Program Administrator

General Statement of Duties

The Program Administrator is responsible for managing the Afterschool and Summer Day Camp programs including supervision of staff, establishment of the program structure, effective communications with staff and parents, and program accounting. The Program Administrator also handles all department deposits and assists with general department duties such as managing internet information, answering phones, and greeting the public.

Duties and Responsibilities

Essential Duties and Tasks

❖ Manage the Afterschool Program housed at Stearns Gym. Supervise Afterschool staff and assist the Director in hiring staff. Establish the program structure and policies, including organized homework time and discipline policies. Create and maintain tracking system for student/camper attendance, billing, and managing payments. Make weekly staff schedule. Using computer program, make weekly rotating chore chart dividing cleaning duties equally between staff.

❖ Co-manage the Summer Day Camp. Supervise Day Camp staff and assist Director in hiring staff. Establish the program structure and policies, including organizing a daily activity schedule and discipline policies. Create tracking system for student/camper attendance, billing, and managing payments. Create weekly staff schedule. Develop weekly rotating chore chart dividing cleaning duties equally between staff.

❖ Make all bank deposits for department, including those sports leagues, programs, and sponsorships. Reconcile weekly to ensure financial accountability; prepare billings and handle all payment transactions.

❖ Organize receipts, deposit slips, monthly budget balance sheets, and other financial paperwork for department as Director instructs.

❖ Create marketing strategies for advertisements, social media outlets, website, emails and flyers that effectively showcase recreational programs.

❖ Develop and implement long-term goals and objectives to achieve/build on the successful outcome of both the Afterschool Program and the Summer Day Camp

❖ Help keep track of department supply ordering needs; maintain sufficient inventory of supplies.

❖ Assist with monthly e-newsletter, including distribution.

Additional Job Duties

❖ Help staff with cleaning and looking out for maintenance needs of Recreation Department; ensure safety considerations are consistently made and met.

❖ Help cover sports league games, when needed

❖ Any other duties as assigned by Director or Assistant Director

Knowledge, Skills and Abilities

❖ Familiar with basic bookkeeping and financial transactions

❖ Working knowledge of MS Office and databases

❖ Must be willing and able to serve on Committees/Boards as active member

❖ Working understanding of program management fundamentals

❖ Consistent ethical business practices

❖ Ability to foster teamwork with coworkers and staff

❖ Effective in establishing and maintaining positive working relationships within the department, local government, and local partners

❖ Must possess leadership and business acumen

❖ Strong organizational skills surrounding people, time, projects and policies/practices; set priorities, develop a work schedule, monitor progress towards goals, and track details, data, and information

❖ Ability to develop new and unique ways to improve operations within the organization

Desirable Education and Experience

❖ Associate’s degree in related field (education, parks & recreation, marketing, business or public administration) required; Bachelor’s preferred; and/or equivalent work experience in related field (3-5 years)

❖ Valid driver’s license required; CDL highly desirable

Physical Activities and Requirements

The physical requirements for this position are classified as: exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects; needs to occasionally move about the office to access file cabinets, office machinery, etc.; constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and printer; must be able to stand or sit for long periods of time, both indoors and outdoors.

The physical activities for this position are: Stooping, kneeling, crouching, reaching, lifting, standing, walking, grasping, talking, writing, hearing.
