Subject: FAST & GEMS Generic IDs (INQUIRY and INQUIRE)

Good Afternoon All,

As you know, the University continues to look at how data is accessed from its business systems (i.e., FAST, GEMS, and OASIS).   We continue to establish policies and procedures that will provide better controls over the accessibility of the data without creating issues for our departments or users requiring the data in order to conduct day-to-day business activities and functions. 

A few weeks ago, we released an email informing the community that the use of the Generic IDs in the GEMS and FAST systems will no longer exist after April 15, 2007.  It was necessary that these measures were taken to ensure that the University is compliant with its policies and procedures.  Although these actions may have appeared to be abrupt, additional actions were occurring to help minimize the impact on the departments and end-users having a real business need for the use of the data that were previously obtained via the generic IDs (i.e., INQUIRY and INQUIRE). 

We have created a new INQUIRE security role (i.e., Basic Inquiry Access role) in the GEMS system that has replaced the old INQUIRE role.  This new role will provide basic employee related data (e.g., employee’s name, status, department information, supervisor information, title, position information and mail point) that may be needed by a department end-user.  If you still have a real business need for the data, then the new process will assign you a unique system ID in GEMS that will be used when logging into the system.  The URL below will link you to the page that will capture the steps you will need to take to request access to GEMS and the form you will need to fill out when requesting access to the new security role in the GEMS database ().

If you have previously used the INQUIRY ID in FAST and you still have a business need to access FAST for basic financial data, the following URL will link you to the page that will capture the steps you will need to take to request access to FAST.  The form you will need to fill out when requesting access to the basic financial data in the FAST database can also be accessed via this link ().

Again, the INQUIRE and INQUIRY (generic IDs) were disabled on April 15, 2007.  If department users still require access to FAST and/or GEMS, access which was formerly obtained via the generic IDs, these users are now required to obtain their own unique IDs in FAST and GEMS.  If you should have any additional questions regarding access to GEMS, please contact Gina Lanier at 974-9632, and Linda Peterson at 974-6066 for FAST related questions.
