INTRODUCTION

This document is a report from the IECEx Secretariat updates to the IECEx website and On-line Certificate of Conformity System and is provided to the ExMC for information.

1. Update of Website enhancements

1.1 General Enhancements

a) IECEx Mobile Device Application for both iPhone/iPAD and Android phone.

b) Equipment CoC functionality to allow Draft CoCs to be made Current when all fields are complete and linked QARs and ExTRs are at Issued stage.

c) Improved “Error messages” and navigation when an ExCB tries to navigate to a Scheme for which they are not endorsed.

d) Improved export to Excel for all IECEx Schemes:

• For Certified Equipment-

✓ Include “V” for Verification Certificates in export

✓ As the file is becoming very large a system is being developed to allow exporting for an individual ExCB as well as a defined time period.

• For Conformity Mark Licenses - The export contains a list and total of CoCs associated with each Mark.

• For Certified Personnel- The export will contain a list of all Competencies for each CoC

1.2 Administration enhancements

No specific Administration enhancements have been completed in this period.

Note: The IECEx Secretariat is continually working with the IEC IT Administrators to review any issues that arise and to provide continued enhancements.

2. Additional assistance provided to ExCBs by the IECEx Secretariat

2.1 Assistance requested by ExCBs 1 July 2012 - 30 June 2013

The assistance requested by ExCBs include the following:

a) Requests (133) to add “U” to Equipment Component CoCs. This provides a very good opportunity for the Secretariat to continue the review of CoCs at an early stage of creation.

b) Requests (77) to reset CoCs to draft to allow editing after the initial 14 day editing period. This is only allowed after a detailed review of the CoC.

c) Requests (5) to Suspend CoCs or reset Suspended CoCs to Current.

d) Requests (37) to Cancel CoCs.

e) Requests (198) to delete unwanted CoCs, ExTRs and QARs.

f) Correction of ExTRs.

g) Change of ExCB name, address or logo, requiring changes to the ExCB profile.

h) Scope extensions.

i) Change of CoC number (with help from IEC IT Administrator).

2.2 Review of “Out of date” QARs

In accordance with Document ExTAG_245_Inf, the Secretariat has been working with ExCBs providing assistance with the review of “Out of date” QARs and removing them from the ExCBs “Out of date” list as they will no longer be updated. (Main reason for this is that another ExCB has taken over the surveillance of the manufacturer). A list of the ExCBs, QARs concerned and CoCs reviewed are contained in the following Table.

In many cases before the QAR could be removed from a specific ExCB list another ExCB with CoCs linked to the appropriate QAR had to be advised of the situation and requested to update their CoC.

It should be noted that there are still many QARs with dates of 2009, 2010, 2011 and 2012 showing up on “Out of date” lists. These require some action by the appropriate ExCB. As time permits the Secretariat contacts these ExCBs with a reminder.

Conclusion

The On-Line Certificate of Conformity System is being seen as one of the major value propositions of the IECEx, noting the increasing use by both ExCBs and industry/Regulators and stakeholders. Improvements and enhancements undertaken during the past year are based on requests from all users.

As part of the overall continuous improvement of the System’s integrity and efficiency the Executive concludes there is an on-going need for the provision of centralised support and monitoring.
