Policies and Procedures

Mission

The mission of Ready Set Learn (RSL) is to ensure a positive view of education and foster a love of learning in preschool-aged children. RSL will support parents by providing a safe and developmentally appropriate environment designed to stimulate a child’s social/emotional, physical and cognitive development. Quality educators coupled with a loving environment will effectively empower each child for both educational and life success.

The common goal which we share with all parents is to equip children with the skills and knowledge to be happy and successful. Research shows that participation in a pre-school experience increases kindergarten readiness for children. Therefore, we have designed our program to incorporate a routine of activities, including child-directed play and group time, supervised peer interactions, opportunities to develop positive relationships among children and adults, and provide a safe environment conducive to learning.

Licensing Status

Ready Set Learn meets the requirements to hold a Group Child Care Center license from the Missouri Department of Health and Senior Services, Child Care Regulations. The list of regulations for licensed programs is in the RSL office and available for review at any time. To maintain our current licensing status, RSL is inspected annually by the Missouri Department of Health and Senior Services, Child Care Regulations, Fire Safety of Boone County and Sanitation of the City of Columbia. All staff are required to pass a background check, a medical exam, tuberculosis evaluation before working with children. In addition, staff must maintain a Food Handlers permit from the City of Columbia, CPR and First Aid certification and receive 12 clock hours of training annually in Early Childhood Education.

Hours of Operation

Ready Set Learn regular hours of operation are from 7:00 a.m. to 5:30 p.m. daily. Families have the option for the number of days they would like their child to attend based on availability. Infant/Toddlers must attend 5 days a week. There are three packages available from which to choose during the daily hours of operation:

Half-day: 9:00am to 1:00pm (not applicable for infant/toddlers)

Extended Day: 8:00am to 4:00pm

Full Day: 7:00am to 5:30pm

Classroom Organization

A total of forty-four (44) children may be present each day. The classes are:

• Infant/Toddler class: 2 staff members with no more than 8 children under two years of age

• Toddler class (1 year old class): 1 staff member with no more than 4 one year olds.

• Preschool I class (2 year old class): 1 staff members with no more than 8 two year-olds

• Preschool II class (3 year old class): 1 staff member with no more than 10 children ages three-four

• PreKindergarten (4 year old class): 1 staff member with no more than 10 children ages four-five

• Teachers’ Aide: Assists with Infant/Toddler and Preschool I classes

• School Aide: on site to prepare snack and lunch and assist throughout the school

• Director: on site each day to teach and/or assist with classroom needs.

(Children will “move up” to the next classroom based on Columbia Public Schools August 1 cut off date for enter kindergarten or when space is available in next age classroom)

Enrollment

Enrollment is available to children ages 6 weeks to five years old. Five year olds may attend until they enter kindergarten.

Application

An application for enrollment must be completed and returned with a $25.00 one-time non-refundable processing fee for your child to be considered for enrollment if space is available. Children will be accepted in the order of dated applications, with the exception of siblings of children already enrolled. Siblings automatically get first priority to availability. A tuition deposit is due when your child’s enrollment has been accepted, and there is a space available for your child. This deposit is applied to your first month’s tuition.

Enrollment Forms

In order to attend RSL, all children must have on file an enrollment form, the medical exam report completed by a physician or registered nurse, a copy of current immunizations and any other necessary forms including but not limited to a tuition agreement, signed document stating all parents/guardians have read and understand the policies and procedures, media policy, medication form, etc. Enrollment may be delay if all forms are not received.

In accordance with Section 210.003.7,RSMo., the parent or guardian of a child enrolled at Ready Set Learn may request notice of whether there are any children enrolled at our facility with an immunization exemption on file. If you would like this information, please contact Annika or Kate and the information will be provided to you. Please note, the name or names of individual children are confidential and will not be released. Our response will be limited to whether or not there are children enrolled at our facility with an immunization exemption on file.

A child will be considered enrolled upon receipt of all application forms and fees. The child may begin attending the day the enrollment process is complete, assuming there is a spot available.

