What is a Macro?

According to Microsoft Excel, “A macro is a series of commands and stored in a Microsoft Visual Basic module that can be run whenever you need to perform a specific task.” For example, a macro can be created to quickly format information to look the same each time. Or, as in the case for the Annual Fiscal Certification and Disclosure Processes, macros can be utilized to ensure a form has been properly completed prior to submission to reduce having the form returned to you for correction.

Allowing Macros to Run on Your Computer

The electronic forms (Excel spreadsheets) used in the Annual Fiscal Certification and Disclosure Processes include macros. This means you need to ensure that your Excel software is set-up to allow the macros to run. This set up only needs to be done once, not for each form.

1. To check your macro security level, do the following as illustrated in the screen shot, below:

▪ on the Excel menu, select TOOLS,

▪ select MACRO,

▪ select Security.

2. Ensure that your security level is set no higher than Medium and click on OK.

This is illustrated in the screenshot to the right.

▪ Choosing a Security Level of either Low or Medium will allow the macro to run.

▪ Choosing a Security Level of Very High or High will prohibit the macro to run.

You can reset this security setting after completing both of the required forms, i.e., it does not need to be a permanent setting. Just follow the same steps, and select your original setting.

3. If you choose a Security Level of Medium, the Security Warning box will appear each time you open either of the required forms.

Click the Enable Macros button.

▪ If you chose a Security Level of Low, then the Security Warning box will not appear, but the macros will still run.

▪ If you chose a Security Level of High or Very High, then the macros will not run and your form will be at risk of not being properly completed.
