Cover Pages/Page Numbers/Page Headers for APA

6th Edition of the APA Manual

A page header is an abbreviated title of the paper, located on the top of each page of the paper. The header is in all capital letters. The purpose of a page header is to make sure each page has a page number and an abbreviated title of the paper (in case the instructor has a stack of unstapled papers, trips, and all the sheets go flying). Use the first two or three words from the title.

Per the American Psychological Association, cover pages should have an indication of what the page header is. The words Running head: appear to the left of the header—but only on the cover page. Note that head is lowercased and is followed by a colon. The header is in all caps.

How to Insert Page Numbers and a Header

To add a page header, it is easiest to insert the page numbers first. Open up your paper in Word. Go to the top toolbar and click on insert. Select “Page Numbers.” Select top of page, right alignment. A number will appear in your document. If you double click the area of the number, a dotted box will appear. Type in your page header. If your paper title is “Marketing Plan for Silver Bells Jewelers,” your page header might be a shortened version, such as “Silver Bells.” Page headers should be no more than 50 characters—that includes spaces and punctuation. Do not include your name or course number in the page header. The first letter of each major word in the page header should be capitalized. Double click the header so it is all highlighted (or highlight using your mouse). Then make it flush left by clicking on the icon for right alignment on the toolbar (parallel lines with a straight right side but a ragged left side). Use the tab key to move the page number to flush right. To get out of the header, click the “Close” box or click your mouse outside of the header somewhere lower on the page. The page header will appear on each page of your paper and the page numbers will automatically show up chronologically.

How to Have a Different Header for the Cover Page

Highlight and copy the header because you will need to paste it in later. Open up the header, select “Page Layout,” open up the page setup dialog box by clicking on the arrow/box in the bottom right corner. Click on the tab labeled “Layout,” and select “Different first page.” You will need to retype the header and use the tab key to put the page number flush right. The font may need to be changed to Times New Roman, 12 point font. These instructions are for Windows XP.

Note: APA only requires the title, the author(s), and the institutional affiliation, but for Concordia University, St. Paul, many instructors require inclusion of the course number, the instructor’s name, and the date.

Notice how the title of the paper appears on the top line of page two. Setting up the cover page is a good time to make sure your margins are one inch on all sides. Per APA, margins should be one inch (unless it is a final capstone or synthesis project reading for binding, in which case the left margin should be 1.5 and the rest should be 1 inch). All of the paper is double-spaced, written in Times New Roman, 12 point font.

Using the Ruler Tool

Use the ruler tool to automatically indent each new paragraph. To turn the ruler tool on, click “View.” This will bring up a selection of tabs to choose. Click “Ruler” in the “Show/Hide” section. A white line with dots and numbers appears at the top of the screen. That is the ruler. If you are just beginning your paper, setting the indentations will make all of the new paragraphs you type automatically indented. With the mouse, click on the top triangle and drag it over to half an inch. If you have already typed up your paper and now want the body to have the indentations, highlight the text you want indented, then click and drag the top triangle to half an inch. This tool is also handy for creating hanging indents.

Centering Headings

Level one headings, per the 6th edition of the APA manual, should have bold and centered formatting. If you used the ruler tool to automatically indent new paragraphs half an inch, you may need to highlight the headings and drag the top triangle flush left to make it really centered.
