Theisen Date: December 2020JOB SUMMARYUnder the direction of the Radiology Manager, the Radiology Supervisor is responsible for planning and overseeing all operational aspects and activities for assigned sections/modalities, locations and support areas. While the range of duties and responsibilities is broad and varied, the major responsibilities are supervising all day-to-day operations including the delivery of care, patient satisfaction, human resource management, equipment oversight and process improvement activities. In addition to daily supervision, this individual will participate in planning efforts involving space, equipment, staff, systems, services, supplies, budgeting and financial management and future programs and services. The Supervisor is a positive, effective member of the Radiology/Medical Imaging management team, fostering a customer/patient focused perspective and ensuring a strong commitment to organizational service standards. The individual maintains collaborative multi-disciplinary relationships within and outside of the organization. MAJOR RESPONSIBILITIESHuman Resource related responsibilitiesA1. Briefs applicants and/or new employees on the overall job requirements, policies and work procedures.A2.Responsible for interviewing, hiring, and training job applicants and new employees.A3.Counsels employees on unsatisfactory performance and/or work behavior.A4.Administers formal disciplinary action.A5.Assists with formal performance evaluations, and receives feedback on employee performance from others.A6. Assigns work duties and responsibilities to subordinate staff.A7. Approves time off and prepares work schedules to assure proper staff coverage.A8. Keeps time records and submits proper information to the payroll department.A9. Overtime authorization and management.A10. Oversees staffs’ ongoing commitment to being patient-focused and to complying with all performance and service standards.A11. Assists the Radiology Manager with interviewing, hiring, supervising, training, and appraisal of performance of clinical staff.B.Oversees daily operations B1.Reviews daily patient schedules for areas assigned. Prepares and implements work schedules; includes work assignments and emergency coverage for evenings, weekends, and holidays (as needed).B2.Checks attendance status of technologists and other support staffB3.Reassigns staff as necessary to ensure proper coverage for anticipated workload.B4.Checks status of imaging equipment functionB5.Contacts necessary internal/external customers for follow up and response to issues and concerns incurred within workflow management.B6.Interacts with technologists, nurses, clerical support staff, radiologists, and others throughout the course of the day to address and resolve the many different issues that impact the provision of services.B7. Monitor and manage productivity of imaging specialists and other modality staffB8. Engages staff and other stakeholders in structured (e.g., UWHIN) process improvement initiatives.B9. Establishes internal processes to provide safe, efficient, caring and respectful patient care.B10. Collaborates with managers, directors, and other supervisors to establish management standards for productivity, patient care, employee performance, cost effectiveness, and customer satisfaction.B11. Ensures that all section, departmental, hospital, ACR and The Joint Commission guidelines are met and maintains a state of continual preparedness.B12. Functions as a liaison between physicians and staff, explaining departmental policies and procedures, resolving problems and coordinating activities, which affect patient care. B13. Ensures that all information regarding procedural and operational changes in the assigned sections/modalities, locations and support areas are communicated to appropriate department and hospital personnel. C.Serves as Section Representative for Patients and Referring PhysiciansC1.Provides initial handling of patient concerns, and elevates concerns when appropriateC2.Serves as initial contact when referring physicians have concerns regarding assigned sections ofthe Department.C3.Assists with the preparation and provides patients and referring physician’s educational and informational material. D. Develops In-service Training MaterialsD1. Works in conjunction with Radiology Manager and departmental staff to develop material and teach technologist staff.D2.Coordinates training of new technologist staff as well as keeping all staff current with advances in technology.D3.Remains abreast on current technologies and performance improvement strategies by reading journals and keeping professional certification(s) current. E. Scheduling of ExaminationsE1.Works with Receptionist/Schedulers to keep the daily work flowing smoothly and prevent excessive waiting times for appointments and in department waiting.E2.Determines priorities for performance of examinations considering patients’ conditions and examinations being requested. E3.Determines procedural frequencies to ensure optimum productivity of equipment while still allowing sufficient time to complete examinations.E4.Resolves scheduling problems and conflicts. E5. Communicates with other departments and attends meetings as necessary to solve scheduling problems and improve turnaround time for procedures, reports, and improve patient satisfaction. F. Coordinates New ProgramsF1.Initiates and makes recommendations for new methods of service and service improvements.F2.Records necessary statistical information to document needed improvements.F3.Monitors and evaluates applications and quality of new equipment and software enhancements provided by outside manufacturers and internal programs sources.F4.Updates and/or writes new policies and procedures to support new programs.F5. Collaborates on specific projects as it relates to operations and planning. G. Responsible for Section Safety and Maintenance of EquipmentG1.Implements new and updated patient and employee safety policies and procedures.G2. Works with the Risk Management office and the Hospital Safety Director to ensure that safety standards are being met and risks are being minimized.G3.Assists with and oversees preventative maintenance on imaging systems to ensure all instrumentation is safe and in good working condition.G4.Works with Medical Physicists and Radiology Equipment staff to resolve equipment malfunctions and to ensure all regulatory requirements regarding equipment performance and met.G5. Participates in evaluations and recommendations regarding additional equipment and technical protocols; completes testing procedures and assists in establishing new techniques and protocols. H. Purchasing of SuppliesH1.Responsible for the acquisition, management, and ensuring optimal usage of consumable supply inventories for areas assigned H2.Works to reduce inventories and reduce costs through standardization and selection of lowest cost supplies consistent with acceptable levels of quality.H3.Responsible for overseeing physical inventories as necessary and for the physical storage and security of materials and supplies. I.Fiscal ResponsibilitiesI1.Assists the Radiology Manager with the capital and operating budgets (revenue and expense) for assigned areas of responsibility.I2.Reviews monthly operating and general ledger statements for areas of responsibility, notes variances in operating expense or revenue production and determines actions to resolve variances when variance falls outside of limits of tolerance.I3.Monitors flow of hospital component patient charges and intervenes as necessary to ensure timely, accurate, and comprehensive flow of patient billing information.I4Participates in the selection of major and minor equipment items.I5.
