Should this occur, an updated version of the MANUAL will be sent.GENERAL PRINCIPLESThis MANUAL is designed to govern relations between RIO CREATIVE CONFERENCES, hereinafter referred to as the Event Organizer, responsible for the promotion and realization of the Event “Rio2C” (“Event”) and the Exhibitor, hereinafter referred to as the Exhibitor, who undertakes to provide a specific service, execute a promotional activity, brand activation, sell a product or service during the Event, in accordance with their signed CONTRACT and with this MANUAL.By participating in the Event, Exhibitors agree to the contents of this MANUAL, which herewith establishes their rights and obligations, and is an integral part of any CONTRACT pertaining to the usage and/or exploitation of a space located in the Event venue. This MANUAL defines the necessary conditions for the proper functioning of the 2020 edition of Rio2C, obliging the Event Organizer and the Exhibitor to legally abide by the directives herein established. In the case of divergences between the MANUAL and the CONTRACT, the CONTRACT always prevails.Signatories of CONTRACTS pertaining to any space undertake to:Accept the specific terms that govern the functioning and operation of “Rio2C”;Abide by the rules outlined in this MANUAL and any alterations introduced by the Event Organizer or imposed by the legislation in force.Lack of knowledge of norms herein established does not relieve the Exhibitor and/or their contract employees (Assembler and other staff involved with the Event) from penalties, fines, sanctions and responsibilities, as outlined in this MANUAL. Should any of the above be incurred, payment will be the sole responsibility of the Exhibitor, whatever their nature and irrespective of their name.For the realization of the Event, the Cidade das Artes will be divided into exhibition areas, auditoriums, meeting rooms, villages, food court, services, circulation and support areas. The Event Organizer can, in the interests of catering to the greater good, redistribute areas or sectors, as long as they always respect the dimensions and characteristics of the spaces and the contracted spaces.In the event of force majeure, the Event Organizer can realize the Event in another space or alter the duration, however, the Exhibitor will not have the right to cancel their participation or claim any kind of compensation.The Exhibitor acknowledges that the mere fact that they are participating in the Event does not guarantee that they will conclude any business deals during the Event and that the Event Organizer does not have any responsibility in this regard. The Exhibitor agrees not to totally or partially cede or sublet rented spaces, unless authorized by the Event Organizer. The exchange of stands between Exhibitors without prior approval from the Event Organizer Is expressly prohibited.To participate in the Event, it is fundamental that the Exhibitor be up to date with obligations and payments, where applicable, regarding their participation in the Event and other services provided to the Event Organizer. The Event Organizer has no legal responsibility or authority regarding export, import, transport proceedings or unloading of materials. All requirements regarding the installation and functioning of stands and of the Event not related to this MANUAL will be directly resolved with the Event Organizer. The Event Organizer may decide on cases not present in this MANUAL in order to guarantee the safe conditions and perfect functioning of the Event. For all conflicts or issues that derive directly or indirectly from the Event and the application of this MANUAL, Exhibitors are submitted to the jurisdiction and forum of the court in the city of Rio de Janeiro, to the exclusion of any other, irrespective of privilege.The Event Organizer may issue communiqués and guideline documents, which will become part of the rules of the MANUAL, as well as make changes to the MANUAL, and in this case undertakes to provide new versions to the Exhibitor, as well as publish them on the official event website.REGISTRATIONExhibitors’ Rio2C badges:When a stand is acquired, the contract will inform the number and type of Rio2C badges supplied to the Exhibitor. These include: - Assembly- Disassembly- Maintenance- Exhibitor Service (operation)The number of Rio2C service badges related to each category is based on the following criteria: - Badges for assembly and disassembly: No more than 8 badges per 25m2.- Maintenance badges: No more than 3 badges per 25m2. - Operational badges (Exhibitor Service): Maximum 4 badges per 25m2. Requests for Rio2C service badges – in excess of those already supplied – will be evaluated and, if approved, incur an additional cost per badge.Rio2C service badges for assembly, disassembly and maintenance do not grant access to the event itself.The Rio2C Exhibitor Service badge grants access to event common areas ONLY. IMPORTANT: SERVICE BADGES DO NOT GRANT ACCESS TO CONTENT AREAS AND ARE DESIGNED TO CATER EXCLUSIVELY TO THE STAFF NEEDS OF EACH EXHIBITOR.Should there be interest in accessing content areas, it will be necessary to acquire tickets for the event via the website In order to issues the Rio2C service badges for assembly, disassembly, maintenance and operation, links, instructions and deadlines will be sent to the Exhibitor – it is the Exhibitor’s responsibility (or that of their agent/assembler) to register the whole team and make any alterations, as required.In order to access the event, including during the assembly and disassembly periods, everyone MUST be pre-accredited.During the assembly, disassembly and event operation periods, there will be an accreditation team onsite at the Cidade das Artes, who will deliver Rio2C service badges ONLY to staff who have been pre-accredited.All people involved in assembling and disassembling stands (exhibitor, agent, assembler and other service providers) must wear their Rio2C service badges at all times in an easily identifiable place on their person during the assembly, or they will be asked to cease work for non-compliance.The loss of any Rio2C service badge will incur an additional cost of R$ 200,00 (two hundred Reais) per badge.Special Access:All requests for special access, such as guide dogs, among others, must be notified in advance to the Event Organizer via the email: projetos@.TYPES OF PARTICIPATIONSTAND:TYPES OF STANDBasic assembly conducted by the Event Organizer.Special assembly conducted by the client. Request the Merchandising Book from the Event Organizer representative in charge of your contract. TECHNICAL VISIT TO THE CIDADE DAS ARTESTechnical visits to the Cidade das Artes for measurement taking and project assessments must be scheduled prior to the official assembly period. We recommend conducting technical visits with the agency/assembler before commencing project development.Visits must be scheduled with the Event Organizer representative in charge of your contract, who will accompany the technical visit with the Event Production Team.It is important to note that requests for technical visits are not automatically approved and will depend on internal communication between the Event Organizer and the Cidade das Artes.RIO2C APPROVAL AND LICENSINGIn the broader context of the Event’s policies pertaining to aesthetics, sustainability and security, it is necessary to obtain approval for the requested space from the Event Organizer’s different