Strengthening Families Program: For Parents and Youth 10-14

Coordinator’s/Arranger’s Session Set-up Responsibilities

Facility/Space Needs:

Three to four rooms are necessary to effectively deliver SFP 10-14 and host the meal and childcare:

• Separate rooms are needed for the parent and youth sessions. The youth room must be large enough to accommodate all the youth participants at desks/tables and it must have an open space for activities and the creed.

• The family session must be held in a room that is large enough to accommodate all the families at desks/tables and that has an open space for activities and the closing circle. The family session can be held in either of the parent or youth session rooms if the rooms are large enough.

• It is preferable to have a room separate from the rooms for the parent and youth sessions for the meal. It should have enough tables to accommodate the serving of food and all of the participants and staff. It is helpful to have a sink in the room for clean-up.

• A room is needed for childcare. It can be the same room that is used for the family meal.

• During the first couple of weeks, create and hang signs directing participants to the appropriate rooms. Once set-up is complete, the coordinator/arranger can also greet families at the building entrance.

General Space Set-up:

The parent session room should be set-up each week with desks/tables, a flip chart and stand, a TV/DVD player, the weekly video, and all supplies/posters.

The youth session room should be set-up each week with desks/tables, a flip chart and stand, and all supplies/posters. A large open space is needed for games/activities. A TV/DVD player is necessary in weeks 5 & 6.

Equipment Needs:

• A TV/DVD player is needed for weeks 1-6 of the parent sessions.

• A TV/DVD player is needed for weeks 5 & 6 of the youth sessions.

• A TV/DVD player is needed for week 3 of the family sessions.

• A laptop, projector, screen/blank wall is needed for the week 7 family session.

• A digital camera is needed each week.

Photographs:

The coordinator/arranger should take photos of all the program components each week. It is suggested that in week 5, the coordinator/arranger take a photo of each family to be used in the graduation slideshow, on graduation certificates, or given as a gift during the graduation.

Meal:

• The meal should be ordered and picked up/delivered to arrive approximately 20 minutes to a half hour before the start of dinner each week. The arranger should set up a serving table and tables for where the families can eat. Plates, cups, silverware, napkins, hand sanitizer, serving utensils, and beverages should be made available. A garbage can/recycling container should be placed in a convenient location.

• Have name tags available for participants as they arrive.

• It is recommended that each week an announcement be made to the families at approximately 10 minutes before the start time of the parent and youth sessions aimed at promoting an on-time start. Explain that the families will be moving to the parent/youth sessions in a few minutes. Offer seconds and to wrap any leftovers for the families. Ask families with younger siblings to take their children to the designated childcare room.

• Have tin foil, plastic bags, and plastic wrap available to wrap leftovers. Clean up after the meal and wipe all surfaces clean. Store leftovers in a refrigerator or cooler.

Opening Address:

It is recommended that during dinner in week 1, the coordinator/arranger welcomes the families, introduces the staff, gives an overview of the program, and makes housekeeping/facility announcements.

Attendance:

• The coordinator should provide a registration list with the names of the family members, their relationships, ages, and any food allergies or concerns.

• The SFP Attendance & Family Survey Identifiers Record Sheet should be used by the parent and youth facilitators as a weekly sign-in sheet in the parent and youth sessions.

• Coordinators/arrangers may also wish to track attendance of the siblings in childcare.

Surveys/Paperwork:

• According to a pre-set schedule, observers watch 2 parent, 2 youth, and 2 family sessions and rate fidelity. Forms should be given to the assigned observer by the coordinator/arranger. They are to be collected by the coordinator/arranger at the end of the session.

• Participants are asked to complete a pre-survey in week 1 during the parent and youth sessions. They are asked to complete a post-survey during week 7’s family session. Retrospective surveys are administered in week 7 to any participant that did not complete a pre-survey.

• Families write letters in family session 7. These are to be collected and mailed a few weeks after the program ends.

Magazine Clippings:

Two of the program activities require that photos be cut from magazines or newspapers.

• In youth session 1, the youth create a treasure map of their goals. Pictures are to be pre-cut and sorted into 4 categories (job/career, hobbies and leisure, friends and family, and health and fitness).

• In family session 4, the families create a family shield that highlights their values. Pictures are to be pre-cut and sorted into 10 categories (honesty, hard work, caring for the environment, belief in God, being kind to others, value of education, being strong and healthy, spending time together as a family, caring for older family members, and other values).

• During the activities, the pictures are placed in shallow boxes. Labels are needed for each box.

• It can be difficult to find some of the categories in magazines and newspapers. Pictures can be printed from Clip Art.

Incentives:

It is strongly recommended that incentives be given as frequently as possible during the 7 weeks. The coordinator/arranger can distribute incentives following the closing circle each week.

Teen Panel:

In youth session 7, a youth panel is hosted. The coordinator/arranger is responsible for identifying and contacting about 4 youth to serve on the panel. In week 7, the coordinator/arranger should greet the youth and explain the purpose of the panel discussion.

Graduation Celebration:

• In family session 7, a slideshow is shown to the families, which highlights the activities and concepts learned. It is the coordinator’s/arranger’s responsibility to create the slideshow. A PowerPoint template is available and it is to be populated with digital photos taken throughout the program. It is suggested that the presentation be completed immediately following the week 6 program and emailed to the facilitation team, so that they can prepare the narration.

• Certificates are to be made for each family.

• The family session room should be decorated for the graduation celebration.

• Refreshments, such as a cake and beverages, as well as serving supplies are to be purchased and provided.

Weekly Set-up Specifics:

It is the coordinator’s/arranger’s responsibility to ensure that the facility, equipment, and supply needs are met. Prior to the facilitators’ arrival the rooms should be unlocked and all equipment and supplies should be placed in the rooms.

Facilitators may have preferences in how the furniture or supplies are arranged. Coordinators/arrangers should assist with moving the furniture and the activity set-up that is outlined below.

Week 1:

Parent Session –

Youth Session –

• Arrange the room so that there is space for the Get Acquainted Icebreaker, Compliment Circle, and Youth Creed

• Set up the tables and chairs so that they are conducive to discussion

• Set-up the flip chart for easy viewing

• Distribute labeled boxes of magazine pictures in 4 different locations

• Have supplies, including cut magazine pictures, ready for the Treasure Map activity

• Have the Treasure Map sample ready

• Have all the supplies and handouts ready. Refer to the supply, handout, and poster list

Family Session –

• Arrange the room so that there is ample room for the Knot Game and Spin the Bottle Game

• Set up the tables and chairs so that family units can sit and discuss the Treasure Maps

• Set-up the flip chart for easy viewing of Activity 1.2

• Set-up a table or chairs to accommodate 2 teams of 5-6 individuals for the How Well Do We Know Each Other Activity

• Allow space for the Closing Circle

• Have Creeds and Closing Circle posters ready for the closing circle

• If an incentive drawing will be held, prepare a container with all of the youth participant’s and/or families’ names for the weekly incentive drawings

• Have all the supplies and handouts ready. Refer to the supply, handout, and poster list

• Have the incentives ready for distribution

Week 2:
