She welcomed everyone, especially special guests Shelby Holland, Dana Sanders, and Julie Walters. The theme for the meeting is The Seven Grand Initiatives...Reaching our Goals! President Clydesdale thanked the Atlanta Woman’s Club for taking the lead of the meeting and for the fabulous centerpieces each of which reflects one of our Grand Initiatives. She also thanked North Side Woman’s Club for the head table flower arrangement and Sandy Springs Woman’s Club for the favors. INSPIRATIONMarva Greene (GFWC Sandy Springs Woman’s Club) gave the inspiration “Why I’m a Member”.PLEDGE OF ALLEGIENCE Patricia Sailors from the GFWC North Side Woman’s Club led us in the Pledge of Allegiance to the Flag of the United States of America. WELCOMEMyra Carmon, President of GFWC Atlanta Woman’s Club brought greetings. CREDENTIALSPenny Blackford, Credentials Chairman gave the preliminary credentials report. It was moved and seconded to adopt the credentials report. Motion carried. There was a total attendance of 52. SPECIAL GUEST SPEAKERSPresident Clydesdale introduced our special speakers for the day:Shelby Holland, GFWC Georgia Vice President/President Elect ~ The theme for Shelby’s administration is SMILE (shine, motivate, inspire, lead, excel); symbol will be a diamond; special project FARE organization (food allergy research education); and TFS project “The Commons” (outdoor seating by the fire pit). Shelby reported that changes will be made with CSP’s effective July 1, 2020. Institute date of August 14&15, 2020 at the Atlanta Marietta Marriott is firm. They were approved as submitted, placed on file, and are available for review upon request. OFFICERS REPORTSDISTRICT PRESIDENT ~ Karen Clydesdale (report attached)President Clydesdale reported that she has fulfilled the duties of her office. She focused on several events that she participated in since the last meeting: Dragon Boat Race, reading at the Pajama Program, annual Pancake Breakfast in Cartersville, and the District President’s Conservation Challenge for Institute. She thanked the ladies of Marietta Woman’s Club (Julie Bates, Ruthann Sherman, and Joyce Broughton) for the beautiful dress that they created for the Conservation Challenge and cute dresses for her three granddaughters. FIRST VICE PRESIDENT ~ Cimi Douglass (report attached)Cimi reported that she has fulfilled the duties of her office. She reported that she had the pleasure of working with Calhoun Woman’s Club to design and build a website for them. This was awarded to them for increased membership by the highest percentage in the District. This membership challenge will continue through 2019. The club that increases its membership by the highest percentage will have the choice of working with Cimi to create a web page or Wikipedia page for their club.Cimi called attention to membership and recruitment handouts at the member resource table and members were encouraged to take what they want. The handouts are also listed on the state website and North West District website.SECOND VICE PRESIDENT ~ Julie Bates (report attached)President Clydesdale introduced new CSP Chairmen: Barbara Washburn, Home Life Chairman; Connie Morris, International Outreach Chairman; and Darlene Kimes, Legislative/Public Policy Chairman.Julie reported that she has fulfilled the duties of her office. Julie reported that her club met the Conservation Challenge for the North West District at Institute and won “Most Creative” design of recycled materials. Karen and her three grandchildren were the stars of the evening. The dress is available to go on tour. Clubs are encouraged to start writing reports and to let her know if your club completed all Seven Grand Initiatives during the year.Julie recognized CSPs and Advancement Areas for a report.ARTS ~ Sara Keys encouraged clubs to participate in member art and student high school art.CONSERVATION ~ Initiative Two: Kathy Hanna ~ the District needs to plant 152 trees. For 2019 Kathy reported that our District has reported 71 trees planted. (report attached)EDUCATION ~ Initiative One: Linda Mote ~ the District is asked to collect at least 167 Dr. Seuss books during the next two years. Each club is asked to donate ? of the number of total membership. North West District has collected 337 books to date. Books and pajamas that are needed for the CIP lunch at International convention can be brought to the Spring District Meeting. Members were encouraged to purchase school supplies.HOME LIFE/INTERNATIONAL OUTREACH ~ Initiative Three: Connie Morris and Barbara Washburn ~ LaFayette Woman’s Club collected 683 pairs of whose, which were donated to Nike in Calhoun and DSL in Chattanooga. (Reports attached)PUBLIC ISSUES ~ Initiative Four: Amber Hahn (not present) ~ the District needs for clubs to hold at least one project for women in the military or women veterans. Another project is to collect formals for a Cinderella’s Closet on military bases. No report.ADVANCEMENT AREASCOMMUNICATION/PUBLIC RELATIONS ~ Initiative Five: Judy Reece ~ (CPR) special project on MLK Day. Judy thanked everyone who contributed information for the latest newsletter. She also thanked Cecilia Westbrook for maintaining the NW District Facebook page. We have 134 members on the Facebook page. She encouraged all to periodically look at the NW District website. (Report attached)FUNDRAISING ~ Irma Shaw ~ Irma reported that we will have a 50/50 fundraiser with donation to entertainment at the 2020 convention. There was a raffle of two turkey’s and the flower arrangement at the head table. LEADERSHIP/LEADS ~ Judine Heard ~ Judine encouraged members to complete the Parliamentary Procedure crossword puzzle. LEGISLATIVE/PUBLIC POLICY ~ Initiative Seven: Darlene Kimes ~ Darlene encouraged members to join the Legislative Action Center ~ Go to their website and click