It is the mission of Saint Michael’s College to contribute through higher education to the enhancement of the human person and to the advancement of human culture in the light of the Catholic faith.

Major Objectives:

• Strategies to meet annual budget and headcount goals of the college are enacted

• The administration, review and awarding of financial aid is handled for all undergraduate, graduate and special program applicants.

• Through collaboration with Enrollment Leadership team, develops institutional fund awarding parameters for new and returning students

• Student Financial Services guidance and excellent customer service is provided to students, parents, and agencies.

• Office staff are assisted with work allocation, training, professional development and problem resolution.

• Audits and federal reporting are completed in an accurate and timely manner.

• Oversees strategy for the allocation and oversight of federal Aid Programs: FCWSP, FSEOG, and FPELL grants are administered

• Serves as primary contact for handling merit appeals

• Manages office and institutional financial aid budget

• Manages and awards endowed scholarships and works closely with Institutional Advancement

• Produces internal and external reports with a high degree of specificity and accuracy

• Administrative software is current and information in the database is maintained and imported as needed

• A high degree of cross training among financial aid counseling staff is enacted and consistently implemented

• Policies and procedures are developed, documented and implemented, consistent with those of the College, to ensure efficient operation of the office. Policies are revised when needed

• Satisfactory Academic Progress is monitored and reported.

• Oversight of federal accounts (loan/grant processing, error resolution and reconciliation) is provided.

• Maintains excellent working relationships with other SMC offices and departments

• Maintains information within the database, including the import of data as needed.

• Assist with default prevention and collections of Federal and Institutional Loans.

• Accounts Receivables are tracked and managed consistently

Essential Duties and Responsibilities:

• Hires, supports and supervises office staff.

• Reviews undergraduate and graduate financial aid application materials and awards appropriate aid.

• Serves as primary college representative for external vendors, external agencies and government offices, auditors, etc.

• Serves as primary contact for handling merit appeals

• Supervises the departmental administrative assistant and directs work in concert with cross training goals of the office

• Serves on College committees

• Manages the data collection and completion of federal and institutional reports/surveys

• Maintains and updates billing tables for all programs.

• Provides guidance to students and parents around all aspects of financing college and the financial aid process.

• Serves as primary resource for returning students, prior students and alumni

• Gives presentations to groups, large and small, about financial aid policies and procedures at SMC.

• Oversees system management and set up.

• Oversees financial aid delivery (FAFSA and Award processing, verification and professional judgment appeals, notifications and disbursement).

• Oversees communication management including website updates, letter and email production and automates where appropriate.

• Maintains excellent working relationships with other SMC offices and departments

• Maintains information within the database, including the import of data as needed.

• Provides internal reporting to meet operational and compliance needs

• Participates in training sessions and reads to stay current on federal regulations and

guidelines and oversees adherence to new and existing Title IV regulations.

• Attends meetings to stay current on administrative software and related FA issues on campus.

• Troubleshoot administrative software issues and serve as office lead for software implementation projects.

• Performs electronic communications from the College to the federal government.

• Maintains a positive and cooperative working relationship with members of the office and the campus community.

• Actively participates in Enrollment Leadership Team, offering suggestions and ideas freely and openly

• Performs other miscellaneous job-related duties as assigned.

Secondary Responsibilities:

• May substitute for other staff members in various support functions

Education and Work Experience:

• Bachelor’s degree and a minimum of 7-10 years of experience in student financial services including financial aid and account services.

Analytic Skills:

• Requires high degree of analytic skills

• A great deal of analysis of cause-and-effect problems based on a standard approach learned through training, established policy, or the use of established procedures is required

Physical Demands:

Work is often performed in a typical office environment requiring:

• Sitting in a normal seated position for extended periods of time

• Reaching by extending hand(s) or arm(s) in any direction

• Dexterity sufficient to manipulate objects with fingers, for example operating a computer keyboard

• Communication skills using the spoken word

• Vision sufficient to see within normal parameters

• Hearing sufficient to hear within normal range

• No or very limited physical effort

• No or very limited exposure to physical risk

While performing the duties of Director of Student Financial Services the employee may be required to lift and/or move 10-25 pounds.
