STATE MOTHER ADVISOR DUTIES1:The SMA & SRD should work together to agree on and split the costs for the year.2:The SMA should try to make a matching dress of the travel fabric, but does not have to wear it at every function. Usually, you would dress up “glittery special” for the GWA, GWAA, and SMA/SRD receptions. Otherwise, wear the matching travel dress as you choose. 3:The SMA should make every effort to attend the full Grandie Retreat held in August of each year. A: In addition, the SMA is responsible for coordinating and handing out the Grand Officer/Grand Representative Secret Pals at Grandie Retreat. She should also keep the master list of Secret Pals so if there are resignations or lost Secret Pal sheets, she will be able to assist the girls in obtaining the new information. She should bring this master list to the Friday afternoon luncheon at Grand Assembly when the Grandies reveal their secret pals. B: She should also occasionally remind the girls to send cards to their Secret Pals. Reminders can be included in the official visit speeches or Grandie Reception speeches. C:The SMA should look over and memorize her part for Opening, Initiation, and Closing before Grandie Retreat.4:SMA and SRD work together to come up with a theme for membership or other award programs of their choice and should present their speeches and awards at the official Visits. The SMA and SRD should be prepared to speak at Grand Assembly with and “overall” summary of the programs for the year and present any awards they would choose at that time.5:The SMA and SRD should be prepared to speak at the reception for the GWA. They should present a small gift to her that they obtain together.6:The SMA and SRD should be prepared to speak at the reception for the GWAA. They should present a small gift to her that they obtain together.7: The SMA and SRD will be the objects of a combined honor-reception held in the Spring, usually in conjunction with the annual Grand Officer State-wide initiation. You should be prepared with an inspirational and/or funny speech of some sort to be given during Good of the Order.8:The SMA and SRD work together to obtain a quilt rack to be presented to the GWA on Saturday afternoon of the Grand Assembly when the Grand Officers make their presentations of gifts and quilt. The quilt rack is a gift from both of you.9:SMA and SRD should attempt to be in attendance at all Official Visitations and Grandie Receptions and should be prepared to speak at these functions. They should attempt to attend many of the concordant bodies receptions and honor days as highlighted in the roster. (IE: receptions for the WGM, WGP, GRM, GRP, MWGM, etc.)10:SMA and SRD should attempt to send a birthday card to all of the Grand Officers. These can be a card signed by both. The birthday list is available in the Grandie roster at Grandie Retreat.11:At the Official Visits, the SMA presents a gift, usually theme oriented, to the Mother Advisors and Grand Deputy from that District. The gifts should be of minimal value, in the $5.00 range. All gifts can be hand made or purchased. A: There are currently, as of the 2017-2018 roster, are 15 assemblies of which 13 are active. There are currently 13 Grand Deputies.12: The assemblies of the SMA and SRD will work together with the assembly of the GWAA and the respective Grand Deputies of those districts to decorate the All-Membership Banquet. A:The GWAA will be the Mistress of Ceremonies. B:The SRD will give the invocation at the Banquet. C:The three assemblies work together and share costs for preparing and printing the simple program for the Banquet, and also for the individual “give-aways” for each place setting and for the table centerpieces which should be theme oriented. a: Individual give-aways should be simple and inexpensive. Example: Pens with SMA, SRD and GWA names and titles on theme. b:Plan on 26 rounds 6 tables (3 on each side for the head table) or one long head table. SMA to have place cards for the head table. Contact DOGA who is in charge of the All Membership Banquet and will know the setup required.c:SMA to have place cards for the head table. Plan on approx.. 250 give-aways.13:The SMA may purchase a matching dress with the Grandies for Grand Assembly. If she does not like the style of the dress, the Grandie material may be ordered and a dress made in the style of her choice. She may also wear the outfit of her choice if she does not with to do one of these options. The SRD may also obtain a small amount of the fabric and make a matching fabric vest and /or bow tie for Grand Assembly. This is not required.14:The SMA prepares a “Welcome to the Mother Advisors” welcome speech to be given at Grand Assembly immediately prior to the introduction of the Mother Advisors and Worthy Advisors.15:The SMA works with the Mother Advisors, Grand Deputies and Adult Workers to collect donations and/or obtain a gift to be presented at Grand Assembly to the Supreme Officer from the Adult Workers during the Adult Worker addenda.16:The SMA and SRD should attempt to visit the California Grand Assembly, the Washington/Idaho GWA Reception and Grand Assembly, and the Nevada GWA/GWAA reception weekend. The SMA and SRD should obtain a small gift to be included in the travel bags. Contact the GWA to see what she would like to have in the bags. In the past, the SMA and SRD have included candy, crackers, other food items, or small games in the bags.17:The SMA is responsible for performing the Majority Service at Grand Assembly. The service is available from the Supreme Officer. A valiant effort should be made to memorize the service. However, if you are unable to memorize, please familiarize yourself with the ceremony so it can be presented beautifully (tears are optional!).18:The SMA is to work with the newest Grand Deputy to create an addenda for the Adult Workers for the Supreme Officer and to collect money/gift for the Supreme Officer at Grand Assembly. 19:The Outgoing SMA (you) is responsible for installing the adults at Grand Assembly, with the exception of the group(s) for which she might be a member (ie: Grand Deputy, SEC, Grand Committee, etc.). The Supreme Officer will install the group(s) of which the SMA is a member. The Installation Ceremony is available from the Supreme Officer.20:The SMA stays in the HQ Hotel at Grand Assembly with the Grand Officers. The SMA and/or her spouse should stay on the same floor near the GWA.21:The SMA and SRD and their spouses attend all functions at Grand Assembly including practices, fun activities, All-Membership Banquet, Grand Choir Luncheon, Luncheon for the Grand Officers, and the Grand Cross Breakfast. You do not attend the Dinner for the New Grand Officers on Friday (you attended it when you were appointed).22:At the Grand Assembly session, you will be welcomed (initiated!) into a special group of Past State Moms and Dads (GRUMPS) who try to meet every year and support Oregon Grand Assembly in some way.A: Grumps meet every year at the initiation and early morning breakfast at Grand Assembly.23:The SMA will make every attempt to attend the Grand Cross Breakfast in November and at Grand Assembly. The SMA will prepare a small toast.24: A very important part of being State Mother Advisor is being in charge of the lost and found.A:For this purpose, you must stay at events until the end of the event. a: For example, if you are at Grand Installation you will need to stay at the Convention Center until the SEC is done break down. You also must stay until everything is cleaned up at DJR.25:The role of the SMA and SRD during the year is one of a combined cheerleader, role model, good attitude keeper, confidant, supporter, peacekeeper, advisor and friend to the Grand Officers and all the members of Oregon Rainbow.