internal departments. In light of this, a number of documents must be submitted by specified deadlines, allowing the evaluation, suggestion and approval. Similarly, Event licensing requires licenses to be obtained for the installation and development of existing structures or service provision to the public, and these must be complied with in full.RESPONSIBILITIES AND OBLIGATIONS OF RIO2CThe Event Organizer has the obligation to request alterations or further information, as required, after evaluating the project in conjunction with the relevant authorities.The Event Organizer reserves the right to interrupt any activities if they are not in accordance with the norms established in this MANUAL, or if they disregard stipulated safety conditions and the required regularization. All staff involved (in the assembly, operation, and disassembly) must have their employment situation properly legalized in accordance with regulatory norm n? 18 – the Brazilian Ministry of Labor’s Work Conditions and Workplace Environment in the Construction Industry (NR 18 MTE).6.2 RESPONSABILITIES AND OBLIGATIONS OF THE EXHIBITOR.6.2.1. DOCUMENTATIONThe Exhibitor is obliged to send the Project (“Project” includes all aforementioned documents referring to the Exhibitor’s space), initialed on all pages and signed, via email to the Event Organizer representative in charge of their contract.From this point on, the project will proceed through the following phases:PHASE 1 – APPROVAL OF THE IDEA/CONCEPTSend document in PDF format to the Event Organizer representative in charge of your contract with the presentation of the idea/concept and 3-D, with general measurements applied on the image.The Project must be restricted to the surface area as defined in the CONTRACT, as well as within the height limit established by the Event Organizer. As such, it is important to pay attention to decorative elements that may exceed the maximum height permitted in item 8.1.bThis project will be analyzed internally by an Event Organizer committee (with representatives from the Commercial, Marketing and Production departments). Should the project not comply with requirements stipulated in this MANUAL or present a risk to the Event and/or the public present, the Event Organizer will request the necessary modifications in order to resolve any issues.Once approved, the Project will proceed through the following phases:PHASE 2 – PROJECT ANALYSISAssembler Registration: should the following documentation be sent by the agency/assembler subcontracted by the Exhibitor, the former must be registered at this phase, via Annex I.Operational Plan – plan including details of the activity to be developed during the Event, including mechanics of the entry and exit of the public, staff, queues, attendance, maximum capacity of the space, description of any freebies and or services to be provided – meaning a full description of the intended participation in the Event. All items must be quantified (public, activity, freebies). If there is no special operation required, the simplified operation must be specified, with the quantity of staff/people in charge of the space;Architecture/ Scenography Project – Send the 3D layout project, as well as blueprints, views and cuts with their respective descriptions and measurements. These documents need to have as much detail as possible;Plans indicating electrical outputs and quantity of KVA’s. Only dated plans that include budget estimates and that are drawn to scale will be accepted, which means plans must be printed in accordance with the design scale. For KVAs, use Annex III created for this purpose. It is important to specify what is clean or non-clean energy, as indicated in this annex;Details of freebies – artistic layout, material specifications, distribution method, quantity to be distributed per day and total quantity. Use Annex IV created for this purpose;Merchandising Artwork. All artwork, even if only applied to freebies distributed within the Exhibitor space, must have prior approval from the Event Organizer.PHASE 3 – FINAL SUBMISSIONSOperational plan with appropriate corrections. The Operational Plan must be submitted at Phase 2 for analysis. Should any alteration/adaptation be required, the Plan must be resubmitted for analysis at Phase 3;Architecture/Scenography project with the appropriate corrections, stamped and signed by the responsible technical professional with the required RRT (Technical Responsibility Certificate) and a copy of the CAU (Architecture and Urbanism Council) license of said professional from the State of Rio de Janeiro, or official endorsement by the entity. Similarly to the previous item: the Architecture/Scenography project must be submitted at Phase 2 for analysis. Should any alteration/adaptation be requested, it will be necessary to resubmit the Project for analysis at Phase 3. Should the RRT not be the final version, proof of payment must also be submitted;Engineering/Structural project – structural project with the respective calculations, stamped and signed by the responsible technical professional, along with the ART (Technical Responsibility Document), and a copy of the CREA (Regional Council of Engineering and Agronomy) license of said professional from the State of Rio de Janeiro, or official endorsement by the entity.Electrical project – electrical plans containing the load table, stamped and signed by the responsible technical professional, along with their ART (Technical Responsibility Document), and a copy of the CREA (Regional Council of Engineering and Agronomy) license of said professional from the State of Rio de Janeiro, or official endorsement by the entity.Extra Energy Request Form (Annex III), if applicable;The quantity, specification and location of fire extinguishers specified in the plans, along with copies of re-charge receipts, rental or purchase receipts pertaining to extinguishers to be used in the Event and the Fire Brigade accreditation of the company supplying the extinguishers;Assembly and disassembly schedule; the Exhibitor/Assembler must comply with the deadlines stipulated in this MANUAL in item 7.1.1;Loading Schedule with information about all vehicles: such as model, license plate, arrival time, driver’s name and the contact number of the person in charge;Operational schedule (with timeframes and specifying the companies that will carry out each phase). The Exhibitor must develop a schedule in conjunction with the Event Organizer, which must be strictly adhered to, and any changes made to the pre-Event or Event phases must be immediately reported to the Event Organizer. The schedule must describe all phases of the Project: assembly, event and disassembly. The schedule must contain the fabrication date and the name and contact of the professional in charge of fabrication, as well as the names, job titles and contacts for the person in charge of each area. Fireproofing Certificates pertaining to canvases and carpets used in construction of the spaces/stands must be included.Accreditation, in accordance with item 3.A.The Event Organizer may request other documents after Project analysis.PHASE 4 – COPIES OF THE PROTOCOL FOR REQUESTING LICENSING AND INSURANCE FOR THE SPACE After final approval for the project, the Exhibitor must send copies of any protocol for license requests to the entities listed below via email to projetos@ by April 13th, 2020:Fire Brigade – Authorization from the Fire