JOB DESCRIPTIONTITLE: Administrative Assistant for Secondary ProgramsTERMS OF EMPLOYMENT: 12 monthsQUALIFICATIONS:High School Diploma required, Associate’s Degree in related field preferred; Prior administrative office experience in a school environment preferred;Proficient computer skills including Microsoft Office Suite (Word, PowerPoint, Spreadsheets, etc.) and Google Suite (Drive, Forms, Docs, Sheets, Slides, Sites, etc.) preferred; Outstanding communication skills, both written and verbal; Attention to detail and problem-solving skills; Strong organizational skills with the ability to multitask; andExcellent time management skills and the ability to prioritize work. PURPOSE: The Administrative Assistant for Secondary Programs performs a large variety of clerical duties to ensure the smooth, accurate, and efficient operation of the secondary programs office and coordinates the overall functions of the office to best serve all stakeholders of Washington County Schools. SUPERVISION: The Administrative Assistant for Secondary Programs reports directly to the Deputy Chief Academic Officer who oversees all secondary programs (grades 6-12). The Administrative Assistant for Secondary Programs will also support the Career and Technical Education Director. ESSENTIAL FUNCTIONS*: Performs a wide variety of assignments, which may be confidential in nature and require research to complete; Uses various computer software programs to compose, edit, revise, tabulate, and print letters, reports, and other materials as directed; Greets and directs visitors; Resolves routine administrative problems; Answers inquiries concerning activities and operations of the department; Accepts, screens, and routes phone calls; Performs a range of staff and/or operational support activities; May serve as a liaison with other departments on basic administrative and/or operational matters; Sorts, screens, and distributes incoming and outgoing mail; Drafts or prepares responses to routine inquiries; Operates a variety of office equipment; Establishes, maintains, processes, organizes, and updates files, records, certificates, and/or other documents, both paper and digital; Arranges meetings and conferences; Schedules interviews and appointments; Makes travel and lodging arrangements; Orders, stocks, and maintains office supplies; Performs basic, routine bookkeeping functions, which may include billing and cash receipt activities; Processes purchase orders, invoices, memos, and return processes; Compiles data from a variety of sources; Takes detailed minutes and notes; Assists in the preparation of regularly scheduled reports; Photocopies and prints documents on behalf of other colleagues; Maintains contact lists; Assists in all aspects of standardized testing including ordering, verifying, and shipping secure materials; Assists in maintaining Federal Perkins CTE accountability documentation including compiling master inventory lists; Communicates and establishes relationships with educational vendors and/or institutions as directed; andPerforms all other duties as assigned by the Deputy Chief Academic Officer and/or the Director of Schools. *The preceding list of essential functions is not exhaustive and may be supplemented as necessary. MENTAL DEMANDS:Experiences frequent interruptions; Requires attention to detail and concentration in a busy office environment; and May occasionally deal with distraught individuals during phone conversations.