to join. Help increase their membership by asking ? of your membership to join. A handout with instructions was available for members. MEMBERSHIP ~ Cimi Douglass (reported under First Vice President)WOMEN’S HISTORY/1734 SOCIETY ~ Myra Carmon ~ Myra reported that a few clubs are celebrating their 100th anniversary this year. Atlanta is celebrating 124 on November 11, 2019. The Women’s History Committee is active scanning documents to ensure fragility. New forms for 1734 Society were available. Each club is entitled to one delegate for every twenty-five (25) members or less, and for each additional twenty-five (25) members by one additional delegate. The North West District is hosting the Monday CIP Awards lunch and the Monday Gala dinner. The NW District is responsible for donations of small hand sanitizer and individually wrapped chocolate candy. These items can be brought to state convention at Unicoi State Park. Clubwomen may sign up to volunteer on the Georgia website. (Report attached)President Clydesdale announced that the North West District has a new GFWC Club, the Roswell Cares Service League (sponsored by Atlanta Woman’s Club) with Cimi Douglass as founder and President. Cimi talked about the mission, officers, members (7), and they have volunteer activities scheduled to September 2020.JUNIOR CLUBS ~ President Clydesdale announced a Junior Club fundraiser “Letters from Santa Claus”. Good morning ladies, and welcome. Thank you all for getting out so early this morning to be here with us.Some of you may remember that at our March meeting I came from South Carolina. After that meeting I returned to South Carolina which is where my flag and gavel are! So today I am using a meat mallet as my gavel. I am not sure how protocol feels about that but sometimes you just have to make do with what you have. Making do with what you have is not really the norm today. Making do with what you have involves being creative and inventive, using the resources that you have on hand and not throwing money at a problem to get a solution. As clubs there are many times that we have to make do with what we have, But what we have is a lot. We have a federation that guides us and provides weekly information through News and Notes to help us find the resources that we need. We have a state organization that is creative and industrious. They bring us together at conventions and Institute to teach us new ways to get the job done. At these district meetings Presidents have stood up and shared what has worked for them and what has not. As an organization we have a lot to make do with. And we have been doing just that. Cimi will give a membership report that shows we have mt the goals set for us back with the 2018-2020 administration. Ladies I cannot tell you how proud and honored I am to work with such a dedicated, generous and kind group of ladies. Thank you so much for all that you do to make the NW District soar Speaking of kind and generous ladies, I want to take a moment to thank the Hostess Clubs for providing the refreshments this morning. They are Marietta WC and I want to apologize that they had to do double duty this time around. They are hostesses for this meeting and our upcoming meeting on March 21. The board meeting schedule is done by alphabetical order. I should have caught this when setting up the schedule. I am sure Cimi will find a way to make sure this does not happen again. All of the District Presidents received a message from the 2020 Planning Committee assigning us items that we need to provide for the welcome table. The Welcome table will be near the registration area. Visiting Club members can come by and pick up items from the table. These items will provide a little “pick me up” as the ladies go from meeting to meeting. The North West District has been asked to bring small hand sanitizers and individually wrapped chocolate candy. Roswell cares Service League has offered to take care of the hand sanitizers. Convention Registration Mark your calendar that registration opens on March 1. On June 29, 2020, GFWC will elect the 2020–2022 officers and Director-elect of Junior Clubs to serve with Marian St.Clair and Kristina Higbee as GFWC International President and GFWC Director of Junior Clubs. All GFWC members are invited to attend the GFWC Annual Convention. However, not all attendees have voting privileges. When the Call to Convention is issued, please pay close attention to the qualifications for delegates. And, delegates must pay registration fees for the entire Convention to be entitled to vote.The candidates for GFWC office and Director-elect of Junior Clubs were featured in the Winter 2020 GFWC Clubwoman Magazine. Convention delegates will also have an opportunity to learn more about these candidates and their plans regarding the future of our organization at a business session prior to the June 29 election. Bylaws Feb 6 GFWC News and Notes it discusses making sure your club is prepared for the future by updating your bylaws. At the convention in 2019 a bylaw amendment was approved to revise the names and number of Community Service programs. This change will take place at the beginning of the 2020-2022 administration. So, each club should review your bylaws to make sure you have successfully integrated these changes within your club. Effective July 1 the number of community Service programs will change to five and will become the following: Arts and Culture, Civic Engagement and Outreach, Education and Libraries, Environment and Health and wellness. In section 9.5 under duties it also states that the Board of Directors may transact business by voting by mail or electronic means when necessary . A report of any action by mail or electronic means shall be ratified and made a part of the minutes of the next meeting of the Board.