Wait List

RSL will maintain a wait list when any class is at capacity. Families must complete the application form to place their child on the wait list, but no application fee, tuition deposit, or other forms are due while a family is on the wait list. Completed applications will be dated when received. Children will be invited to register in the order of dated applications as space becomes available. Reserving an opening: If you would like to “hold” a spot that is currently open and could otherwise be immediately filled, there is a $250 non-refundable deposit which is applied to your first month’s tuition. For example if there is an opening August 1st but you don’t want to start until August 15th you will be asked to pay the $250 deposit to hold that space.

Summer and Fall deposits

For both our Summer and Fall sessions we require a $200 non-refundable deposit. This is put towards your first month’s tuition once you start the new session. If you want to “hold” a spot over the summer and return in the fall, please see page 6 under the Holiday’s/Birthday’s School Closings section.

Tuition

Tuition must be paid monthly. It is due by the 5th day of each month. Make checks payable to Ready Set Learn.

Please see our Enrollment Form for tuition pricing

Monthly tuition amount is averaged based upon days attending, so the payment for each month is the same. Families only pay for days RSL is in session. A payment chart is posted at the payment box.

Tuition may be mailed to RSL at 2601 North Stadium Blvd.; Columbia, MO 65202;

or placed in the tuition box near the entrance of RSL.

Refunds

If a child withdraws during the school year, a two-week notice must be given or payment of two weeks tuition is required unless an immediate replacement is secured.

No refunds or credits will be given for absences. There may be exceptions in the case of emergency circumstances. Notify the Director of your situation as soon as possible.

Make- up days for illnesses are available for those attending less than 5 days per week and if there is space in your child’s class. If there is not space in your child’s class, make-up days will not be allowed.

Additional days and extended days may be available if there is space. You must sign up in advance and pay the additional tuition for these days or extended hours on the day of the service.

Late Tuition and Insufficient Funds

Tuition is considered late after the 5th of the month. A late fee of $20.00 per child will be assessed for tuition received after the 5th of the month. Each week after the 5th of the month an additional late fee of $20.00 will be assessed. Late fees may be waived if the Director is notified with a valid reason prior to the 5th and adequate arrangements for payment are made.

If a check is returned due to insufficient funds, a $25.00 returned check charge will be assessed each time the check results in insufficient funds. According to the tuition agreement, if tuition is not paid, the account will be turned over to a collection agency or lawyer. You are responsible for all fees from the collection agency or lawyer to collect on the account. The information may be documented on your credit report and could reflect negatively on your credit rating.

Schedule Changes Mid-Year – Tuition Agreement Rewrite Fee

Parents or guardians will be allowed to change the hours/days on their tuition agreement once their child’s session has begun if the days/times are available at that point.   Such changes requiring a rewritten tuition agreement will be assessed a $25.00 rewriting fee.

Holidays/Birthdays/School Closings

Ready Set Learn will follow Columbia Public Schools calendar for all holidays (we will be open on teacher work days). This includes the following holidays but is not limited to: New Year’s Eve, New Year’s Day, Martin Luther King Day, President’s Day, Columbia Public Schools Spring Break, Memorial Day, the week of the 4th of July, Labor Day, Columbia Public Schools Thanksgiving, Columbia Public Schools Christmas Break. We will follow Columbia Public Schools decisions regarding school cancellations due to inclement weather. There are no refunds or make-up days for inclement weather closings.

We are open for a summer session. When enrolling for summer school there is a $200 non-refundable deposit which is applied to June’s tuition. For those who are not interested in the summer session, but would like to return to Ready Set Learn in the fall of the next school year, a $100.00 deposit is required to hold your spot. The $100.00 deposit to hold your spot in the fall will not be applied to future tuition and is non-refundable.

