Exchange Transition Checklist - Entourage

Process

Preparation

□ You can stop Spotlight indexing for certain folders in system preferences. I am not sure if this is necessary.

Entourage & Exchange

□ Note category colors for reconfiguration in Exchange

□ Export Rules and signatures (Files > Export > Choose what to export)

□ Remove primary IMAP account if one exists (leave secondary accounts until further notice.)

Tools > Accounts > Delete

□ Add Exchange account

• Tools > Accounts > New > Exchange

• Start with out importing anything – Next

• Enter email address (use @exchange.mit.edu for email name and check box for Exchange server) - Next

• Enter Account ID and Password (Leave domain blank)

• Automatic configuration succedded - Next

• Check box for “Use SSL for these Servers” – Next

• Optional: Verify Settings (skip this step) –Next

• Choose skip at pop up

• Setup complete: Name Account - Finish

Entourage

□ Determine if email and calendar have transitioned fully – check repeating meetings, Calendar notes, email subfolders, Sent Items

□ Check Signatures & Rules

▪ if they have used Entourage before, they should be intact, if not import signatures and rules from the file you created eralier (File > Import > From Archive)

▪ Modify rules that were moving to on-server folders

□ Disable Junk Mail filter (Tools > Junk E-Mail Protection > None)

□ Rename Categories if they use them

▪ Highlight calendar item > Choose Categories from Toolbar > Edit categories

□ Sync Entourage with other software (optional)

▪ Entourage > Preferences > Sync Services > Check appriate boxes

iPhone / iPod Touch

□ Delete IMAP account

□ Configure Exchange account

□ Configure device to sync Mail (Exchange Calendars and Contacts are optional)

□ Reconfigure iTunes to sync remaining tasks, notes, contacts (Connect device > Info tab)

Inventory

□ Run Altiris Inventory app

Cleanup

□ Place Rules/signatures export file in trash

□ Reboot machine (to restore tasks and processes that were killed)

Training

□ Bookmark Brightmail and imap Allow/Deny list locations

▪ demonstrate cut/paste if they have current allow/deny list items

□ OWA

□ Go over implications if people outside their group invite them to meetings using Techtime.

□ Review mail recovery, including 14 day limit
