What responsibilities will you have in this role?

Reporting to the Vice-President, Student Success, the Executive Assistant provides confidential executive-level management of the Office of the Vice-President. This includes ensuring efficient and effective administrative, operational and financial planning support for the Vice-President, Student Success, in addition to supporting divisional and institutional projects and collaborations. The incumbent must represent the Office of the Vice-President, Student Success in a manner that is collaborative and professional; and serve as the primary point of contact and liaison for the Office with other executives and their assistants, with students and student government representatives, and with all academic and administrative areas of the College.

The Executive Assistant establishes work plans to support the execution of the Vice-President's short-and-long term priorities, including coordinating the necessary input workflows from the Vice-President's reporting units.

• Provides confidential executive-level, administrative, operational and management support and ensures the effective and efficient operation of the Office.

• Develops and manages work plans to support the effective implementation of the Vice President’s (VP) short-and-long term strategies; ensures that the Vice-President has necessary information for consideration and review in advance of meetings and Board reporting cycle.

• Collaborates with the Manager, Divisional Integration & Strategic Initiatives and the Manager, Research and Evaluation to ensure the effective management of information relating to grants, special projects and associated budges to facilitate effective reporting to granting and funding agencies and partners.

• Researches and compiles information on various issues as directed; coordinates and provides support for committee meetings.

• Acts as a key resource person on administrative staffing and scheduling concerns, collective agreements, policies and procedures.

• Organizes and coordinates details of the division's annual budget/business planning and implementation, including liaising with departmental budget officers and financial services to ensure that plans are coordinated and available for review by the Vice-President.

• Prepares and monitors budget for the Office of the Vice-President, Student Success, including identifying expenditure trends, reconciling financial records, and liaising with Financial Services to address discrepancies and issues.

• Consolidates quarterly divisional/departmental budget reports, prepares financial forecasts and budgets. Compiles various financial and statistical data and reports. Provides other financial support for the area related to invoicing and related follow-up/problem solving.

• Processes Vice-President’s expense claims and monitors the same for direct reports to ensure timely reporting of claims and compliance with College policies and procedures.

• Acts as the Office of the Vice-President's primary contact with Facilities Management, Human Resources, Information Technology and Financial Services. Coordinates related Human Resources processes for the Office of the VP, office equipment, desk and workstation layouts and assignments, and furniture as required.

• Coordinates the work of working groups under the executive sponsorship of the Vice-President, and facilitates regular reporting between group/committee leads and the Vice President.

• Regularly monitors range of student and academic events at the College and identifies priority opportunities for the Vice-President to engage with students and faculty.

• Drafts presentations and meeting materials on behalf of the Vice-President; drafts correspondence on behalf of Vice-President (e.g. student recognition letters).

• Partners with Corporate Communications to bolster the profile of the Office of the VP, Student Success, and coordinates with reporting departments to ensure that the Office has a proactive and just-in-time presence relating to critical points of the student life cycle.

• Develops and distributes annual calendar of dates of relevance -- including religious observances, and major awareness/commemorative dates.

• Other related duties as assigned.

What qualifications do you need for this role?

• Four year degree from a recognized post-secondary institution preferably with course work in Business and/or Communications.

• Minimum five years’ experience in student affairs, with an understanding of the student life cycle.

• Progressive administrative, financial and project management experience in a large, complex preferably unionized environment.

• Knowledge of the College policies, operations and organizational structure.

• Certification in Mental Health First Aid, or comparable crisis-responder model, with an understanding of privacy legislation and legislation relating to the post-secondary context.

• Strong information and project management skills, with the proven ability to generate project reports and synthesize and organize data for various audiences.

• Exemplary financial management skills, with the ability to synthesize financial data.

• Working knowledge of College IT systems, with capability to learn the HRIS/Banner system to high degree of proficiency.

• Knowledge of computers and various software including Microsoft Office Suite, Office 365, Adobe Acrobat, mobile apps and web self-publishing software.

• Excellent interpersonal, communication skills (verbal and written); highly developed customer service/conflict resolution and problem solving skills; strong collaboration, teamwork, organizational and time management skills; and analytical skills.

• Discretion, sound judgement and demonstrated ability to preserve strict confidentiality.

• Superior organizational, planning, and coordination skills; high level of attention to detail and accuracy.

• Ability to work under pressure with frequent interruptions while dealing with conflicting demands and distractions; ability to prioritize work and meet deadlines.

• Demonstrated leadership in delivering excellent service to others as this is key in supporting the success of our students and our College.

• Effective ability to interact with others and deal with situations in ways that respect diverse backgrounds, experience and styles.

• Flexibility in adapting to change and in participating in consultative decision-making processes.