BrigadeTemporary Use Authorization Permit (SEFAZ – State Department of Finance). It is necessary to obtain the authorization for advertising in events and the authorization for temporary activity.Advertising License – Authorization for Advertising in Events.ICMS – Tax on Circulation?of?Goods and?Services for Interstate and Intercity Transportation and?Communication: Provisional Operation Authorization (in the case of the direct sale of any products).Brazilian Health Regulatory Agency – Temporary Activity Authorization. (for spaces intending to sell or distribute ANY type of food and/or beverage, including water, peanuts, coffee, etc.)Labor law documentation: ASO – occupational health certificate, workers’ visas, functions and workloads (all staff members must be registered as private limited company (LTDA) or micro-enterprise (ME) in order to be hired as legal entities, or they must be hired in accordance with Brazilian labor law (CLT);PCMAT – Plan of Conditions and Work Environment in the Construction Industry: (obligatory for any assembly activity);NR Certificates (Regulatory Norms) specific to each activity (for all staff members from assemblers that deal with risk-related situations).Insurance Policies for Civil Responsibility, Personal Accident, Theft of Equipment and Natural Phenomena, such as rain and wind. The listed insurance policies are obligatory, given that the Event Organization is on the whole not responsible for individual Exhibitors’ spaces. The Cidade das Artes has an incidence of strong winds, thus it is important to include this item in the insurance policy to ensure it is covered. Should the Exhibitor need to activate the insurance policy, all associated payment is the responsibility of the Exhibitor. The Event Organizer is exempted from any and all onus in this regard. Should this occur, exhibitors will be advised, and the new schedule will also be available for download from the official event website. The Exhibitor must necessarily comply with the opening and closing hours established by the Event Organizer, maintaining their Stand open and functioning in a continuous and uninterrupted fashion.Failure to comply with the opening/closing hours can jeopardize the Event Organizer’s entire security operation.The Event Organizer may define a different schedule for specific spaces, in order to guarantee the minimum service provision for Event venue users. The Event Organizer may also accept, in specific cases, a reduced schedule compared to that outlined in the previous clause in light of the licensed activity to be conducted in said space. In either case, if the schedule is at all different than that which is outlined in the previous clause, this must be defined and agreed between the Parties. The Exhibitor may only may alterations to the layout, repairs or changes to equipment, outside opening hours and when expressly authorized by the Event Organizer.Maintenance and replenishing of material will only be permitted during Event closing hours and only by accredited persons, in accordance with item 7.1.3.For safety reasons, carts and/or trolleys and/or any other vehicles for transporting goods are expressly prohibited in the corridors during Event visiting hours.It is expressly prohibited for the Exhibitor to use a pre-paid system for selling services or products, or any other form that allows the public to demand service outside of established opening hours.ASSEMBLY AND DISASSEMBLY RULES8.1. ASSEMBLYThe Exhibitor/Assembler must schedule the date of arrival with the Event production team beforehand. The stand area will be demarcated on the ground. The Exhibitor/Assembler must be aware of the necessary organization for unloading at the dock, and be aware that if necessary, their vehicle may need to wait. Truck access to the Cidade das Artes is restricted and as such, the team must prepare trolleys, pellet trucks and other equipment necessary to carry out the unloading of all structures from the vehicle to the assembly location. It is highly recommended that a technical visit be conducted in advance in order to understand the best logistics for entry, unloading and assembly; as well as the circulation restrictions for pellet trucks and “Munck” trucks.The Rio2C Production Team can interrupt the assembly of structures at any time on the basis of non-compliance, and only allow assembly to continue after the problem has been duly resolved. Not included:- Storage spaces;- Loading Material: pallet trucks and trollies;- Porters;- Parking exemption - it is the responsibility of each assembler to pay parking costs for their vehicles, even if this is during loading and unloading perods. Under no circumstances will parking costs be covered by the production team.The aforementioned items are the responsibility of the Exhibitor/Assembler. All material belonging to the Exhibitor/Assembler can only stay in the area allocated for their Stand. Material scraps, including cases, must be stored inside the actual stands or removed from the Event during the assembly period. Noncompliance with this guideline is subject to fines, as mentioned in item 15 of this manual. Movement of prior existing artwork at the Cidade das Artes can only be conducted with the previous authorization of the Rio2C Production Team, and accompanied by the Cidade das Artes Production Team.Assemblers must transport their material to the venue ready and/or semi-ready, with only final touches yet to be done. Sanding and/or puttying the walls of the stands in the Event will not be permitted. Vehicles circulating on the grass and/or any spaces other than properly indicated paths is expressly prohibited.Maximum speed for vehicles circulating in the Cidade das Artes is limited to 10 km/h. Cutting, trimming or chopping down of any trees or any other flora will not be permitted.No assembly or intervention may occur without prior submission to and approval of the Final Project. Entry will not be permitted to Assemblers who do not present all required documentation. Assembly can only begin once the Inspection Term (Annex VI) has been signed on the premises by both Parties.Materiais:Construction of Stands in the Event space is expressly prohibited, as is the use of machines for cutting, soldering and sanding, and paint guns. All structures must be planned and prepared in order to be assembled without requiring any of the above activities. The construction of the stand will not be permitted inside the Event premises, only the assembly of its parts. Circular saws will not be permitted entry, neither cutting disks for iron and aluminum or similar machines, and neither any masonry equipment.Mortar and cement and/or gypsum board will not be authorized.The use of glue is prohibited.No work involving greases, paints or any other such material will be permitted.We recommend special attention when working with any materials that may stain the floor of the Cidade das Artes. It is mandatory to prepare the work area with protective lining.Making holes in the Event venue will not be permitted and neither will the placement of any load superior to that which has been previously authorized. The floor, walls, columns and roof of the Cidade das Artes cannot, under any circumstances, be marked, painted, cut, stickered or pierced. It is not permitted to hang, lean or tie any components or products to the Event premises. In the case of spaces with structures that have been ceded by the Event Organizer, be they