Creating a Power Point Presentation



Starting PowerPoint 2003

Beginning the presentation

1. Click the Blank Presentation icon.

2. Select the Slide Layout (Title Slide always appears first.)

Slide 1

You will notice, in the lower left corner of the screen, Slide 1 of 1 is indicated. You will also see that your screen looks like the one below.

Place your cursor in the “Click to add title” box and click the left mouse button. The text box, after you click, will look similar to the one below.

Now, you can enter the title of the presentation.

New Slide Button

Now it’s time to go on to the next slide in your show. To do this, we’ll need to find the New Slide button.

Click-on the New Slide Button to create your next slide.

Use the Slide Layout Task Pane to choose the template we want to use.

Click in the boxes and enter the appropriate information.

Notice how each line appears with a “bullet” ( ( ) in front of it.

Saving your work

Click-on File in the Menu bar. Next, click-on Save in the Drop Down Menu that appears.

Other Slide Views

In the lower left corner of the screen you will see some “buttons” they look like this:

These buttons represent the Normal View, Slide Sorter View and Slide Show.

Each button has its own unique use.

The Normal View gives you a view of the entire slide. You’ll also notice a Click to add notes section at the bottom of the Normal View screen. In this area you can type “speaker notes” for each slide in the lower portion of the screen. When we get to printing, you will see that there is a print selection so you can print your notes for each slide. Then, during your presentation, you can refer to your printed notes.

In Slide Sorter View you can see small images of each slide. This view assists you in arranging your slides in the order that you desire for your presentation.

The last button is Slide Show. Anytime you want to view our presentation, click-on this button. Tap the Esc key to stop the presentation.

The Undo Button

If you make a mistake – no need to panic – click the Undo button and this will remove your mistake.

Slide 3

Click on the New Slide button once again.

Now we’re going to now select a template that has a Title, Bulleted List and a space for a picture.

The center of your screen should look like the image below.

You can click and add title and text in the slide.

Notice the box above Click icon to add content. There are six “tiny” icons in this box that will allow you insert a table, chart, clip art, picture, diagram or a media clip.

Insert Clip Art

Click-on the image in the top right corner of the box (below the arrow above). Then select a clip art for your slide.

Click on New Slide button once again and use the same template as slide 3.

Click the Insert Chart icon to make a chart. Then, you will see an image that looks like the one below. This is called a datasheet.

Below the above image, you will see an image like the one on the right. The data in the above image created the bar chart you see to the right. As you enter data you will see the chart on the right change to reflect your data entries.

Try to enter your data and select an appropriate chart type.

Every now and then you might make a mistake in the Datasheet. If you have “closed” the datasheet, as we did above (when we clicked-on the small X), you can get it back by clicking-on the Datasheet button below the Menu Bar.

Slide 5

Click on New Slide button once again.

We’ll insert some animated images. Follow the steps shown in the following diagram.

It is a good idea to organize the clip art at the first time!

These two areas: Search in: and Results should be: indicate (by the check marks in ALL the little boxes) that you desire to search EVERYWHERE.

Art search for cartoons and “hope” we get an animated image.

So, type-in cartoons in the area under Search text:

Then click-on the Go button.

A screen similar to the one on the left will appear on the right side of your screen.

Notice in the lower right corner of each image that there is either no “symbol” or there is a “small yellow star symbol.” This yellow star indicates that the clip art that the search found animated. If you don’t see the star, this indicates that the image is not animated.

You can preview the animated images.

Since we may not have found an animated image for this slide, let’s try something else – Clips Online. Even if you found an animated clip – try this too!

You can search for a file in any media types from the web and download it to your computer.

One more “thing” about Clips Online

If you don’t want to go through the Clips Online downloading clips process, you can use the procedure below. This procedure “connects” to Clips Online through the Collection List.

Slide 6

Click on New Slide button once again.

Now, let’s try to format the text. Highlight your text first. Then, you can change the font and the font size for the text.

Click-on Format in the Menu Bar and then click-on Font.

AutoShapes

We’re now going to try something new. Firstly, open the Drawing Toolbar.

You can find some icons on the drawing toolbar. Try to use these icons to draw some simple shapes, such as rectangle, oval, line and arrow etc. You can also use the other icons to apply colour and style to these drawing objects.

Here is a good recommendation to you:

Click-on AutoShapes and a small pop-up box of shapes will appear.

Then, you can see many different shapes. Click and hold down the left mouse button, and drag to draw the shape you want Of course, you can modify the shape thereafter.

Word Art:

Now we’ll use some Word Art. Click-on the Insert WordArt button on the Drawing Toolbar.

Enter the text and produce the word art as below.

Insert WordArt and Edit WordArt Text

The Edit Text button will allow you to change the text in your WordArt.

WordArt Gallery

The third button in from the left will bring up the WordArt Gallery again.

Format WordArt

The fourth button in from the left will allow you to change a number of “things” in WordArt.

