with Toho Water Authority, overseeing asset disposal process, registering new vendors, and preparing bid tabulations. Position requires a basic understanding and application of procurement functions, including issuing requests for quotes, clocking in bids, selling items on GovDeals. Performs related work as directed. Ensure insurance database or other tracking method is current and that firms make TWA a certificate holder and additional insured. Assist with new vendor registrations and updates of vendor records. Complete Notice of Owner forms or send to appropriate department for completion. 2MWarehouseCoordinate receipt of goods/materials; receives incoming orders, packages or deliveries; loads or unloads materialsInspect deliveries to verify receipt of correct materials, condition of materials; and completeness of entire orderVerify accuracy of packing slips and receiving documents. Process shipment of return orders, damaged items, and warranty parts; packages materials for shipping and maintains records.3MAsset DisposalManage disposal of assets from receiving of information technology and other surplus equipmentDraft asset disposal agenda monthly.Schedule pick up of recyclable material and donations. Post items to be sold on GovDeals; respond to inquiries on GovDeals, and arrange collection of items by purchaser.Respond to questions posed by persons interested in bidding on items for sale via GovDealsCoordinate donation of items with non-profit 501C-3 organizations.4SRecords RetentionMaintain records for retention purposes in LaserficheAssist with filing of hard copy and electronic records on t:drive and in hard copy folderAssist with maintenance of solicitation log and term contract list. Maintain data on Procurement SharePoint site.Archive hard files annually and submit to Records Retention for storage.Determine files appropriate for destruction annually. 5SSolicitations and ContractsPrepares invitation for bids to purchase commodities. Requests quotes from vendors via Aursi, DemandStar, VendorLink, and email. Date and time stamp submittals. Tabulate bid responses. Post recommendations for award. Post public record information.Draft agendas and letters of transmittal to explain purchase and request approval of purchaseCorrespond with vendors to obtain signed agreements.Renew term contracts by preparing amendments for execution.6SRequisitionsEnter requisitions being sure to attach appropriate documentation, use appropriate requisition codes, etc.Review requisitions to ensure procurement policy has been followed. Communicate with department if more information is plete change orders to purchase orders, such as changing account number, changing to blanket purchase order, increasing dollar amount.JOB REQUIREMENTS:-Description of Minimum Job Requirements-Formal EducationHigh School diploma or GED; preferably supplemented by college level coursework with emphasis in Business Administration, Purchasing, Marketing, Accounting, Contract Management, Inventory Control or closely related field; Associate’s degree desirable.ExperienceTwo (2) to five (5) years previous experience in and/or training involving governmental purchasing, inventory control, warehouse operations, customer service and/or general office work or an equivalent combination of education, training and experience, which provides the requisite knowledge, skills and abilities for this job.SupervisionPosition exercises no supervisory authority.Human Collaboration SkillsWork requires contacts with other department coworkers, vendors, and the general public.