containers or marquees, these cannot be perforated, cut or damaged in anyway, subject to the payment of damages incurred, as well as the fine mentioned in item 15 of this MANUAL.In the case of stands with carpet attached directly to the ground, the use of double-sided tape from the brand 3M (ref. 4880) or Cremmer (adhesive tape ref.606-X) is obligatory. The use of masking tape between the floor and the double-sided tape is required. The use of double-sided tape on walls, columns and the roof, is not permitted. Neither is it permitted on the physical installations of the Cidade das Artes.The structural elements of any modular assembly using aluminum must result in completely safe constructions. The use of pins and wooden pieces for joining or interlocking aluminum structures is not permitted. Stands with horizontal components encroaching on neighboring stands or over foot traffic circulation areas are not permitted. It is the responsibility of the Exhibitor and/or Assembler to contract insurance policies pertaining to their assembly and decoration materials, as well as their personal items, equipment, etc.In the event of any damage caused by the Exhibitor and/or Assembler, the Exhibitor will cover any expenses for reparation, as stipulated by the technical team at the Cidade das Artes. Any expenses charged to the Event Organizer for damages to any structure of the Cidade das Artes (floors, walls, etc.) will be passed on to the Exhibitor responsible. All equipment used must be returned in perfect condition, and any cost associated with its maintenance, reparation and/or substitution is the responsibility of the Exhibitor and/or Assembler, as well as compliance with legal provisions pertaining to the equipment instruction manual.The usage of glass, mirrors, sharp corners, etc. in public places is prohibited. Glass structures may only be used in situations proven to be exceptional and of a technical nature, with all required guarantees and certifications, including the Terms of Responsibility. The use of glass will not be permitted in Stands and should instead be substituted by acrylic or other materials that do not pose a risk in the event of breakage.Plywood or acrylic boards attached to octanorm structures will not be permitted, in light of the fact that this material may move in the event of strong winds.Limits of Construction and Decoration:Spaces should be produced in an island format, with visibility from all sides and finishing on the top. The visual finish may represent no more than 60% (of the built elements), with the table below determining the minimum and maximum permitted heights for all Stand components and corresponding obligatory indentations:LOCATIONSIZEWIDTHDEPTHMAXIMUMHEIGHTGround Floor, 25m25m5m3m - 5m1st Floor, 25m25m5m3m Furniture, ornamental plants, panels and audiovisual material will be considered as complements to the stand, but their installation should not exceed the limits of the designated stand area. All material used in stand decoration, as well as for any other purpose, must be in compliance with legal norms of the Rio de Janeiro State Fire Brigade.Spaces that possess structures any higher than 1m from the ground up must install guard rails/handrails to avoid fall hazards and guarantee the security of users and staff members, taking existing regulations into consideration.The installation of access ramps for physically disabled users is obligatory in the case of stands with elevated floors, regardless of the total surface area of the stand. Legal provisions regarding access for people with limited mobility must be complied with in full.Wind impact:It is recommended that the stand assembly structure be reinforced for safety reasons, especially in the upper section, taking into consideration the Cidade das Artes’ incidence of intense winds. Cleaning services:The cleanliness of the stand is the responsibility of the Exhibitor, who to this effect must hire the official Event cleaning and waste management company (Annex II) across the assembly, operation and disassembly periods. During the stand decoration period, the Exhibitor may not leave rubbish in the circulation routes and/or streets. The Exhibitor must do everything possible to ensure that their activity takes place in salubrious conditions, offering cleanliness and comfort with impeccable hygiene, in accordance with norms established by SubVisa (the Municipal Sub-secretary of Sanitary Supervision and Zoonoses Control) and the Brazilian Ministry of Labor. Exhibitors who possess equipment such as vending machines, automatic telling machines, telephone booths, etc. are responsible for the cleanliness as well as the safety of this equipment, from the assembly and up to and including the disassembly period. Appropriate storage of any waste generated will be the responsibility of the Exhibitor. The Exhibitor must store utensils and chemical products used for cleaning activities in closed cupboards, in accordance with rules established by the relevant government authorities. The Exhibitor must, wherever possible, use environmentally friendly products with a biodegradability index above 90%.Waste produced during the assembly and disassembly is the sole responsibility of the Exhibitor/Assembler and must be removed from the premises. It is expressly prohibited to use the trash receptacles belonging to the Event Organizer to deposit this waste – noncompliance will incur fines, as mentioned in item 15 of this MANUAL.The Exhibitor must possess, at all times, the cleaning plans, wherein the area, equipment, name of the product, concentration/dosage, user mode, frequency and responsibility are all identified.As Rio2C partners, the Exhibitor and all subcontracted staff members must be sensitive to environmental protection issues and must comply with, and ensure others comply with, all guidelines and suggestions contained within the Sustainability Plan, which will be sent by the Event Organizer (Annex VII). The document includes information regarding the typology, separation and conditioning of recyclable waste. During the Event, the Exhibitor will be responsible for delivering recyclable residue that is properly packaged in plastic bags (allowing for the verification of bag contents in order to ascertain whether the waste has been duly separated, thus avoiding contamination and ensuring that the different waste matter can be properly recycled) and closed, with a label identifying its origin, location and time, as indicated by the Event Organizer.In the Event that the Exhibitor does not proceed with the separation of waste, a waste treatment fine to the value of R$5.000,00 (five thousand reais) per day may be charged. Any additional requirements deemed necessary to maintain pristine cleanliness and hygiene conditions – beyond those made available by the Event Organizer – should be notified in advance. The Exhibitor is responsible for repairing any damage caused to the environment resulting from noncompliance with norms regarding waste management. The burning of waste produced during the Event will not be permitted, and neither will lighting bonfires on Event premises for the making of and/or heating of meals, and neither will using any material or highly flammable products. The Public Health Surveillance authorities reserve the right to conduct audits in all Event spaces, including during Event opening hours. Spaces that are found to be noncompliant with Health and Safety Norms may have their activities interrupted by the appropriate government authority until the responsible Exhibitor satisfactorily meets the required conditions.Cleaning services in public zones, service zones and sanitary installations are the sole responsibility of the Event Organizer, who undertakes to maintain these spaces in perfect conditions of cleanliness and comfort. Hygiene and Food Safety:The Event Organizer may conduct audits relating to Food and Health Safety in licensed spaces, consisting of visits conducted by specialized technicians collecting elements that demonstrate compliance with current legislation (Federal Law 11.346 September 15th, 2006).The aforementioned Law obliges all Exhibitors that produce and manipulate food to implement the Best Practices Manual via a responsible technician following the Directors'?Collegiate?Resolution?