Minutes were approved as presented unanimously.Approval of Bills and Expenditures for March 2018Motion: Bill Brennan to approve the expenditures; second by Dan Hartnett.Discussion: None. Expenditures were approved as presented unanimously.Treasurer’s Report for March 2018Bill Brennan reported year-to-date amounts for March 2018 -- Income: $302,087. Expenses: $295,785. Surplus: $6,302. Total Cash Balance as of 3/31/2018: $2,835,225. Motion: Karen Vierneisel to approve; second by Dan Hartnett. Discussion: None. The motion passed, and the report was approved unanimously.Management Report Items for Discussion/ApprovalWork CompletedKen Metz reported that the following projects had been successfully completed: 1) Fire Extinguishers/Emergency Lights maintenance completed by Hendrickson’s. 2) Garage floors in all five buildings were cleaned; 3) The domestic water heater for 5255 was replaced; 4) Static IP addresses to improve connectivity for security cameras were obtained. Braeside will check with Comcast about this once the upgrade in our cable and internet system is completed; 5) Braeside offered one additional on-site pickup on April 7, 2018 for the approximately 30 residents who did not pick up their fobs and/or provide vehicle identification info to obtain parking decals. Those residents who failed to obtain their fobs and/or parking decals at this final distribution will be fined and will have to visit the Braeside office to obtain them. Work in ProgressPre-emptive electric upgrade work in garages by CAM Electric continues. To comply with Americans with Disabilities (ADA) Act requirements, Braeside has obtained the requisite signs and will work with Halcor on their installation. Braeside is awaiting permits for the 2018 tuckpointing work that will begin at Building 2 on April 24th. Residents in building 2 are encouraged to remove any furniture from their balconies as the work will include grinding and create dusty residue. Upon completion of building 2, Braeside will alert residents in Building 3 about the start date for their tuckpointing work. The dumpsters for Spring Clean Up have been scheduled with Groot for May 17 through 20th. Residents are reminded that no electronics can be put in the dumpsters. Nyborg is in the process of the 2017 Audit and have already completed their on-site review of the books.Based on numerous recommendations from residents, Braeside reached out to Offenloch to provide this year’s HVAC maintenance for residents; the dates have been scheduled for May 15 & 16th. The service contract stipulates that it will do standard maintenance and replace the filter for a cost of $78 per unit to be paid by residents signed up for the service. Sign-up sheets will be posted in the garage bulletin boards.Management Items for Board Discussion and Approval – Motion: Dan Hartnett proposed acceptance of RRK’s proposal for roof inspections for a total cost of $1600 for all five buildings; second, Karen Vierneisel. Discussion: None. Motion pass unanimously.Motion: Bill Brennan proposed acceptance of Reiser’s proposal for hallway and lobby touch-ups for a total of $3,680; Second, Dan Hartnett. Discussion: None. Motion passed unanimously.Motion: Dan Hartnett to approve Masonry Technologies, Inc proposal to inspect the masonry repairs for buildings 2 & 3 for a cost of $650 per visit and $750 per building report. Second, Karen Vierneisel. Discussion: Ken Metz explained that Masonry Technologies recommended one inspection per elevation with a minimum of two inspections per building. Motion passed unanimously. Motion: Dan Hartnett to approve GHC’s proposal to replace thermostats in buildings 2,4 & 5 at a cost of $547.92 each; second, Karen Vierneisel. Discussion: Though Dan Hartnett and Ken Metz reported continued communication problems with staff from GHC, it was thought advisable to install new thermostats to ensure hallway HVAC is working effectively with the onset of warm weather. Motion passed unanimously.General Information Merger Update: Notices to the mortgage companies of residents were sent. Provided there are no objections, the merger document will be recorded on May 7th with the Cook County Recorder of Deeds to finalize the merger at which time the HOA will cease to exist. Leasing Update: As of April 16, 2018, Braeside had received only 51.27% of the required 75% approval for this provision and it is unlikely we will reach the requisite number by the June expiration date. Comcast Update: Comcast has begun the process of cutting over cable and internet service to the recently installed updated cable. Once this is complete, Comcast with Braeside will schedule the information meeting and delivery of new cable boxes for residents. CorrespondenceThe City of Chicago completed elevator inspections and issued two Building Code Violations for 5320 and 5360. Issues related to elevator systems are already being addressed by Otis and there is also a phone line issue in building one that is being addressed. Regarding the violation for 5360, Braeside is working with Skyline to find alternate locations for building storage of cleaning supplies which are now housed in the elevator room. It is possible that short, locked heavy-duty cabinets will be mounted in each trash room for such storage. Committee Reports Finance Committee - None. Maintenance – Dan Hartnett reported that Skyline needs to clean interior light fixtures for buildings 1, 2 & 3 which because of their design tend to collect dust at the base. All exterior light fixtures also need to be regularly cleaned per the contract with Skyline. Social – NoneRecycling – Judy Mann reminded residents that electronics cannot be put in the dumpsters from Groot that have been ordered; she alerted residents to Liberty Mutual bank’s document shredding and electronic recycling event scheduled on May 31st from 9 am to Noon. With a duly called motion by Ilse Wilnewic and second by Karen Vierneisel, the meeting was adjourned at 7:15 pm.Executive SessionThe Association was granted a default judgement on March 8, 2018 against a tenant in Building 4 for failure to repair windows that are causing damage to the building as well as another unit.
