Guide to setting up your BCM to send out an email to the mailbox user for any messages that they receive on their Call Pilot voicemail system.

This guide will hopefully explain using screen shots where possible on how to set the feature up. These pictures were taken from my own BCM 50 system running release 6.0 software and are only there to offer advice as user input will require different email settings to be added in.

Note

This guide has already assumed that the BCM phone system is already connected to the Internet via the published LAN port using a valid IP, Subnet and Gateway addresses onto the local area Network.

BCM administrator functions

Log into the BCM Call Pilot Manager application via the browser using the direct URL or via the BCM Element Manager tool.

The link is something like

(10.10.11.1 being the BCM system IP address)

Log in using the BCM login account and password if accessing the browser directly. Once logged in, select the Configuration Tab and below it “System Properties”

The next page will show the main settings. Scroll down to where you see the email settings as shown

You will see nearer the bottom of the screen above the four areas that need to be filled in with your email providers settings. This is for outgoing emails to be enabled and sent from the BCM system using a general email account. You can use one of your own or create a new one, but you won’t receive emails from the BCM Call Pilot system.

Once you have filled out the four fields, make sure that you scroll down to the bottom and click the “Submit” button to save the changes made.

The next area is to look in the subscribers Mailboxes section. Come out of the Configuration area and select the top Mailbox Administration tab. In there are all your existing mailboxes. Each mailbox will have a class of service defined and usually it is set to “1”, but you might need to amend a number of different COS tables.

Select the Class of Service option to get the screen as shown below.

In this example. COS ID 1is being used and on the right hand side under command, click the change button.

All the details for the mailbox class of service will be listed and make sure that the “Enable Message Forwarding” box is ticked as shown below.

Click “Submit” to save the changes and log out of Call Pilot Manager.

BCM Mailbox Manager

This browser application is for the user to administrate their own mailbox settings on an individual basis. The link to access it, is something like

Log in using your mailbox users extension number and passcode and press the “Submit” button to get a screen like this below.

Once logged in, you have a screen such as shownn below.

In the “My Mailbox” area, select the Message Forwarding option. This is where the user adds in their own personal email details such as shown below.

You need to tick the “Enable Message Forwarding” tickbox and add in your designated email email that will receive your voicemail messages. If you want to hear the message via a *.wav file attachment, then tick the WAV voice box.

You can add in a email signature so that you know where the email has come from via adding in some notes.

Once done, click the “Submit” button to save the changes made.

This should hopefully enable you to start receiving voicemails via email.

Aditional information

Using this feature means that any voicemail messages left will still leave the message waiting light LED lit up after you have listened to the *.wav file message as the email sent out is only a delivery service and it can’t know if the actual message was ever read once sent.

If the user is usually away from their phone or works away a lot, and that they use something like Microsoft Outlook as their email client, then they might want to consider downloading the Call Pilot Desktop Messaging Application. An example of what it look like is shown below.

The benefits of having this application installed is that you can see details of the messages and also have the ability of listening to them via the Call Pilot player tool such as shown below.

Once the message has been listed to via Outlook or if you change the message to read, then the light on the phone will go out. These tools can be downloaded via access to the BCM administrator tools via the browser.

Just click on the CallPilot Unified Messaging link

You will need to select the correct software package. Please read the notes area and decide if the 64bit or 32bit application is required. Outlook 2010 is supported, but I don’t know if later versions are compatible?.

It’s really a case of downloading the correct software onto your computer and then installing it to have it migrated with your Microsoft Outlook.

You will require your mailbox passcode to add in one of the columns along with the extension number etc.