(RDC)?216/04?of the?Brazilian Health Regulatory Agency (ANVISA). This technician is similarly obliged to present the Sanitary License from company headquarters. The Exhibitor is required to demonstrate evidence of compliance with the legislation (Resolution RDC 275, October 2002) and must have the necessary information on hand at all times.Should the licensed space be involved with the distribution of any kind of food and/or beverage, even if this is free of charge, the Exhibitor must find out in advance which elements are necessary to be in accordance with current legislation. The Exhibitor is obliged to inform and send to the Event Organizer all reports conducted by official entities of the licensed establishments.Security:During the Event, should the Exhibitor believe it to be necessary to hire security for its internal operations, this must be done so with the security business duly accredited by the Federal Police Force, which must be up to date with all obligations. In accordance with the terms of Law n? 7.102, from June 20th, 1983, Decree n? 89.056, from November 24th, 1983, and Decree n? 3.233/2012-DG/DPF, from December 10th, 2012, as so altered, only security subcontractors that have been previously accredited by the Event Organizer will be permitted (Annex II).During the entire assembly, Event and disassembly periods, the security of equipment and/or structures and the correct packaging of all belongings is the exclusive responsibility of the Exhibitor, and as such, there must always be a person in charge present in the space.The surveillance of the space interior is the exclusive responsibility of the Exhibitor. The Event Organizer should be notified immediately by the producer in charge of the area in the event of any occurrence such as damage, robbery, whereby material or personal losses, and will only be considered if the Incidents Sheet (“Folha de Ocorrências”) is properly filled out and signed.Any objects and documents found should be immediately handed over to the space designated as “Lost and Found – Client Services”.It is not the responsibility of the Event Organizer to guarantee the safety of goods or equipment involved in the assembly, Event and disassembly. The Event Organizer is not responsible for any stolen goods or equipment. The Event Organizer will provide security staff for the Event venue, including active surveillance in public spaces, technical areas and areas enabling access to the Event.The Event Organizer should be notified of any problem regarding access, given that the Event Organizer has staff that are allocated for this purpose. It is expressly prohibited for hired security staff to enter the Event premises carrying any weapons.Electrical Installation:The Event Organizer is responsible for electrical infrastructure and its maintenance in common areas and licensed spaces, supplying standard electrical energy, as contractually established. At the end of the assembly period, a general energy test of the Cidade das Artes will be conducted in all areas used for the Event.The Event Organizer reserves the right to audit the electrical installations of the Exhibitor at any moment before or during the Event.The voltage is 220V single-phase. For any appliances with another voltage, the Exhibitor must provide their own transformer. Each Exhibitor has one air-conditioning outlet with the available load of 3 KVA per 25m2.In the event that the quantity of electrical energy (KVA) provided by the Event is not sufficient to power a stand, the Exhibitor may request additional kVA by submitting the Extra Energy Request Form, via the email projetos@, maintaining in copy the Event Organizer representative in charge of your contract.IMPORTANT: The amount charged will be calculated by the Event Organizer and the payment will be made via bank deposit. The extra energy will be made available after the bank deposit slip has been presented.A request for extra energy CANNOT be canceled, rendering the payment obligatory on behalf of the applicant. There will be no reimbursement. Maintenance of electrical installations inside the licensed space is the responsibility of the Exhibitor. The latter may have recourse to a subcontractor certified for this purpose, as long as they fulfil the requirements for access authorization of persons and vehicles. In this case, the Exhibitor must possess the verification plans, certificates for the technical team responsible for the installation, making them available to the Event Organizer and/or other competent entities upon request. All electrical panels inside the licensed space must be signposted and unobstructed. This signage is the responsibility of the Exhibitor. The Exhibitor cannot under any circumstances connect equipment to external outputs without prior consent of the Event Organizer. The Exhibitor is responsible for implementing measures that promote the efficiency and rationalization of energy consumption during the Event activity. In light of this, and whenever possible, equipment installed by the Exhibitor should be certified for type “A” energy efficiency. Any electrical system malfunction attributable to the Event Organizer should be reported immediately. It must be ascertained whether the cause of the intervention is the responsibility of the Exhibitor, and in this case the entailing cost would be attributed to the latter.The Exhibitor must pay attention to the Event CALENDAR, including generator functioning, aiming to always take the necessary precautions regarding removal of foodstuffs that require refrigeration. Should generators need to be switched on outside scheduled timeframes, this special request must be forwarded to the email HYPERLINK "mailto:projetos@" projetos@, maintaining in copy the Event Organizer representative in charge of your contract. Please note that there will be a fee associated with this request, should it be fulfilled. The fee amount will be calculated by the Event Organizer in accordance with the characteristics of the request.During the Event, all energy used will be measured. Should an Exhibitor exceed the previously informed quantity, the difference will be charged and a fine will be applied as per item 15 of this MANUAL.All electricity interconnection made through the primary network can only be conducted by the technical team hired by the Event Organizer, who will install energy outputs within the designated area of the stand. Each Exhibitor/Assembler must provide the necessary finishing for the installation and electrical distribution in the stand, providing power inputs with breakers and a master switch