Planning for the LTC

Making Airline Reservations

We strongly recommend that you wait to purchase airline tickets until you receive confirmation of your LTC registration. When you make your reservations, note the following: On-site registration starts at 3:00 p.m. on Sunday, and the Opening Banquet begins at 6:30 p.m. The LTC ends at 11:00 a.m. on Saturday. Also, you will need to arrange for your own ground transportation to and from the airport.

Lodging during the LTC

If you selected Single or Double Occupancy on your registration form, your conference fee includes the cost of lodging for the six nights of the LTC. Stephen Ministries will secure your hotel reservation.

Please note that occasionally we need to lodge participants at a nearby hotel in addition to the one where the LTC is being held. Information about the hotel where you will be staying will be provided in your confirmation documentation.

Lodging before or after the LTC

Participants are responsible for arranging and paying for any additional nights of lodging they require before or after the LTC. Specific instructions for making pre- or post-LTC lodging reservations will be provided in your LTC Preparation Guide. If you need this information right away, call our customer service department at (314) 428-2600 or download the LTC Preparation Guide at prep.

Meals during the LTC

Your registration fee covers nine meals during the LTC, including the Opening Banquet on Sunday evening, lunch Monday through Friday, dinner on Tuesday and Thursday, and the Dedication Banquet on Friday evening. For other meals, the hotel front desk can provide information about nearby restaurants, supermarkets, and convenience stores.

Bringing a Nonparticipant as a Guest

Can my guest stay in my room with me? Yes. If you select and pay for a single room, your guest can stay in your room at no additional charge.

What sessions can my guest attend? At the Opening Banquet you'll receive a Welcome Packet with a schedule of sessions for the week. Sessions that are open to nonparticipating guests will be noted. Your guest may also attend the morning devotions each day.

Where will my guest sit during the sessions he or she attends? We've set aside a special seating area for guests. Our onsite team will be happy to point your guest to those reserved seats. Please know that your guest will not be able to sit with you during the sessions he or she attends.

Are meals available for my guest? Your guest may attend the Opening Banquet on Sunday and the Dedication Banquet on Friday. Instructions for

registering your guest for either or both banquets are printed below. All other meals are only available for LTC participants.

Opening Banquet (Sunday evening) To reserve a seat for your guest at the Opening Banquet, fill in the dollar amount on the registration form or call the Stephen Ministries Center in St. Louis for availability. Reservations or cancellations must be made before 5:30 p.m. Central Time on the Tuesday before the training course.

Dedication Banquet (Friday evening) You can reserve a seat for your guest at the Dedication Banquet when you arrive at the training course. A member of our onsite team will tell you the price and invite you to fill out a Dedication Banquet order form for your guest when you are at the LTC.

Can my guest sit with me at the Opening and Dedication Banquets?

Yes. Since both banquets have open seating, your guest may sit with you.

Q: A:

Does the LTC train me to be a Stephen Minister?

The LTC does not train Stephen Ministers-- rather, it trains Stephen Leaders, the ones who will lead Stephen Ministry in your congregation. Stephen Ministers are trained in their own congregations by Stephen Leaders.

Q: A:

If I'm not a trained Stephen Minister, can I still attend the LTC?

Yes. You don't have to have received Stephen Minister training to be trained as a Stephen Leader; the two roles are very different and involve different gifts and skills. People who have no experience as Stephen Ministers often make excellent Stephen Leaders. Typically, more than half of participants at each LTC have not been trained as Stephen Ministers.

What do I do if I need to cancel my attendance at the LTC?

If you need to cancel, call the Stephen Ministries Center in St. Louis at (314) 428-2600. Depending on the timing, there may be a cancellation fee:

? Before 5:30 p.m. (CT) on the Tuesday before the LTC No cancellation fee

? Between 5:30 p.m. (CT) on the Tuesday before the LTC and 5:30 p.m. (CT) on the Friday before the LTC 20% cancellation fee

? After 5:30 p.m. (CT) on the Friday before the LTC 25% cancellation fee

Can my children attend the LTC sessions and meals with me?

Families are important to us. However, LTCs are not equipped to meet the needs of children, including infants and teenagers. Children may not attend LTC sessions or meals.

Do I have to belong to a Stephen Ministry congregation to attend the LTC?

