Organization Overview

The Winston-Salem Symphony (WSS) is one of oldest and most respected professional arts organizations in North Carolina’s Piedmont Triad, an area of over 1.6 million residents that serves as one of the primary manufacturing and transportation hubs of the southeastern United States. Recognized as an artistic leader and lauded for its high quality performances, the Winston-Salem Symphony was established in 1946 as a civic orchestra on the campus of Salem College, incorporated as a professional orchestra in 1952, hired its first full-time conductor in 1955, and is now led by its fourth music director, Maestro Robert Moody.

Over the past 69 years, the Winston-Salem Symphony has grown into a nationally recognized regional orchestra employing 75 professional musicians on a per service basis. Currently, the orchestra performs 35-40 concerts per year, presenting both classical masterworks and popular repertoire. The Symphony also boasts a nearly 100-voice volunteer Chorale and an inspiring music education program that includes in-school chamber ensemble and full orchestra programs, family concerts, a Youth Orchestras program consisting of three ensembles, and a new Academy of Music & Arts collaboration with The Salvation Army of Greater Winston-Salem that provides after-school instrumental music instruction to under-served youth.

A volunteer Board of Directors comprised of 40 elected and five ex-officio Directors governs the Winston-Salem Symphony. Merritt Vale has served as President and CEO for nearly 18 years, leading an administrative team of 12. The WSS has successfully balanced its budget 14 of the last 17 completed fiscal years and the past 12 consecutive years except for 2012-2013, when it missed balancing the operating budget by less than 1% (it concluded the following year with an exceptional six-figure surplus). This consistent success is attributed in great part to steady ticket sales, a strong, growing annual fund campaign, and the earnings from a modest endowment. Chief Operating Officer Opportunity

Position Overview

The Winston-Salem Symphony seeks a mission-focused, seasoned, strategic and process-minded leader with demonstrated experience efficiently and effectively leading and managing day-to-day institutional operations, a management team and staff to fill the role of interim Chief Operating Officer (COO), a full-time position for the term of employment, which is a duration of two-years. The position does not include benefits, with the exception of three weeks of annual paid vacation plus paid holidays. The COO will relieve the President & CEO to focus on strategic fundraising efforts that are essential to the success of the Symphony’s multi-million dollar Comprehensive (fundraising) Campaign which is scheduled to run from June 2016 through May 2018. For the duration of this engagement the COO will be an integral member of the organization’s executive leadership team, reporting to the President & CEO, and working closely with the Board of Directors.

S/he must be a leader who is able to help others at the WSS deliver financially and artistically excellent and engaging results. The successful COO should have the skills, sensitivity, and personal confidence to build and maintain strong internal and external relationships and to cultivate a culture that nurtures the unique talents that each member of the team contributes to achievement of the mission. While it is essential that the COO bring efficient and effective financial and operations management experience to this role, it is also critical that they embrace the creative nature of the environment.

The COO will direct, administer, and coordinate internal WSS operational activities in accordance with policies and objectives developed in partnership with the President & CEO and the Board of Directors. S/he will have primary accountability for leading and directing the following business functions: finance/audit/budgeting; marketing/public relations/box office; education; information technology; human resources administration/talent management; contract negotiation/vendor management/legal; miscellaneous industry/other reporting; monitoring and support, as required, for artistic operations functions (particularly as they impact budgets, marketing/PR and education). In addition, the COO will assist in developing organization policies, procedures and business plans; in responding to requests for industry, advocacy and civic support; and in handling other duties as assigned by the President & CEO.

Essential Job Accountabilities

General Planning & Management:

• Provide leadership and management for all aspects of day-to-day operations of the organization including direct supervision of the following members of the executive leadership team: Education & Community Engagement Director, Finance Director, and Marketing & Communications Director; the COO will partner with President and CEO to manage select duties of the Chief Philanthropy Officer and will work closely with the Music Director and Artistic Operations Director to ensure efficient and effective artistic operations.

• Monitor and report on progress against existing plans and assist in leading the development of new tactical and long-range plans in collaboration with the President & CEO and appropriate Board leadership.

• Ensure that the Symphony Association’s mission, vision, short- and long-range goals are communicated and understood throughout the organization and community.

Human Resources/Talent Management:

• Maintain a motivated and highly effective professional team.

• Maintain an organizational infrastructure that maximizes effectiveness.

• Recruit team members in coordination with the President & CEO and hiring supervisors, as appropriate.

• Mentor team members to ensure attainment of critical measures of success and to provide ongoing professional development that promotes personal growth and encourages talent retention.

