Research Notebook Workshops – Informal note of key pointsGlasgow & LondonNovember 2018Key points (Concerns (!) & Requirements (&)What do you currently do with research notebooks?Researchers use both paper and digital - requirements for both messy (paper) and structured (digital) data, but tendency towards paper…..’I love paper’ Archive data digitally for manuscript preparationJottings/ sketching’s/ notetaking on paper More permanent (digital) formats of recordings/ notebooks/ jottings required for preservationNotebooks are preferable for visual arts (less structured)Situations where only paper allowed - special collectionsAny use of electronic or digital research notebooks has been down to the individual researcher/ research group.Interest in collaborative software for intra-group communication – Microsoft Teams and SlackAny concerns e.g. loss of data?Paper notebook concerns:! Handwriting/ legibility/ language differences in paper notebooks! Preservation - paper notebooks at risk! No version controlELN concerns:! Provider going out of business ! Data security - back-ups/ access/ data protection! Portability (format of exports)! Time taken to set up! Cost! Science focussed - also need to look at arts and social sciences! Too structured/ how its structured! Lack of interoperability! No version control! Too many trials of notebook toolsWhat help do you currently get from your organisation?Researchers and research support staff have similar views and approachesLevel of support varies – centrally, help is minimal, most dedicated help from local services and general goodwill of support staff.What would you like?– from your organisation, from a tool?Tool:& Interoperability& Searchable *& Different access levels& What To Keep filter& User-friendly& Subject/ Platform agnostic (with specific add-ons available) although some researchers prefer ready-made solution - should be proposed to them with add-ons)& Write to text (would help with ‘jottings’)& Linked to entire research data lifecycle (systems/ instruments & data repositories)& Version control *& Portability (file formats) for longevity& Incorporation of ORCID/ Digital Object Identifiers *& Flexible (software goes out of fashion)& Software linked to dataOrganisation:& How-to guides/ tool checklists& Case studies (intra- and inter- disciplinary)& Champions*& Digital preservation assistance& adequate storage facilities& Training and education& Showcasing a range of tools (not just electronic lab notebooks)& Short (!) video tutorials& Standardising metadata *Views on open sharing of research notebooksNotebooks much harder to share than electronic versions! Notebooks largely unfiltered (includes personal views/ first thoughts etc) - would change how data would be documented! Most researchers still not happy to share data! Culture of ‘being scooped’ still existsAppreciate benefits for collaboration – an insight into what others are doing& Tool with varying levels of accessibility would be ideal& FAIR and openness needs to be recommended – ‘Show us your notebook’ sessions?Within group sharing is more acceptable than out withHow best to get researcher input?Needs to be quick& Seminars (encouraging, not alienating)& Get senior staff on board& Get junior staff on board*& Champions *& Needs to be rewarding/ incentivisation scheme What tools have you tried? iPad (for musical performances), online ‘to-do’ lists, job management tool, Dropbox (preferred over Network drive), Evernote, OneNote, LabGuru, Jupyter, Microsoft Teams, Slack, Benchlink, Labarchive, LabTrove, GitHubVarious custom buildsNone are institutionally implementedAre they centrally supported?Generally, no Pros and consPros: Time spent inputting data recovered by time saved when searching for dataCons:! Poor connectivity out of office! No ‘one size fits all’! Access to data before it has been refined! Teaching - conflict of software between teaching lab and placement lab! Prohibitive learning curveWould you like to see some demos?of electronic research notebook tools?& Yes - helpful to see and trial a tool *& Video demonstrations helpful (short versions)& Trialling a range of tools - not just electronic lab notebooks (i.e. Smartpens, write to text tools etc.)Workflow examples& Tools must fit into existing workflows& Need integrated/ coordinated tools& Only want 1% of data produced - would require an automated workflow for this Own software constantly evolving - requires & versioningProtocols pasted to EvernoteRegulatory environment& Protocol tabs linked to experiments& Use of several applications (word, jupyter, GitHub)& Metadata should be incorporated into workflowsWhat is unique to your subject?Laboratory containment level three (& requires synchronizing of software) Teaching - need & access to notebooks for markingMetabolomics generates ambiguity which needs to be capturedNuclear Magnetic Resonance data requires specialist & software encrypted into datasetsDo you need any specialist metadata – if so what?Instrument settings (Proteomics, neuroscience, High Pressure Ion Chromatography)Downloadable metadata from next gen sequencing pipeline (& online tool needs to be able to do this)Metadata often missing or incomplete& Metadata should be defined and standardised by community users *Any other comments! What To Keep - what is long-term/ & reuse value of material? (Digitisation)& Facility to scan notebooks& Teaching researchers how to manage data throughout the research lifecycle, not just at the end!! Lack of workspace results in scattered research data (work and home)& Standardising nomenclature - ‘How-to’ guide helpfulNegative results/ optimisation processes - these need to be recorded to save time in futureWhat next?& Gather opinion/ information on what people do at present - as many as possible& Large scale trial with focus on arts/ social sciences& Engage leaders (organisation and group)& Identify different stakeholder requirements& Engage users with a tool& Explore joint document - system and standards (Jisc?)& Identify benefits - reward systems etc.& One repository for sharing/ naming/ notebooks & info& Try link Jisc repository to existing notebook tool and explore metadata characteristics& Sharing/ synthesis of tools ideas& Ongoing sharing events/ forum (Jisc)& Feedback from RSC event& Follow up with attendees for demos and input ................
