Your Role

In order to fulfil our mission, pursue our vision and in accordance with our values, the Operational Administrator is required to:

1. Provide administrative support to the operational staff members of the Legal Services Unit (LSU).

2. Provide back-up support to the Logistics Coordinator for LSU related travel and logistics.

Your Duties

1. Provide administrative support to the operational staff members of the Legal Services Unit

1. Maintain and update Central Desert’s filing system and its legal library, also may be required to assist with updating anthropology libraries;

2. Assist the Future Acts and Agreement Implementation Coordinator (FAAIC) - Duties will include, but not limited to, processing Future Act notifications, corresponding with companies and other Future Act related tasks as instructed by FAAIC;

3. Assist operational staff in the administrative aspects of meetings and fieldwork, including the generation of travel requests, preparation of meeting notices and materials for meetings and finalising minutes;

4. Preparation of Minutes - taking of minutes, typing file notes and preparation of meeting minutes;

5. Assist in Federal Court/Tribunal matters – assist relevant Legal staff member for claim/PBC area, duties will include but are not limited to, filing of court documents (eLodgment and/or hardcopy filing), assist with service on parties to proceedings, and other Court/Tribunal related tasks as instructed;

6. Download audio-visual materials onto the Central Desert database and manage the materials held therein including editing footage as directed by LSU staff;

7. Code incoming invoices and credit card statements;

8. Assist in the collation of materials included in briefs to consultants and in the processing of invoices for payments to consultants.

2. Provide back-up support to the Logistics Coordinator for LSU related travel and logistical organisation.

1. In the absence of the Logistics Officer and on an as needs basis:

a) organise the travel aspects of native title meetings, fieldwork, and heritage surveys.

b) Liaise with claimants/native title holders, consultants and other stakeholders in relation to the travel aspects of meetings, fieldwork and heritage surveys, and issue purchase orders as required.

1. Participate in Legal Services team meetings;

2. Contribute to the organisation’s and the Legal Services’ strategic planning processes;

3. Participate in annual performance reviews and professional development, as required;

4. Adhere to all office policies and procedures; and

5. Other duties as directed by the Legal Services Coordinator.

Selection Criteria

Essential Qualifications, Skills and Experience

1. Demonstrate a high level of administration skills and experience;

2. A proven capacity to undertake administrative tasks in a well-organised manner; prioritise tasks and the ability to work under pressure and to a deadline;

3. Strong written and verbal communication skills;

4. High level computer skills, including word and excel;

5. Proven ability to work independently and as part of a team; and

6. An ability to work and communicate effectively in a cross-cultural environment.

Highly Desirable Qualifications, Skills and Experience

1. Previous experience working in a legal environment;

2. Previous experience working with indigenous people; and

3. Sound understanding and skills in legal filing.