• Model effective, success-oriented leadership and management behaviors that support the organization’s culture and values.

• Evaluate/coordinate evaluation of staff performance annually and maintain a formal record of each evaluation.

• Ensure proper management of all required personnel records.

• Coordinate annual Musician Master Agreement negotiations in collaboration with representatives of the Orchestra Committee, the Board’s Human Resources & Governance Committee, appropriate staff, and outside legal counsel.

Financial Management:

• Oversee preparation and submission of annual operating budgets and periodic updated projections/latest estimates.

• Direct internal operations to achieve budgeted results and other financial criteria.

• Partner with the President & CEO to ensure the implementation of sound fiscal business practices and financial reporting; assume primary responsibility and accountability for budget, audit, insurance and facilities management.

• Monitor & authorize expenditures; sign checks within limits of authority and consistent with Association financial policies approved budgets; conduct monthly spot check of bank statements.

• Oversee and support annual independent audit.

Marketing/Public Relations/Branding/Technology/Program Management:

• Provide strategic leadership, direction and innovation in branding and communications to reach revenue goals, including growth of ticket sales and other measures of community engagement in Symphony Association initiatives.

• Oversee the development and execution of technology strategies to support attainment of strategic goals.

• Oversee the design, development and implementation of innovative education programs that ensure cultivation of future audiences and establish the Symphony as a leader in the field.

Legal/Governance Management:

• Collaborate with outside legal counsel to manage the organization’s legal and compliance needs, and proactively identify, avoid and/or resolve potential legal issues.

• Negotiate and execute all contracts binding the WSS, unless otherwise assigned, consistent with approved budgets and Association policies; coordinate periodic legal review of all WSS-initiated contracts.

• Oversee compliance with Association records retention policies.

• Develop and implement financial/operating/employee policies, procedures and controls to promote effective communication, appropriate management control, cross-training, and sound governance in collaboration with the President & CEO and Board of Directors.

• Ensure that all activities and operations are performed in compliance with local, state, and federal regulations and laws governing business operations.

• Coordinate board administration in collaboration with the Board Chair and President & CEO. Support board leadership as required.

• Attend and present at Board meetings, including meetings of the full Board of Directors, Executive Committee, Finance & Audit Committee, Human Resources & Governance Committee and Nominating Committee; attend meetings of other governing board committees, task forces and advisory bodies as required.

Knowledge, Skills & Abilities

The ideal candidate should be a charismatic business leader who understands and is passionate about the Symphony’s mission. S/he will have at least ten years of senior business and talent management experience (or equivalent experience), along with exceptional interpersonal skills, impeccable integrity, sound judgment, a demonstrated ability to engender confidence and trust among individuals and groups with diverse interests and needs, and a demonstrated commitment to a culture of respect, empowerment and accountability. S/he will communicate effectively and in a compelling fashion to a wide range of constituents, both orally and in writing, inside and outside the organization, and will be steady and decisive when leading in difficult or crisis situations.

S/he will demonstrate a history of prudent financial management and cost containment skills; an ability to operate within budgetary constraints; and a sound understanding of financial statements. The ideal candidate will be a tenacious, action-oriented “doer” who is able to achieve results despite resource constraints; they will demonstrate consistent logic, rationality and objectivity in decision-making, showing common sense and anticipating the consequences of decisions. S/he will demonstrate an ability to acquire understanding and absorb new information quickly, to identify significant problems and opportunities and analyze problems in depth, and to build mechanisms to minimize “blind spots.” S/he will adjust quickly to changing priorities, cope effectively with complexity, demonstrate the courage to take prudent risks, and to “own” and learn from mistakes.

S/he will demonstrate an ability to juggle multiple projects, focusing on key projects toward a successful outcome. S/he will be committed to talent management and have demonstrated results successfully building and motivating teams and individual team members. S/he will be able to prepare for and moderate effective meetings with productive outcomes and will demonstrate an ability to manage their own and others’ time efficiently. The ideal candidate will also demonstrate the following additional experience or attributes:

• Bachelor’s Degree required; Master’s Degree in business administration or management a plus

• An intense desire to lead and to innovate

• Demonstrated success in management/operation of a business or line of business

• A minimum of ten years of managerial leadership experience including a minimum of five years in a supervisory role

• Excellent business management, teambuilding and leadership skills

• Experience with vendor and contract negotiations

• Arts or non-profit administration a plus

• Experience with non-profit Board leadership, development and management a plus

• Must thrive in a collaborative, but intense and fast-paced work environment

• Technologically savvy with excellent Microsoft Office skills; experience with QuickBooks and Salesforce platform a plus
