BALTIMORE OFFICE OF PROMOTION & THE ARTS, INC.??Development?Administrator??The mission of the Baltimore Office of Promotion & the Arts (BOPA) is to address the needs of the arts community through arts and cultural activities, advocacy and support; create pride by promoting Baltimore to Baltimoreans; and to use the arts and events marketing tools to promote Baltimore’s assets locally, regionally and nationally. BOPA produces festivals, special events, and promotions for Baltimore City and develops and administers funds, grant programs and community workshops. In addition, BOPA manages several historic attractions and sites in the Baltimore area. Facilities include School 33 Art Center, The Cloisters, the Bromo Seltzer Arts Tower and the Top of the World Observation Level in the World Trade Center.??Position Description?The Development?Administrator?is a full-time,?non-exempt position reporting to the Chief Development Officer. The role is primarily responsible for managing the?Development?database?and?providing oversight of gift processing of data entry functions.?Additionally,?researching, preparing, and providing?in depth?profiles and reports?on potential sponsorship prospects including individuals,?foundations, and?? corporations?for the?Development Department?are included in this position.?This role must have a working knowledge of?the?CRM Tool software?and prospect research.?This?responsibility includes?generating revenue reports for the Finance and Development?department, producing?queries,?importing information to, ability to pull queries,?and maintaining?data integrity and?the?Constituent Relationship Management (CRM) Tool?software?as a whole.???Essential Duties and Responsibilities:?Examine,?propose?and implement database management policies,?procedures?and standards for the Development department,?as directed by the Chief Development Officer?Continually?import and?update?data including?new prospect information, ensuring accuracy of?database records??Maintain and update Standard Operating Procedures and?forms for CRM?tool in electronic and hard copy?Communicates changes to staff?Manage access control security systems and maintain comprehensive knowledge of development database?Own all CRM?tool data imports and exports including conducting data pulls for reports, mailings, invitations and solicitations and exporting data in proper format?With direction from the CDO and Development Officers, run queries to generate and maintain guest lists, gather and prepare registration materials, and other?duties as assigned for prospect/donor-attended events, programs, appeals, and donor activities??Create weekly/monthly fundraising reports and other reports as needed and assist with data analysis for the Development and Finance?departments using software applications such as spreadsheets, and graphics packages?Develop and maintain the electronic and paper filing systems for the Development?team, specifically owning distributions such as acknowledgement letters within 48 hours of pledge and payments along with other donor correspondence, as required??Use Microsoft Office Suite extensively to access e-mail and calendars for creation and maintenance of databases, spreadsheets, documents, etc.??Support the Development department in the production and mailing of appeal letters and other donor correspondence, following established procedures?Compose, proofread and edit documents and coordinate the development of presentations?Assemble and categorize facts and figures for written computation and calculations?Maintaining coordination of the CDO’s calendar for weekly activities?Provide information/answers to routine inquiries from community groups, representatives of organizations, city agency directors/employees and the general public not requiring the Executive Leadership Teams’ immediate attention to ensure information is disseminated in a timely manner?Ensure all donor Accounts Receivables match the information in the CRM Tool?Ensure Finance?department receives paperwork necessary to invoice applicable funder within 24-48 hours of funder commitment??Attach back up documentation to those invoices in CRM Tool?Where applicable, ensure that the certificates of insurance have been obtained and entered and recorded in CRM Tool?Prepare select media materials for distribution (i.e., copying, filing, mailing, e-mailing)??Work with Development team and Communications department to create customized sales content?and?collateral for sponsorship proposals,?presentations?and the company’s internal e-newsletter, as applicable?Other duties as assigned???Unique Responsibilities:?Provide?Raisers Edge training?to new development staff members?Using a broad spectrum of sources,?research, organize, and evaluate corporate,?foundation?and individual giving?prospects’?applicable?corporate social responsibility, supplier diversity,?financial capacity, ability to give,?willingness to give, charitable interests, and connection to the organization??Produce in-depth, well-written reports on prospects based on?a combination of data from the donor database, available financial records,?real estate ownership,?and other markers of high-quality donors??Own the briefing?and debriefing policy?set forth by?the department?including, but?not limited to, writing?frequent prospect briefings for the use of the development team?in preparation for constituency meetings, scheduling?debriefs?and ensuring action items are met??Implement new?research techniques as they arise, striving to design the ultimate prospect research methodology??Provide general support to development staff and work on special projects, as required???Qualifications:?College degree in arts or humanities preferred??3-5 years of professional experience, preferably in a non-profit environment??Experience in the development department of a cultural or educational organization preferred??Demonstrated skills?and experience as a prospect researcher??Excellent verbal and written communication skills?Able to investigate, analyze, and synthesize large quantities of data into a user-friendly and concise format for the use of the development team??Exemplary?office skills such as typing, filing, proficiency in Microsoft Office Suite required?Experience working in Constituent Relationship Management system(s), namely Raiser’s Edge strongly preferred?Confidentiality, discretion, and ethical gathering of information?Work in a deadline driven environment??Ability to organize and prioritize work?Ability to work independently