Yes. Each participant must be a staff person or member of a congregation or organization that is officially enrolled in Stephen Ministry. Participants must be 18 or older and may attend only with the full knowledge and authorization of their Stephen Leader Team or governing board and pastor(s). Unauthorized persons will forfeit the entire registration fee and will be asked to leave the LTC.

What are Continuing Education Units (CEUs) and how can I get them?

Certain professions require practitioners to earn CEUs in order to maintain a license or certification. To receive a certificate for 4.2 CEUs, mark "YES" on line 23 on the LTC Registration Form, provide a date of birth, include the $20 fee, and complete the LTC. Be sure to verify that continuing education units from an LTC will be accepted by your certifying agency. If your certifying agency requires a list of LTC objectives and faculty, use the information at stephenministries. org/prep. By granting CEUs, Stephen Ministries does not guarantee the Stephen Leader's competence, nor does Stephen Ministries certify or qualify Stephen Leaders in any way. CEUs are not college credit.

Am I expected to attend every session at the LTC?

Full participation in all sessions is expected. This preserves the integrity of Stephen Ministry, maintains the quality of leaders, shows respect for other participants, and demonstrates good stewardship of your congregation's resources. A Stephen Leader certificate is granted only for full LTC participation.

Please note: During the LTC, we sometimes take video and photographs for use in our promotional material. By your presence at the LTC, you agree to our use of your likeness in such material.

How to Fill Out Your LTC Registration Form

1. Leader's Training Course (LTC) location. Mark the LTC for which you are registering. To qualify for the early registration fee, your completed registration form and covenant, along with a check for fees, must be postmarked on or before the early registration date listed on the LTC Registration form.

2. Full name. This is the name that will appear on the Stephen Leader certificate you will receive at the end of the week. Nametag. This is the name that will appear on your nametag. Please use your preferred first name or nickname and your last name.

8. Email address. Stephen Ministries respects your privacy. We never share our database of names, physical addresses, or email addresses with anyone.

9. Registration confirmation. If you choose to receive your registration confirmation via email, please add Registrations@ to your email address book so your spam filter doesn't block this confirmation message.

10. Email newsletter. We occasionally send Stephen Ministers and Stephen Leaders emails that contain news, updates, and stories. If you don't want to receive these emails, check the box.

12. Emergency contact. Please indicate whom you would like us to contact if you experience an emergency at the LTC.

Training Course Information

14. I am a trained Stephen Minister. Check this box if you will have completed the 50 hours of Stephen Minister training by the start of the LTC.

15. I will attend the Opening Banquet. Check "YES" if you will arrive at the banquet no later than 7:00 p.m. on Sunday, the first day of the Training Course. If you will arrive after 7:00 p.m. on Sunday, check "NO." If you indicated "YES" but find you must cancel, please notify Stephen Ministries before 5:30 p.m. (CT) on the Tuesday before the LTC.

17. I have a diagnosed food allergy or physician-prescribed diet. Check this box if you have a diagnosed food allergy or if a physician has prescribed for you a particular diet. In order to make sure the hotel provides you with the best meal service, we will contact you after processing your registration for more information.

18. I require a wheelchair-accessible room or other special room accommodation. Check this box if you require a wheelchairaccessible room or other special room accommodation. Please describe your need on a separate sheet of paper and submit it with the form.

19. I am a smoker. This is important information used in housing participants. (Some hotels have a "smoke-free" policy.)

Training Course Materials and Accommodations

20. Stephen Ministry Leader's Manual. Every participant will want a Leader's Manual. The Leader's Manual is the resource Stephen Leaders use in their congregations to implement Stephen Ministry. The cost of the Leader's Manual is $187 and is already filled in on line 20.

21.Registration fees. Mark the desired housing (Single, Double, or Commuter) and indicate the appropriate fee. All fees are payable in U.S. funds.

Please Note: If you snore or have habits or equipment (such as a CPAP machine) that may disturb someone's sleep, please select Single Occupancy as a courtesy to other participants. If you are a light sleeper, you may also want to consider selecting single room accommodations.

Guest: If you plan to have a guest who is not registered for this LTC staying with you in your room, please select Single Occupancy.

Roommate: To room with a specific person who is also registered for this LTC, enter his or her name next to "preferred roommate's name" on the line provided; otherwise, a roommate of the same gender will be assigned to you.