with protection compatible to the electrical energy request. This should be in electrical boards with sheet-metal doors, attached somewhere that is freely accessible by the Event Organizer’s maintenance team, even outside of Event opening hours. The Event Organizer reserves the right to turn off the master switch in case of emergency. Electrical installations must abide by the rules stipulated in the Technical Norms NBR 5.410/90 (“Low Voltage Electrical Installations”) and NBR 13.570/96 (“Electrical Installations in Locations with Large Crowds – Specific Requirements”) from the Brazilian Association of Technical Regulations – ABNT, especially relating to electric cables, protective devices for sectioning and grounding (metal boards and protection against electric shocks) and electrical installations in high traffic public areas.Each equipment must have one socket, as adapters (“benjamins – T”) are not permitted.The use of lighting that may cause interference in electrical or electronic equipment for other stands is prohibited. Loads superior to the amount allocated to the stand cannot be connected to the electrical network. Any damage caused by such an installation is the sole responsibility of the Exhibitor. The power point delivered by the Event Organizer will only be installed, switched on, switched off and taken away with the presence of the stand’s designated electrician (who must present an electrotechnical license upon request. The absence of this professional in any one of the moments mentioned above can be cause for a fine, as mentioned in item 15 of this MANUAL.Correctly measuring the electrical consumption of the stand is fundamental, given that the cabling allocated to service the stand will be in function of information supplied by the Exhibitor/Assembler; in the event that the electrical consumption measurement is underestimated, extra costs will apply. We recommend that the electrical energy request be evaluated by a specialized technician in order to avoid mistakes in the calculation of the required quantity. All energy for the Event during the periods of assembly, Event and disassembly will be turned off 30 minutes prior to the indicated closing times in this MANUAL.Hydraulics Installations:There is no hydraulic supply. Should any Exhibitor/Assembler use an alternative system, such as plastic drums or water reservoirs, they must notify the Event Organizer for guidelines regarding water disposal.Exhaust and Smoke:This MANUAL does not make any reference to Exhibitors who deal in the production of food and beverage and therefore does not address Exhaust and Smoke. Should this be applicable, the specific document MUST be requested.Installation of Air-Conditioning:The installation of air-conditioning is only permitted in stands of 100 m?. All guidelines in this MANUAL regarding electrical and hydraulic installations must be strictly obeyed.Landscaping:Gardens and ornamental plants will only be allowed when placed in vases or other appropriate receptacles and protected with plastic material, guaranteeing the protection of the Cidade das Artes floor, and respecting the physical limits of the rmation and Communications Network:There will be no Internet signal supplied during assembly. During the Event, we will have a Wi-Fi signal open to the public. The assembly and existence of equipment that emits radio or Wi-Fi frequencies, including but not limited to drones or any other technology that may possibly cause interference without the knowledge and analysis of the Event Organizer, is strictly prohibited. If such a signal is detected by the Rio2C Production Team, the stand will be fined and closed until the equipment has been turned off and uninstalled.We will not cater to specific demands for the Wi-Fi signal that is open to the public, given that this signal’s capacity was designed to cater to the general public of the Event as a whole. Should the Exhibitor require a specialized Internet connection, it would be necessary to get in touch directly with the official supplier of the Event – contacts are to be found in the list of Official Suppliers and Services. Requests will be analyzed and negotiated on an individual basis, independently of the Event Organizer. The execution of the data network inside the space is the responsibility of the Exhibitor, in accordance with the hired service. Any anomalies detected in these services must always be reported to the responsible supplier.Refreshment Services:Exhibitors may hire water and coffee services for their stands, and these services can be contracted directly through the official supplier of the Event Organizer (Attachment II). Requests will be analyzed and negotiated individually, independently of the Event Organizer. The occupation of any area that has not been previously agreed upon with the Event Organizer will not be permitted.Important: If the Exhibitor elects to use another supplier, other than the official one, they must request specific documentation with the F&B norms via the email projetos@, maintaining in copy the Event Organizer representative in charge of the contract.Maintenance and Repairs:The Event Organizer will be responsible for the maintenance of all equipment and infrastructure installed by the same, even if these are placed at the disposal of Exhibitors, with the exception of cases explicitly referred to in previous items of this MANUAL. This responsibility ends once infrastructure or equipment is interfered with or altered by Exhibitors. If it can be identified that the interference is the responsibility of the Exhibitor, the cost must be attributed to the latter. Should maintenance be the responsibility of the Exhibitor, the latter must hire a certified external company for this purpose, who will be subject to the same rules for Event access authorization for all persons and vehicles. The Event Organizer has the authority to supervise and audit, wherever necessary, the technical and safety conditions of all licensed areas. Exhibitors may request technical services from the Event Organizer and their suppliers pertaining to maintenance, and/or infrastructure or equipment on the Event premises. Whenever deemed necessary, the Event Organizer may request the documentation resulting from preventative or corrective maintenance, as well as copies of the verification and maintenance plan of the equipment and respective registration of interferences, as well as copies of the licenses of technicians responsible for this verification and maintenance. The Exhibitor is responsible for the management of any waste resulting from maintenance and repairs.Maintenance hours are specified in item 7.1.3 of this MANUAL.Publicity and Promotion :The publicity and promotion of the Event as a whole is the responsibility and competence of the Event Organizer.The Exhibitor may not license their respective spaces to third parties that are not partners of the Event Organizer. As such, there may be no brand logos placed in the licensed spaces (such as those pertaining to food and drink companies). Any and all activities in the Cidade das Artes during the Event must be previously approved by the Event Organizer. The following activities are categorically prohibited:1. Activities on the lawn outside of authorized zones;2. The use of sound equipment;3. The use of paper or derived products as freebies or for communication purposes;4. Non-authorized brand placement.The distribution of freebies