We love to celebrate birthdays at RSL! We ask that if you plan to bring cupcakes for your child’s birthday that they be limited to mini white cupcakes with white icing only. As you might image it can turn into quite a sticky and colorful mess when there are as many as 10 children in a class with only one teacher to help with clean-up. Parents are always welcome to bring treats other than cupcakes as well as long as it is small and not too messy. Additionally, if your child is having a birthday party outside of school we ask that you address invites to “a friend” for confidentiality reasons. We are happy to help your child hand them out to classmates. We can also pass along a birthday invite via email to parents, but we are unable to release email addresses or other personal info of parents or children.

Arrival and Pickups

Enter the building at the main entrance only. For the safety of the children, all cars should be parked in a designated parking spot in the lower level of the parking lot. Please hold your child’s hand in the parking lot.

RSL’s regular hours of operation are 7:00 a.m. – 5:30p.m. Out of respect for our staff, parents should not be more than 5 minutes early or late in relation to their daily package hours (half day, extended day, full day). A $5.00 late pick up fee will be assessed for each 5 minutes a parent is late. Please call RSL if you shall be late picking up a child so that we may reassure the child that someone will be there shortly to pick them up. The late fee may be waived in the case of an emergency, but the staff must be contacted.

Authorized drop off and pick up

For the safety of the children, and per state guidelines, a parent or authorized person must sign-in when leaving a child and also sign out when picking up a child. Children will only be released to a parent or those persons authorized for pick up on enrollment form. Photo identification is required for any adult unfamiliar to staff members who is picking up a child.

Security

Enrolled families will be issued an access code to enter the school through the secured door. DO NOT share this code with anyone as it puts all of our students at risk. If someone different is dropping off or picking up your child, they may ring the doorbell and someone will let them in. We must be notified if someone different is dropping off or picking up your child and they must present a photo ID to gain access to the school. The access code will change periodically and you will be notified prior to the change.

Health and Safety

Only healthy children may be accepted into care at RSL. If a child has been ill, he/she must be fever free WITHOUT THE AID OF FEVER REDUCERS and symptom free for 24 hours before returning to the program.

Each child will be observed for contagious diseases and other signs of illness on arrival and throughout the day. When a child exhibits any of the following as set forth by the Missouri Department of Health and Senior Services Child Care Regulations the child will be isolated from other children, a parent will be contacted and the child will be sent home.

a) more than one abnormally loose stool;

b) red or blue in the face or makes high-pitched croupy or whooping sounds after coughing;

Prescription medication shall be in the original container and labeled with the child’s name, instructions for administration including the times and amounts for dosages, and the physician’s name. All medication will be stored out of reach of the children. Topical lotions and creams: We ask that you apply any necessary topical lotions/creams/liquids at home before school. We prefer not to apply anything at school due to various sensitivities and allergies although are willing to do so on an as needed basis with a permission form. Please see Annika or Katie if you require a form. Any cream or lotion must be brought from home and labeled with child’s name. Please note we DO NOT supply any sunscreen, hand lotion, diaper rash reliever, etc. on hand for general use at RSL. If you choose to have RSL staff to apply one of these items they must be sent from home on an individual basis.

Accidents

Parents will be informed of ANY accidents that occur during their child’s stay at Ready Set Learn. A Parent may be called immediately if an accident causes significant concern to the child or staff member deems it necessary. An accident/injury form must be completed by staff and signed by the parent. One copy will be kept in the child’s file and one copy will be sent home with the parent.

Disaster Plans

Disaster plans are posted in each room throughout the building. Fire and Tornado drills will be conducted quarterly. The evacuation and relocation plans for each classroom are in the back of these Policies and Procedures.

Infant Safe Sleep Policy

The purpose of the Safe Sleep Policy is to maintain a safe sleep environment that reduces the risk of sudden infant death syndrome (SIDS) and sudden unexpected infant deaths (SUIDS) in children less than one year of age. Missouri law (S 210.223.1 RSMo) requires all licensed child care facilities that provide care for children less than one year of age to implement and maintain a written safe sleep policy in accordance with the most recent safe sleep recommendations of the American Academy of Pediatrics (APP). Missouri child care licensing rules required licensed child care facilities to provide parent(s) and/or guardian(s) who have infants in care be provided a copy of the facility’s safe sleep policy.

