Banner Document Management Suite Overview and Background

Banner Document Management Suite (BDMS) is the Banner module for document management and imaging. BDMS allows users to receive, manage, and process documents directly within baseline Banner Unified Digital Campus contexts. Capabilities of BDMS include automated scanning, filing and processing of documents, management of scanned images as well as born-digital items like Word documents and emails, enterprise workflow launching, output capture of bills, letters, and reports, portable offline document collections, and storage management for both Banner and non-Banner users

Banner Document Management Suite is the product of a long term partnership between SunGard Higher Education and Documentum, a division of EMC Corporation. SunGard Higher Education is the leading provider of technology and business solutions for higher education. EMC Documentum is the leading provider of mission-critical content and storage management solutions for a wide variety of markets. Banner Document Management Suite represents the best elements of the vision, resources, and experience of both companies, focused specifically on the needs of Higher Education.

Banner Unified Digital Campus Baseline Integration

As a native Banner module, Banner Document Management Suite (BDMS) provides a unique, tightly integrated, robust, and easily maintained solution to campus needs. Integration elements delivered as baseline include common user authentication, single sign-on, shared security authorization, direct and configurable document retrieval and attachment within baseline and customized Banner forms and self-service pages, native Banner tracking and checklist updates, shared workflow events, portal integration, web-services access through new and emerging Banner modules, shared Oracle database, and integrated administrative elements.

Banner Document Management Suite Components

Banner Document Management Suite leverages EMC Documentum ApplicationXtender components for many content management services and components.

EMC Documentum ApplicationXtender electronically stores, organizes, and manages virtually any kind of business content. ApplicationXtender is easy to implement, integrate, and manage, providing instant, role-based access to content from either a desktop interface or web browser.

ApplicationXtender is content-neutral and provides universal information support to capture and ingest paper-based information and system-generated files such as scanned and faxed documents, word-processed documents, spreadsheets, email, bills, reports, and other output. ApplicationXtender users can process and update information with tools for annotations, redaction, check-in/check-out, version control, and full-text indexing.

Standard components recommended for all Banner Document Management Suite deployments are briefly described below. Additional ApplicationXtender and partner components are also described for institutions or departments needing specialized capabilities.

Standard Components:

ApplicationXtender Web Access provides easy, inexpensive and secure web access to the Banner Document Management Suite information repository anytime, anywhere, inside and outside of your organization, and within and outside of Banner via interactive and true thin clients.

Web Access supports document management and imaging activities such as document retrieval, addition, scanning, annotation, editing, check-in/out, email, print, fax, route, and full-text searching (with optional full-text indexing described below). Web Access also supports rendering of approximately 250 common file formats, reducing the need for native application deployment and licensing for users authorized to view content in those formats.

ApplicationXtender Desktop Access provides rich desktop integration and robust imaging and document management functionality in a familiar Windows-based interface. Desktop Access is appropriate for selected power users or stations where scanning directly from Banner forms is desired so that staff can immediately scan and return materials to customers.

QuickScan Pro for ApplicationXtender extends the features of ApplicationXtender (AX) to facilitate the scanning of large volumes of paper through barcode and machine-print recognition, advanced image clean-up, batched and single document release, and support for virtually all scanner makes, models, and interfaces.

DiskXtender File System Manager provides enhanced file security for Windows servers. With DiskXtender File System Manager, user file object access can be limited to go only through the ApplicationXtender modules and services.

ApplicationXtender also includes bundled utilities such as AX Administrator, AppGen, and License Server.

Optional Components:

ApplicationXtender Reports Management improves information access and customer service by automatically filing Banner output and other digital documents. Reports Management processes bills, letters, correspondence, and institutional and external without the need for printing, scanning, or manual filing. With Reports Management institutional staff can immediately bring up identical copies of sent materials during phone calls or review digital documents such as provided by federal and other agencies.

Full-text Indexing allows retrieval of documents by any word or words within the documents via simple word search or more complex Boolean, phrase, exclusion, or thesaurus-based searches. Full-text indexing is helpful for managing less structured or large documents such as board minutes, proposals, resumes, donor research, and contracts. Note that full-text indexing of scanned paper documents also requires the OCR Server component for conversion of the image document to text before Full-text Indexing.

ApplicationXtender OCR Server is required for Full-text Indexing of scanned document images. OCR Server also allows users to select areas of an image document or entire image documents and convert the imaged text into textual data associated with the document. Textual data from OCR’d documents can be copied and pasted into other applications by users with appropriate permissions.

ApplicationXtender Media Distribution creates portable document collections for offline access and physical distribution by creating read-only document collection snapshots of existing Banner Document Management Suite data and documents on removable media such as CD-R. Portable document collections created with Media Distribution include an embedded search tool and document viewer.

ApplicationXtender API (Web) Services provides XML SOAP methods, classes, and WSDL for programmatic interaction with the document database. ApplicationXtender API Services comes with documentation of the methods and classes, as well as testing utilities and code examples in Java and .NET. ApplicationXtender API Services is required for integration between Banner Document Management Suite and Luminis portal.

ApplicationXtender Integration Module (AXIM) provides simple, desktop-based integration between any application and the content repository. AXIM is very simple to set up with no programming and can be used to retrieve documents from any application such as an administrative system, MS Office app, email, or web.

ApplicationXtender SDK, CDK, and Web Services Doc Kit provides additional documentation on APIs delivered with the standard components and API (Web) Services interfaces for custom development.

Data and Forms Capture solutions are available to provide large-scale automated capture of data and documents via distributed processing, intelligent classification, handwriting recognition (ICR) for document filing, matching, and data entry into Banner. SunGard Higher Education partners with Software Services of Delaware (SSD) and EMC Captiva for these capabilities and can help institutions select the best fit.

Banner Baseline Integration Details

– Scan, attach, copy/paste, and fax import documents directly from Banner forms

– Retrieval, scan, and attachment flexibility extends to all Banner forms, blocks, fields, and values within fields via unique, customizable, and baseline rules within Banner.

– Single sign-on, context-aware document retrievals, look-ups, and attachments can be created or modified for Banner forms without requiring any programming or non-baseline system modification.

– Starting with Banner 8.0, self-service document experiences evolve into more embedded document management functions completely within HR / Student Faculty Load and Compensation, Travel & Expense Management, and eProposal Management interfaces.

➢ Security Integration

– Single sign-on between Internet Native Banner forms directly as well as through intermediary contexts in Luminis Platform or Banner Workflow and API-based code for Self-Service Banner

– Shared security models for Finance Fund-Org and HR Salary, Organization, Employee Class, and Position Class, enforced whether document access is through Banner interfaces or directly via Web Access or Desktop Access in ApplicationXtender

– Data and relationships within Banner are used for accurate and efficient document processing

– Automatic look-up, fill-in, validation, and list pop-ups for Banner records, documents, data, and requirements for reducing indexing errors and data entry time

– Automatic creation or updating of Banner Student Admissions checklist items and Financial Aid tracking requirements

– Automatic launching of Banner events and Banner Workflow processes for user-involved processing, fully automated processing, and Luminis, worklist, or e-mail notifications of tasks

Luminis Baseline Integration Details (via ApplicationXtender API Services module)

– Single sign-on from Luminis with common session management parameters and login timeouts