is only permitted following approval by the Event Organizer and must respect Event policies, such as:No object that is potentially dangerous to throw may be distributed;The use of paper and disposables may not be distributed as freebies.The origin (manufacturer) and materials used to create freebies should be indicated. Wherever possible, freebies made in Brazil and of recyclable materials must be privileged.8.2. DISASSEMBLY/REMOVAL OF EQUIPMENTThe disassembly process will follow all rules outlined in the assembly process. The disassembly of stands, as well as the removal of all decorative elements, materials (books, stationary, office equipment, among others) and equipment (computers, DVDs, refrigerators, televisions, among others) must begin as soon as the Event ends, in accordance with the CALENDAR listed in item 7.1.4 of this MANUAL. A staff member of the Exhibiting company must remain in the stand until all material and equipment has been removed.The Event Organizer is not responsible for products and equipment left in the Cidade das Artes after the designated period for removal. In the event that there are any costs associated with items left at the venue, these will be attributed to the Exhibitor. The Exhibitor/Assembler that does not comply with deadlines established by the Event Organizer will be subject to fines as per item 15 of this MANUAL.The Event Organizer establishes that on the first day of disassembly (May 10th, 2020), only perishable items, electrical equipment and other such materials should be removed. The removal of scenography items is not authorized on this day. The disassembly of structures and scenography elements is only permitted from the second day of disassembly (May 11th, 2020). All trash/waste from the disassembly must be removed by the Exhibitor during that period and the disassembly completed in accordance with the aforementioned deadline, with the space returned to the Event Organizer in conditions identical to those it was received in, subject to an audit and approval of the area. This includes the removal of smaller materials such as nails, screws, clamp waste, plastics, etc.8.3. MANAGEMENT OF HUMAN RESOURCES AND CLIENT SERVICESGeneric obligations pertaining to human resources managements:The Exhibitor is the only responsible entity for the hiring of staff it judges necessary for fulfilling functions in their licensed space during the periods covered by the CONTRACT;The Exhibitor, in the capacity of contractor, will be the only entity responsible for complying with labor laws and entailing obligations pertaining to the termination of contractual links with their respective collaborators;The Exhibitor is tasked with monitoring, training and managing its personnel, and all related tasks are their exclusive responsibility;The Exhibitor guarantees that all collaborators receive appropriate training pertaining to Work Health and Safety in order to be able to comply with the current relevant legislation (Regulatory Norms n? 24 (Sanitary and Comfort Conditions in the Workplace) and n? 04 (Specialized Services In Safety Engineering and in Workplace Medicine) from the Brazilian Ministry of Labor), and must present their respective certificates to the Event Organizer and/or any other competent entities upon request;The Exhibitor must guarantee appropriate work conditions and make available individual protection equipment for all staff members appropriate to their functions, as well as guarantee the health and well-being of staff members, including breaks for rest and meals; as well as guaranteeing compliance with labor laws and human rights in their company and in the activities undertaken inside the Cidade das Artes;The Exhibitor must guarantee that their staff members do not sleep or stay overnight in the Cidade das Artes;The Event Organizer will provide an airconditioned tent with tables and chair for staff meals, with an area reserved for Exhibitors’ suppliers and subcontractors; As determined by Public Health Surveillance authorities, during the assembly period, only hot meals that comply with the standards defined by the former are allowed to be consumed. The Event will be constantly monitored, and any fines issued by the entity are to paid directly by the offender. The supplier hired to provide a catering service to the Event Organizer staff (Annex II) will also sell “quentinhas” (basic hot meals) for Exhibitors’ suppliers and subcontracted teams. The hiring of the service must be directly negotiated between the Exhibitor and the Caterer, and the Event Organizer has no responsibility for this service. The Exhibitor and their respective staff members must be environmentally aware and able to adhere to the social and economic criteria required to fully comply and ensure compliance with all guidelines and suggestions outlined in the Sustainability Plan;The Exhibitor is responsible for the perfect presentation of their staff members, including their uniform, as well as their conduct regarding clients, prohibiting any and all behavior that may cause displeasure, discomfort or damage;The Exhibitor undertakes to maintain a sufficient number of staff members in their service to satisfy clients in a timely manner;8.4 SAFETY NORMSIn accordance with the Brazilian Ministry of Labor requirements, it is requested that Exhibitors and Assemblers comply with Safety Norms during the periods of assembly, the Event and disassembly. It is extremely important that everyone (Exhibitors, the Agency, those responsible for Assemblers and staff members) is aware of the Norms (item 8.8) to guarantee proper functioning and prevent any workplace accidents.All employees of the Exhibitor must be correctly identified with accreditation badges and with uniforms. In the event of the termination of a contract with a staff member or relocation, the Exhibitor must immediately return the respective identification element to the Event Organizer.If any rules or procedures are violated, the Event Organizer may issue a warning/fine, as per item 15 of this MANUAL, or revoke the respective Rio2C service badge. All elements external to the Event, who provide any type of service to the Exhibitor, are subject to the obligatory accreditation process for access to Event premises. Consumption of alcoholic beverages inside Event premises is expressly prohibited during assembly, during the Event and disassembly. The Event Organizer reserves the right to expel from the Event premises any and all persons that do not comply with this rule.8.5. FIRE SAFETYElectric soldering will not be permitted, neither will the use of extension cords, where services pertaining to floor coverings with glue and other inflammable materials are being carried out. The Event Organizer is responsible for hiring fire safety services in all common areas and in its own premises, the public spaces in the Event venue.The Exhibitor is responsible for the implementation of all necessary firefighting devices inside the licensed spaces. The Exhibitor must comply with all legal requirements regarding firefighting systems in the state of Rio de Janeiro, such as signage and fire extinguishers. Any occurrence must be immediately communicated to the Event Organizer. It is the responsibility of the Exhibitor to verify that all firefighting equipment is in perfect condition for use and similarly provide maintenance, repair and/or replacement, in compliance with legal rules and equipment instruction