| 14. General Summary of Function/Purpose of Position |

|The Record Office is a complex work area responsible for the interpretation of court documents, intake and release of all prisoners, transfer of prisoners |

|within and outside of the Department, processing of all pending felony charges and outstanding felony warrants. The Record Office ensures the daily prisoner |

|count is accurate based on the completion of the daily bulletin and review of all movements into and out of the facility. This position performs and oversees |

|a variety of general office support assignments, processing documents, recording, retrieving and distributing data via computer entry as an |

|essential/substantial part of the work load.. Review and interpretation of data from Offender Management Network Information system (OMNI) and/or Offender |

|Management System (OMS) are necessary to complete all tasks. This position is responsible for data entry, file maintenance, prisoner misconducts/forfeitures, |

|ordering supplies and other duties as assigned by supervisor. |

|General Summary of Duty 1 40% of Time |

|Prisoner document and file processing/maintenance. Data entry and retrieval of documents / information from various computer systems (OMNI, OMS) to update |

|and change data. |

|Individual tasks related to the duty. |

|Sort / Distribute reports, documents, and office mail daily. |

|Daily filing of paperwork into prisoner files along with daily filing of prisoner files back onto shelves in Terminal Digit order. |

|Ensuring only documents that are formally distributed to the Record Office file are secured in the file and ensure that the files are kept in the proper, |

|chronological order. |

|Photo coping/scanning documentation from prisoner files as requested. |

|Send / request prisoner files to/from Records Retention. |

|Process document request from the print table. |

|Enter essential documents into OMNI, and file when received. |

|Prepares proof of incarceration for prisoners as requested. |

|Responds to prisoner kit using the most advanced tools available including OMS and OMNI, |

|General Summary of Duty 2 40% of Time |

|Processing of misconducts, forfeitures, restorations – Coordinate with staff throughout the facility to ensure all Class I, and II misconduct tickets are |

|properly delivered to the Record Office for initial entry and subsequent forfeiture processing. Receives the monthly reviews, special good time reviews, TIS |

|review along with all restoration requests for processing. |

|Individual tasks related to the duty. |

|Receives all Class I and II misconduct tickets and enters same into OMS according to MDOC policy/procedure and calculates days available for forfeiture. |

|Completes the appropriate forfeiture packet to the Warden to enable the most appropriate decision. Corresponds with the Central Records Section/Quality |

|Certification Unit to ensure all days forfeited are processed and final documentation is received and disbursed. |

|Receives each annual review, special grant, and restoration for each prisoner in the custody of the facility. Identifies the appropriate committee to review |

|each document, ensures the committee is provided with the appropriate information from the paper and electronic files to make the best decision possible |

|regarding the award of special credits. |

|Corresponds with the Central Records Section/Quality Certification Unit to ensure all days awarded/restored are processed and final documentation is received |

|and disbursed and the Parole Board is notified of any significant change in eligibility or non-eligibility to ensure an improper release is not allowed. |

|The Records Office is responsible for accurate record keeping for every prisoner in every facet of the prisoner’s record including but not limited to |

|classification, transportation, transfer, detainer processing and release processing. Prisoner records must be kept according to statute, administrative |

|rules, department policy and institutional operating procedure. |

|The office interacts with other facility work areas, attorneys, courts, law enforcement agencies, and the public. |

|This General Office Assistant position is involved with every function in the facility Record Office. The Record Offices provide critical information for the|

|safety of prisoners, staff and the public in and outside the prison. |
