The work to deploy all the applications within the O365 suite will be phased over a number of years – however, Velindre University NHS Trust is one of the early adopters with plans to complete the initial migration of staff over the O365 email (including Microsoft Outlook) due to be completed in Q1 2020/21.One of the key features of O365 is its ability to support remote working, giving staff new tools that enable them to work effectively away from the office without necessarily being connected to the NHS Wales network. Furthermore, you can also access some of the O365 applications from a mobile device, such as your personal or work mobile phone.In essence, as long as you are connected to a strong Wi-Fi network, you can use the O365 applications, such as Microsoft Outlook, Teams etc.This guide walks you through the process for setting up Microsoft Outlook on a mobile device (it will already be pre-installed on your work PC / laptop).Please refer to the individual application installation / user guides to find out how to make best use of the other O365 apps.Installation GuideIMPORTANTBefore you commence any installation activities for any of the applications that are part of the Office 365 suite – including Microsoft Outlook on a mobile device – you must ensure you have set up the O365 ‘authentication’ apps on your mobile device. To find out how to do this, see ‘User Guide 1 – Authentication’.Installing Microsoft Outlook on your work laptop / PCYou will be glad to hear you do not need to do anything, since Outlook will already be installed onto your work laptop or PC for day-to-day use. One of the perks of Office 365 is that you can now use Microsoft Outlook on your work laptop without having to connect to the NHS Wales network via VPN – you simply need to be connected to a secure Wi-Fi network. When using Outlook in this way, you may be required to confirm your identity via the Microsoft Authenticator app that you should have already installed on your mobile device.Installing Microsoft Teams on your mobile deviceFollow ALL the steps below to install Microsoft Outlook onto your personal or work mobile device:Pre-Requisites Before ProceedingYour mailbox must have been migrated to the Office 365 cloud by NWISAll WBS and Trust HQ staff have already been migratedMigration of VCC staff is ongoing – if you are unsure whether your account has been migrated, please check with the IT Service Desk.You must have the authentication setup for Office 365, as set out in ‘User Guide 1 – User Authentication’.Download and install the Microsoft Outlook app onto your mobile device – this can be any phone (work or personal):Please note: these apps may already be installed on your phone.Microsoft OutlookChoose Get Started – if prompted. Otherwise, open the Microsoft Outlook app and tap the menu icon ≡ in the upper left corner. Select Settings Add Account Add Email Account.Enter your NHS Wales email address and click Add account.You will be asked to enter your CYMRU (NADEX) password. Enter this and click the Sign in button. For example:461176220483The Microsoft Authenticator app should prompt to Approve this account setup. For example:2751151170350032194536637When prompted, Approve the connection.You should be asked to choose a 6-digit PIN. Once this has been entered successfully you can opt to use fingerprint or face biometrics instead of a PIN (if this is supported on your mobile device). Once completed, the Microsoft Outlook app is configured – you should be able access your NHS Wales email and calendar in full!Accessing Microsoft Outlook via the WebAs well as accessing Outlook on your mobile device, you can also access it via the internet.