Our goal is to take proactive steps to reduce the risk of SIDS in child care and to work with parents to keep infants safer while they sleep.

Safe Sleep Practices

1. Infants will always be placed on their backs to sleep. When, in the opinion of the infant’s licensed health care provider, an infant requires alternative sleep positions or special sleeping arrangements, the provider must have on file at the facility written instructions, signed by the infant’s licensed health care provider, detailing the alternative sleep positions or special sleeping arrangements. Caregivers will put the infant to sleep as specified in the written instructions.

2. When infants can easily turn from their stomachs to their backs and from their backs to their stomachs, they shall be initially placed on their backs, but shall be allowed to adopt whatever positions they prefer for sleep. This follows the American Academy of Pediatrics recommendations.

3. Sleeping infants shall have a supervised nap period. The caregiver shall check on the infant frequently during napping or sleeping and shall remain in close proximity to the infant in order to hear and see them if they have difficulty during napping or when they awaken,

4. Steps will be taken to keep infants from overheating by regulating the room temperature, avoiding excess bedding and not over dressing or over-wrapping the infant. Infants should be dressed appropriately for the environment with no more than one (1) layer more than an adult would wear to be comfortable in that environment.

5. All caregivers will receive in-person or online training on infant safe sleep based on APP safe sleep recommendations. This training must be completed within 30 days of employment and will be completed every three years.

Safe Sleep Environment

1. Room temperature will be kept at no less than 68 degrees Fahrenheit and no more than 85 degrees Fahrenheit when measure two feet from the floor. Infants are supervised to ensure they are not overheated or chilled.

2. Infants’ heads and face will not be covered during sleep. Infants’ crib will not have blankets or bedding hanging on the sides of the crib. We may use sleep clothing (i.e. sleep sack, sleepers) that is designed to keep an infant warm without the possible hazard of covering the head or face during sleep/naptime.

3. No blanket, loose bedding, comforters, pillows, bumper pads or any object that can increase the risk of entrapment, suffocation or strangulation will be used in cribs, playpens or other sleeping equipment.

4. Toys and stuffed animals will be removed from the crib when the infant is sleeping. When indicated on the Infant and Toddler Feeding and Care Plan or with written parent consent, pacifiers will be allowed in infants’ cribs while they sleep. The pacifier cannot have cords or attaching mechanisms.

5. Only an individually-assigned safety approved crib, portable crib, or playpen with a firm mattress and tight fitting sheet will be used for infant napping or sleeping.

6. Only one infant may occupy a crip or playpen at one time.

7. Sitting devices such as car safety seats, strollers, swings, infant carriers, infant slings, and other sitting devices will not be used for sleep/naptime. Infants who fall asleep anywhere other than a crib, portable crib or playpen must be placed in the crib or playpen for the remainder of their sleep or nap time.

8. No person shall smoke or otherwise use tobacco products in any are of the child care facility during the period o time when children cared for under the license are present.

9. Home monitors or commercial devices marketed to reduce the risk of Sudden Infant Death Syndrome (SIDS) shall not be used in place of supervision while children are napping and sleeping.

10. All parents/guardians of infants shall be informed of the facility’s written Safe Sleep Policy at enrollment

11. To promote healthy development, infants who are awake will be give supervised “tummy time” for exercise and for play.

Discipline

Positive Approach

Here at RSL, we believe that discipline means, “to teach.” Children will be given choices in order to have ownership of the learning which is achieved through discipline. Staff members will model use of positive language and give appropriate alternatives. Here is a model of examples that our staff works to follow.

Be a guide, not a judge. Instead of saying, “Don’t make a mess with the playdough, “ say “Keep the playdough on the table.”

Be understanding. Instead of saying “Big kids don’t cry, “pat him on the shoulder and say “You’re crying because it hurts, I know. But soon it will stop hurting.”

Be specific. Instead of saying, “Play nice with the blocks,” say, “Blocks are to build with.”

Be patient. Instead of saying, “Go on. Don’t be afraid of the slide, “say “Some day you’ll go down the slide, too. And you’ll be safe because you’ll hold on tight. When you do, you’ll have lots of fun.”

