|Job Summary: The Office Technician (Typing) (OT(T)) performs a variety of routine and time-sensitive administrative and clerical duties for the San Francisco Medi-Cal |

|Field Office (SFMFO) within the Clinical Assurance and Administrative Support Division (CAASD). Duties include typing and editing SFMFO Treatment Authorization |

|Requests (TAR) correspondence, preparing fair hearing files, scheduling meetings and conference rooms including the preparation of meeting materials; file maintenance; |

|and assisting with other projects as needed. Serves as the Attendance Coordinator processing attendance, benefits, and other related personal issues. The |

|responsibilities assigned to the OT (T) require a high level of initiative, independence, thoroughness, accuracy and excellent communication and interpersonal skills. |

|Description of Duties: |

|Percent of Time Essential Functions |

| |

|50% Types a wide variety of correspondence and comprehensive reports including letters, memos, procedure memos, templates, and other required documents pertaining to |

|Treatment Authorization Requests (TAR). Reviews for formatting, punctuation, grammar and packaging according to Department and CAASD guidelines. Routes and tracks |

|assignments for review via excel spreadsheets and ensures that assignments with due dates are completed timely. Prepares and coordinates fair hearing case files; |

|including, but not limited to, retrieval of case listing documents via secure file transfer, retrieval of pertinent information from TAR history file, coordinate timely|

|submission of position statements and update office fair hearing log. Prepares and types error correction requests and other provider-generated action items for |

|distribution to appropriate staff. Logs appeals in database and maintains paper and electronic files for the field office. Maintains SFMFO files, reports and charts. |

|25% Serves as the SFMFO Attendance Coordinator; duties include preparing appropriate documentation for processing, including the coordination of confidential issues, |

|such as health benefits, employee salaries, attendance and appointment dates and other personnel issues as they arise. Collects attendance summaries, time sheets and |

|quarterly time studies and ensures they are completed and submitted by the due dates. Generates reminders to staff via Outlook email regarding attendance and other |

|deadlines. Responsible for making travel arrangements for SFMFO staff, travel expense claims, and posting travel checks. Coordinates with CAASD’s Personnel Liaison |

|for recruitments; such as, scheduling and proctoring interviews, preparing interview packets and other pertinent documents and forwards to headquarters for processing. |

|Ensures time sensitive documents are processed and mailed in a timely matter. |

|20% Schedules meetings, trainings and online webinars and effectively coordinates schedules to ensure staff availability for all scheduled meetings and trainings. |

|Secures meeting rooms, prepares, and distributes meeting notices, agendas and other related documents as necessary. Ensures necessary IT equipment, phones and other |

|items are reserved and set-up prior to all scheduled meetings and trainings. Receives, opens, date stamps, and reviews all incoming mail and distributes to appropriate|

|staff and routes outgoing mail for courier pick-up. Answers incoming telephone calls, screens and routes to appropriate staff. Prepares supply order and maintains |

|office equipment and supply inventory. |