WordArt Shapes

Click this button to change the shape of your WordArt text

Text Box

The Text Box is also located in the Drawing toolbar. The Text Box button will allow you to insert text in your slides if the template you chose does not have the desired Title and Bullet boxes.

Motion Paths

Click the New Slide Button.

For this slide choose the left slide in the third row – Blank.

Highlight any object (the bee) and click the RIGHT mouse button to bring up a menu which includes Custom Animation. We then select Custom Animation.

Follow the steps in the following picture.

Now, draw a flight path for the bee.

You can modify the animation such as changing its speed and sound effect.

Notice that you can Play your animation effects anytime you desire by clicking-on the Play button.

Viewing your Slide Show

Go to the Menu Bar at the top and click on Slide Show, then click on View Show (like the image on the right).

Or, you can click-on the small Slide Show button in the button bar at the lower left of the screen.

To advance the slide, you can click the mouse button or just press the PageUp and PageDown keys. Anytime you want to end the show, simply tap the Esc key on the keyboard or click the right mouse button and click on End Show in the pop up menu that appears.

Transitions:

Go to the Slide Sorter button at the bottom left area of your screen. Click on the button with four white squares.

Select a slide and right click the mouse.

From the menu that appears, select Slide Transition.

On the Slide Transition Task Pane you can create “transitions”. Transitions are neat, visual movements, as we go from slide to slide in our show.

You may choose different transition effects, speed, and sound. Mouse click is the default slide advance control, or you can set an automatic slide advance.

If you like your transition, you can move to another slide and repeat this process. As you select a transition, it will become the transition for that slide. Or, you can Apply to All Slides.

Build:

Building is a term indicating how each line of the text, on a slide, will enter the screen.

Highlight any object on a slide and right click the mouse.

When you right-click, the following menu will appear.

Click-on Custom Animation.

The following screen will appear on the right side of your screen. When this screen appears, first click-on Add Effect, then click-on Entrance, and finally click-on More Effects (because we want ALL of the effects).

The Add Entrance Effect menu screen will now appear.

Now, choose one of the effects by clicking-on it.

Under Custom Animation, you can see the list of objects with build effects.

Also notice that there is a small, down pointing arrow. If you click-on this arrow it will show you each line of text that you animated in the lower sub-title box.

Now click Effect Options and the menu screen below will appear.

Now, you can set sound effect, dimming after animation and text animation.

Slide Color Schemes

First, go to Slide Sorter View.

Then click a slide. Now, click-on Format in the Menu Bar and then click-on Slide Design.

On the Slide Design Task Pane choose Color Schemes to begin our slide coloring process.

Then, you can choose a colour scheme and apply to your slide.

If you do not like the preset colour schemes, click Edit Color Schemes to make your own.

Backgrounds

Now click-on Format in the Menu Bar. Next, click-on Background.

The Background Menu Screen will appear. Select a colour of the background or click-on the small down arrow in the bottom portion of this screen. Now click-on Fill Effects to apply special backgrounds.

Design Templates

Click-on Format in the Menu Bar, and then Click-on Slide Design.

Click-on Design Templates. Then apply a template to your slide.

Run the show:

To view your show, either go to the Menu Bar at the top and click-on Slide Show, then click on View Show

Or, you can just click on the Slide Show button at the bottom of the screen

Then, to advance (go forward to the next slide or have text or graphics enter), either tap the left mouse button, Space Bar, Right Arrow key or Enter key. If you want to “go back” to a previous slide (or effect), tap either the back arrow key or the Backspace key on the keyboard. You can also click the RIGHT mouse button at any time and a menu will appear that will assist you to move between the slides.

If you desire to end the show, either tap the Esc key, in the upper left portion of the keyboard, or click the right mouse button and then click-on End Show.

If you have set times for your slides, and desire to have the show run in “automatic,” click-on Slide Show in the Menu Bar and then on Set Up Show in the Menu Bar. The following menu screen will appear.

To really get precise timing for each slide transition, sound, and build, you can use a feature to set each movement precisely. Click-on Slide Show in the Menu bar and then select Rehearse Timings.

A small, rehearse timings “box” will appear. When you click through your show, the timings will be recorded.

Now save the presentation as you did before.

A new feature – saving to a CD

You can take it to anywhere, you won’t need PowerPoint 2003 to show the presentation!

To use this feature, click-on File in the Menu Bar and then click Package for CD.

The Package for CD menu screen will appear. Package for a CD will create a folder either on your computer or copy the folder directly to a CD.

Name the CD.

Click the Copy to Folder button.

Enter the folder name and the location of the PowerPoint package.

When you folder opens, you are able to see the files created by PowerPoint Package a CD. If you go to another computer that has PowerPoint 2003, the pbj 2003.ppt file is available for you. If the computer does not have PowerPoint 2003, you can use the pptview.exe file to show your presentation (see arrows below).

a) Clipart

b) Chart

c) Animation

d) Sound

e) WordArt

f) Transition effect

g) Build effect

(2) Submit your file to the Aero Drive.