Be positive. Instead of saying, “Don’t bump your sister’s block tower with your truck,” say “Drive your truck around the tower.”

Be imaginative. Instead of saying, “Pick up all those beads,” say “I’ll pick up the green ones. Which color will you pick up?”

Be appreciative. Instead of saying, “Don’t scribble. Draw a flower like this,” say “You’re working hard and making lots of interesting lines with those markers.”

Be confident. Instead of saying, “Would you like to hold hands on the way to the playground,” say “It’s time to hold hands with your partner.”

Support communication. Instead of saying, “Let’s see who can do this the fastest,” say “Let’s all have fun doing this together.”

Individualization

All discipline will be individualized to address behavior and the consequences of that behavior. Discipline is based on rules we all need to learn and accept to function well with others. Staff will insist on basic rules of kindness, courtesy and safety.

Conflict

If children are in discord with one another, the teacher will work with the children to solve the problem together. The teacher will be a facilitator, encouraging role play, practice and fair play among the students.

Biting

If a child bites another child, the biter will be removed from the immediate area. If age appropriate, the child will work with a staff member to resolve the conflict with the other child. Parents will be notified of the incident at pick up on the day of the incident and an incident report will be placed in the child’s file. A total of three incidents within three months may result in dismissal from the program.

Aggression

Our school is committed to the well-being of each and every child. In order to provide a safe, loving, and stimulating environment, aggressive behavior (physical or verbal) and weapon play will not be tolerated. When a child displays aggressive behavior, the child will be redirected in positive terms. If unacceptable behavior persists, the following steps will be taken as necessary.

1. The child will be removed from the situation and placed in a prearranged time out spot

2. The child will be sent to the Director’s Office

3. The Director will visit the classroom to observe the child’s behavior

4. A meeting will be arranged with the child’s parents, teachers and the Director to consider corrective action

5. The child will be suspended from Ready Set Learn for up to 3 school days

Should all efforts fail; the child will be dismissed from Ready Set Learn with proper written notification.

Corporal punishment is not part of our program and will not be tolerated at any time

Program Dismissal Disclosure

If you have been asked to leave another school/childcare facility for any reason we require that information be disclosed prior to enrollment. This does not mean you are unable to enroll at RSL as we treat each child and circumstance individually. If you are permitted to enroll following a previous program dismissal we require a 2 week trail period of attendance before official enrollment.

Potty Training

Please let us know when you feel your child is ready to begin potty training. No potty training will take place in the infant/toddler unit. We ask that parents begin training at home before introducing it into the preschool setting. It is extremely helpful to dress your child in loose fitting bottoms during training. Please provide us with three complete changes of clothing including socks and an extra pair of shoes. We ask that your child verbalizes the need to go potty and stays dry for a period of 2 hours before wearing underwear to school. If the child has multiple accidents in a day, the teacher may return him/her to a diaper that day. Children must be potty trained before moving up to the 3 year old classroom.

Food and Snack

Healthy snacks and lunch will be provided daily. The goal of our nutrition program is to provide food that is appealing and nutritious to children so that they are well fortified.

Food Allergies

RSL staff must be notified at the time of enrollment of all known food allergies. These should also be identified by the child’s physician on the Medical Exam Report that is submitted at the time of enrollment. The child information page also has a section designated for allergies of any kind, including food. If there are particular foods a parent prefers their child NOT eat, identify these here. A menu for the month will be posted at RSL.

Personal Belongings

Label, label, label!! Each child’s belongings should be visibly labeled with child’s name (coats, clothing, shoes, etc). Please send an extra set of season appropriate clothes to be kept at school. Each child that rests at RSL will need to bring a crib sheet, small blanket, travel pillow and a comfort item if desired for napping. One year olds may sleep on cots with parental permission. Diapers and diaper changing necessities, formula, breast milk, bottles and baby food must be provided by each family for infants and non-potty trained children. For health and safety reasons, children’s toys should be left at home unless specifically requested by the teacher. Please do not bring toys from home.

