HOMEOWNER’S ASSOCIATIONPARK CITY, UTAHTRUSTEE MEETING – August 6, 2018MINUTESThe Bear Hollow Village Board of Trustee’s convened a Meeting on Monday August 6, 2018 at 7:00PM in the Clubhouse. Trustee’s Susan Worthington, Greg Watkins, Jody Lodrick and Howard Butt were in attendance. Howie provided a financial review of Association accounts. We have the following funds in our banking accounts or on hand as of July 31, 2018:Reserve Funds $ 390,253.55Emergency Funds$ 50,365.80Checking Account$ 75,907.25Petty Cash $ 278.57 TOTAL $ 516,805.17There is one Owner with their dues account in Delinquent status. The Budget to date was reviewed; all bills are paid and there are no fiscal concerns for the community at this time.Howie provided an overview of the new Summit Water billing structure. We have used about 24% of our allotted irrigation water thru July. All our irrigation water meters are on line and Howie has been closely monitoring them to watch for leaks or excess usage. With 2 more months to go in “landscape season” we should be within our water allotment.Howie advised that a few owners have experienced a problem with their dues payments going to the HOA lockbox – it seems part of the mailing address (the Dept. # 880151) has been deleted by the banks computer and that has caused checks to be returned as undeliverable. Each individual case has been dealt with as necessary.Greg reported that there are currently 3 exercise machines needing maintenance / repairs. Our repair technician has been called and we are awaiting his service call to fix the problems. The Trustees agreed that we should go to monthly routine maintenance visits for the gym equipment starting in October, since the exercise machines are used more in the fall/ winter months. We will also review a schedule to replace some equipment with the 2019 budget.The transition to Comcast service for the Clubhouse TV – internet – phone services is completed and working well. We purchased a new 65 inch HDTV curved 4K TV for the Club Room and re-mounted the older TV (55 inch) in the gym. Both TV’s look real good and are working well.Howie suggested that the door between the pool and Clubhouse be left unlocked to allow persons in the pool / hot tub area easier access to the rest rooms. The Trustees agreed – new procedure implemented immediately.The water in the pool has been cloudy and several attempts to clear it up with chemicals were not successful. It was felt the water was “dead” and should be replaced completely. The pool was closed August 6-7 and drained completely. While empty, we used the opportunity to repair the missing pool tiles and other minor maintenance (done by Howie). The pool was re-filled and back in operation late Tuesday – water looks real good and clear.The performance of the landscapers (Eschenfelder Landscaping) was discussed. It was the consensus they are doing a very good job keeping up the community appearance. Howie advised this has been a hard year on tree’s, with the entire County suffering from insect and disease problems.We did a tree spray treatment to prevent damages, but some tree’s were beyond saving. A total of 16 dead tree’s were removed from the community, most were replaced. Howie advised he did an inspection of the community with the landscape foreman (Chris) and gave him a task list of things to clean up, replace , repair. The Bobsled Blvd. entry corridor is getting a facelift with new tree’s,an expanded mulch area along the Cove Canyon Drive intersection, new gravel and boulders. We have some surplus funds in the budget from the sidewalk repair project line item – funds to be diverted to pay for the new tree’s / shrubs.Susan advised there is a continuing problem with cars parked illegally on Bobsled Blvd. near the entry way. We need to contact the Sheriff and request additional patrols/parking enforcement in that area.Howie reported he has been in contact with Caroline Rodriguez, Summit County Transportation Planner, to discuss getting bus service into Bear Hollow. The possibility of a trial “on demand” service is being explored, with the HOA offering to pay some costs for equipment installation to implement the service. Nothing solid to report at this time – more talk and discussion needed.Howie advised he met with Bill White to tour the new building he is constructing on his property. Bill intends to bring his administrative offices for all businesses into the building when done; the second floor will be used for non-profit functions. Bill has offered to work with the HOA to enhance the landscape area on the slope behind his building and the Millennium Trail. We will discuss this further in Spring 2019.Options to install decorative lighting on our entry way tree’s on a year round basis was discussed – we will get information from Brite Nites and discuss further as the holiday season approaches.Howie asked the Trustees to increase their inspections of the community to note Unsightliness Policy violations, parking problems, street light issues, check condition of the flags on poles by mail kiosk and report any problems to him.With no further business to discuss, the meeting was adjourned at 8:15 PM. ................