manual maintenance plans, etc. The Exhibitor must possess the verification plans, company certificates and respective licenses for technicians responsible for the installation and must make them available to the Event Organizer and/or any other competent entities upon request. The Cidade das Artes will provide fire extinguishers, however, it is mandatory that all Exhibitors maintain fire extinguishers inside their stand that are compatible with the equipment and products present in their stand. CIGARETTESIn accordance with Federal Law n? 9.294 from July 15th, 1996 and State Law n? 5.517/09, the use of cigarettes in collective closed spaces is prohibited, be they public or private, under penalty of a fine, as stipulated in item 15 of this MANUAL. This rule must be applied in all covered spaces, rooms, circulation areas and bathrooms of the Cidade das Artes.8.7. PPE – PERSONAL PROTECTIVE EQUIPMENT AND WORK UNIFORMSAll Exhibitors, staff members and/or subcontracted service providers will only have access to the Cidade das Artes during the period of assembly and/or disassembly if they are using appropriate apparel and have been properly accredited. It is the responsibility of the Exhibitor/Assembler to supply employees and/or subcontractors with personal protective equipment (PPES) appropriate to the assembly and disassembly work of the stands and entailing environmental risks, in accordance with rules established by Decree n? 3214 from June 8th, 1978. This equipment must be in a perfect functional state for usage. The use of PPEs is mandatory. The team will not be allowed to enter and/or stay on the premises if they do not possess this equipment.Below is the necessary equipment for all staff to be able to access and stay on Event premises:Safety boots (closed and without heels);Long pants;Shirt with (minimum) short sleeves;Helmet appropriate to working with moving heavy loads and materials;Safety glasses appropriate for operations involving drilling, moving heavy loads and materials and work involving possible projectile particles. Ex: hammers, sledgehammers, etc.;Security gloves appropriate to the activity to be executed;Paratrooper safety belts with safety straps for any operations conducted above two (02) meters; Protective hearing equipment for any operations above 80 dB(A);Face mask for any operations that produce breathable particles;Eye and face protection.It is mandatory that all PPE possess a Certificate of Approval (C.A.) issued by the Brazilian Ministry of Labor.In accordance with article 157 of the Consolidated Labor Laws system (CLT), companies must:Comply with and guarantee compliance with safety rules and workplace medicine rules;Instruct employees, via service orders, regarding any precautions that must be taken in order to prevent workplace accidents or professional illnesses.It must be noted that in accordance with the norms of the Fire Brigade, the use of shorts and sandals during assembly and disassembly is prohibited. This rule is valid for all persons present at the Event, including Exhibitors.8.8. REGULATORY NORMSRegulatory Norms (RN) are designed to regulate and offer guidance regarding security and workplace medicine procedures in Brazil. Regulatory Norms from Chapter V, Title II of the Consolidated Labor Laws system (CLT) relative to Security and Workplace Medicine, were approved by Decree n? 3.214 from June 8th, 1978 and are required to be observed by all Brazilian companies that operate under the CLT. PRESENCE OF MINORSFor safety reasons, the presence of minors will not be permitted during the assembly and disassembly.OTHER INSPECTIONSVarious inspecting bodies may be present at the Event. In order to avoid any inconveniences, it is recommended that Exhibitors and their subcontractors observe all rules from specific government entities such as the Public Health Surveillance authority, Brazilian Ministry of Labor, Brazilian Association of Software, among others, and where applicable. Regarding the Brazilian Association of Software, it is recommended that when renting computers, Exhibitors are aware of the respective licenses for all installed programs.Regarding the Brazilian Ministry of Labor, Exhibitors that do not respect safety norms may suffer sanctions on the part of this entity. In order to avoid possible inconveniences, it is recommended that Exhibitors and their subcontractors observe Brazilian Ministry of Labor rules. The Event Organizer will not be responsible for any upsets and fines incurred during inspections of terms that were not hired by the Event Organizer.Internal and collective audits in conjunction with competent authorities will be permanently underway during the assembly, Event and disassembly periods, and the Exhibitor must be present and available for authorities during the audits, undertaking to remedy any identified deficiencies in timeframes established by the authority.In the event that a license is not allocated for reasons resulting from an irregular, incomplete or tardy submission of documentation by the Exhibitor, the Event Organizer is exempt from any responsibilities.With regards to the Environmental License of the Event, any source of noise emissions (sound systems) must be submitted in advance to the Event Organizer for prior PLAINTS MANAGEMENT In accordance with current legislation (Municipal Law 5.532 from September 25th, 2012 and State Law 6.613/13 from December 12th, 2013), the Exhibitor undertakes to:Possess a Complaints Book which has been properly authenticated by the Public Attorney's Office and?Consumer Protection Foundation (PROCON-RJ);Make it immediately and freely available to the client upon request;Affix a sign in their space in a visible and legible fashion indicating that they offer this service;Respond to all complaints in a five-day period, directing responses to the relevant market control entity or the regulating entity of the sector;Send copies of this document to the Event Organizer with the respective replies offered to the client.PARKINGThere is no parking available on the Event premises. No parking is allowed in circulation areas, only loading and unloading point in specific pre-approved locations.AUDIT AND MONITORINGQuality control service:The Event Organizer may conduct surveys with clients of the licensed space, with the frequency they deem necessary and with the intention of assessing the level of satisfaction regarding the quality of the space, the service and the product.Audit of Work Health and Safety Environments:The Event Organizer has the right to audit the Exhibitor’s activities, practices and procedures, including taking photographs of situations within the licensed space that may affect the Work Environment and Health and Safety Conditions.The Event Organizer can give indications for the suspension or alteration of any procedure regarding the Work Environment and Health and Safety Conditions that does not comply with the legislation, regulation (Regulatory Norms n? 04 and n? 24 from the Brazilian Ministry of Labor) and/or other norms currently in force on the Event premises.IMAGE AUTHORIZATION FORMThe Event “RIO2C – RIO CREATIVE CONFERENCE” can be filmed, recorded or photographed at the discretion of the Event Organizer and for future publication, transmission, re-transmission, reproduction and or dissemination on TV, cinema, radio, Internet, advertising and/or any other communication vehicle that exists and/or may exist, in Brazil and/or abroad.