Appropriate Dress

Children should wear comfortable clothes with the purpose of playing in mind. Activities include running, climbing, jumping, painting and floor play. Tennis shoes and closed toe shoes are HIGHLY recommended. Children will only be allowed on climbing apparatus with tennis shoes and closed toe shoes. Children should also be prepared to play outside unless weather is threatening, inclement or bitter cold.

Parent Communication

Curriculum

All children are naturally curious. We guide and encourage this curiosity through playing, singing, cooking, reading, writing, and creating together. As directors with Master’s degrees in education, we custom design our curriculum following the Missouri PreK standards based on our student’s needs and abilities. We integrate the objectives from the MO Pre-K Standards into monthly themes and sub themes, tailored for each age group. We have a nice balance of play and structured learning time specific to each age group. Each teacher creates a daily lesson plan which is posted outside their classroom. The MO Pre K standards cover areas of Early Literacy Standards, Early Math Standards, Physical Development, Health, and Safety, Early Science Standards, and Social and Emotional Standards. The complete set of DESE Preschool Standards, including objectives and examples are located in the RSL office. You may obtain your own copies, free of charge, from DESE. The procedure for doing so may be found on DESE’s website:

Daily Schedule

Each class will follow a daily routine of activities set and posted by the classroom teacher. Lunch, snack, and scheduled restroom/diaper breaks are carefully built into the day. The routine will also include:

o Supervised creative play in the various centers in each room such as blocks, art, library, housekeeping, etc.,

o Group time for read alouds, calendar, sharing, music and finger plays, science, math and literacy skills

o Daily Gross Motor activities outdoors or indoors

o Small Group time for writing, crafts, cooking, book making, science, math and literacy activities, etc.

Infant/Toddler schedule will be age appropriately modified!

Non-Discrimination

Ready Set Learn will not discriminate in accepting children or employees on the basis of sex, race, color, creed, political affiliation, sexual orientation or disability (if the condition allows for participation in regular activities or duties). In the event that a family desires to enroll a child who requires regular medication or physical assistance, enrollment is possible if families are willing to cover costs of any additional staffing or training needed to meet the needs of the child.

Child Abuse/Neglect

In accordance with the Child Abuse Prevention and Treatment Act (CAPTA)(Jan. 1996), it is mandatory that child care workers (i.e. RSL staff) report any suspected child abuse or neglect. In the case of any suspected abuse, it will be reported to the Missouri child abuse hotline. Child abuse or neglect is any recent act or failure to act:

• Resulting in imminent risk of serious harm, death, serious physical or emotional harm, sexual abuse, or exploitation

• Of a child (usually a person under the age of 18, but a younger age may be specified in cases not involving sexual abuse)

• By a parent or caretaker who is responsible for the child's welfare

Should a staff member be accused of child abuse or neglect, while the situation is under investigation, the staff member will not be in the classrooms or have any contact with children at RSL.

Confidentiality Policy

Ready Set Learn’s work with children and families will sometimes bring us into contact with confidential information. It is our intention to respect the privacy of children and their parents/guardians/care-givers. We aim to ensure that all parents/guardians/ care-givers can share their information in confidence and that it will only be used to enhance the welfare of the children.

To ensure that all those using and working in Ready Set Learn can do so with confidence, we will respect confidentiality in the following ways:

▪ Parents have access to the records of their own children, but do not have access to information about any other child.

▪ Staff will not discuss individual children (other than for purposes of curriculum planning/group management) with people other than the parents/guardians/care-giver of that child.

▪ Information given by parents/guardians/care-givers to RSL staff will not be passed on to other adults without permission

▪ Parent permission will be sought before individual photographs of the children are taken for display work.

▪ Issues to do with the employment of staff, whether paid or unpaid, will remain confidential to the people directly involved with making personnel decisions.

Child’s Personal Records

▪ Individual records are kept for each child and parents may view these by request. Portfolios and journals may be kept by the classroom teacher. All other records are kept in the RSL office.
