Miranda Calhoon, Jason Gottsacker, Meghan Hall, Sandra TaggartGroup Number: 4Institution Name: Fighting Four Auto MallCollection Name: 2012 Auto Sales Institution and User PopulationThe Fighting Four Auto Mall is a premier used automobile dealership serving the greater Chicagoland area. Our dealership has been selling quality used vehicles since 1981, with a sales staff of 88 and a repeat business of well over twenty-five percent. We make sure our vehicles are top notch before they make it to the sales floor. Our service center is not only qualified to service all vehicles but we are also a “certified center;” we certify our vehicles.Our archive has both a primary and a secondary user population. Our primary users are our employees, including our sales staff and our maintenance staff. Our secondary users are purchasers or those who are interested in a particular type of vehicle, and use our past sales as a gauge for searching for that special vehicle. Purchasers are often those who pursue auctions and estate sales and enjoy using our database because of the access to the digital photo archive and the ease in searching our database. Our digital archive is linked to the primary sales and maintenance databases through the Vehicle Identification Number and provides a better data representation, visually in a photo, than a textual description would provide.Also, since our archive is available online, our users have access to it remotely, which is an essential feature for a purchaser who is traveling from auction to auction or area to area searching private sales, or police auctions. Remote access is available via a log-in and secure password.While the use of the archive by purchaser is important, the primary use of our archive is the enhanced version, which is used by our sales staff as a communication tool so that they can follow-up with customers regarding their current or recently purchased vehicles and possible future vehicle sales. Access to the digital photographs makes discussing the vehicles much easier for the sales staff; they are not discussing simple documentation, they are talking about an actual item – a car – something the customer is hopefully very happy with. The enhanced version of the archive includes general information about the vehicle the customer purchased: date of purchase, sales price, VIN, Blue Book, etc., information that may help the sales person steer the conversation to an appropriate level – either to another possible sale, or simply thanking the customer again for their recent purchase. We also use the archive for making determinations of future purchases for our auto mall in general, such as keeping track of vehicle makes and models that have sold well, so that we can search auctions, both estate and police auctions, for suitable vehicles. The database is also used when a customer is looking for a special vehicle and has come to us to find it; we can access our digital archive to determine if we have had such a vehicle – and we will locate just what the customer wants. Division of WorkThe initial work on creating the imaginary institution and the Metadata Application Profile (MAP) was completed in class as a group. We decided to use new, born-digital photographs of cars for our imaginary digital photograph archive. Once the institution was selected, work began on the MAP. Each group member contributed numerous ideas and suggestions for the local elements. Then, as a group, we discussed different options for how the individual local elements would map to the elements in the three metadata schemes: Simple Dublin Core, Qualified Dublin Core, and Metadata Object Description Scheme (MODS). We chose to use MODS as our third metadata schema because we felt that VRA Core or Enhanced Archival Description would not fit well with the type of archive we were developing. Of the various schemes we had studied in class, we felt MODS best provided the types of elements we needed.To finish the work done on the MAP in class, Jason volunteered to work on polishing, formatting, and filling out a few missing aspects of the MAP. The rest of the group then proofread the MAP and Miranda made a few small formatting changes and spelling corrections. At that point all group members agreed that the MAP was in good condition and each member began working on the metadata for their individual photographs. A few small edits to the MAP were done after starting the metadata (such as changing “PreviousOwner” to “VehicleSource”), but for the most part the MAP did not change much.For the group report, Jason and Sandra collaborated to produce Section I, which is the description of the imaginary institution and user population. Jason and Sandra discussed varying ideas for how to describe the background of the institution and the users. Sandra took the ideas she and Jason discussed and wrote a first draft. Section II of the group report covers the work the group did together to create the MAP. For this section, Miranda and Meghan split responsibility. In general, Miranda took responsibility for writing up information that pertained to the first three bullet points and Meghan wrote the last three. The separate sections of the report then needed to be combined into one cohesive report. Miranda volunteered to take on this task. The group agreed to email Miranda their parts of the report by Wednesday, December 5. Miranda combined the sections and made slight editorial changes such as standardizing form and fonts. The complete, combined report was proofread by all members before final submission.Outside SourcesWe based our Metadata Application Profile off the MAP provided in Exercise 3. For the most part, we followed the formatting of the MAP from Exercise Three, while the content of our MAP was created by group members using the Miller text and Dublin Core () and MODS () websites.While developing our local elements, we occasionally found the need to use outside sources. Since our digital archive is working with photographs of cars, the group decided to include VIN as an identifier. Jason visited the National Highway Traffic Safety Administration website ( ) to learn more about VINs. We also used Library of Congress Subject Headings (authorities.) where applicable in our metadata.ChallengesBecause our group decided to use an atypical institution (compared to what we had previously worked on in class exercises) for the imaginary digital archive, there was a great deal of confusion over how to create metadata for the photographs. Miranda expressed concern that the metadata was describing information that was not actually in the photograph (salesperson, owner, date of sale), and suggested it might be easier to change institutions to a digital photo archive at an imaginary university. Other group members disagreed and the decision was made to stick with the original idea for the group project. Another issue that we ran into while working on our MAP was trying to come up with the best way to get our local elements to map to the Dublin Core and MODS elements. Because our institution and collection were quite different from ones we had worked on previously this semester, it was difficult at times to interpret the rules of the metadata schemes for our purposes. Group members examined the rules for the schemes in the Miller text and on the schemes' websites to determine the best elements.Some challenges we faced while developing our local elements related to how we would maintain standardization across records. For elements that had date properties, we decided to use W3CDTF formatting. However, W3CDTF does not include an option for unknown or approximate dates. Since we anticipated that there may be unknown dates for some of the elements, we decided to use a question mark to indicate a date about which we were unsure. While this solution works for us, technically it violates the W3CDTF standard that we adopted for dates.Another issue we faced was with the VIN element. At first, our group assumed that all vehicles had Vehicle Identification Numbers. However, Jason learned during research that there are vehicles without a VIN. To account for this, a standard was developed to accommodate cars without a VIN: “NoVIN.”Finally, our group faced some confusion over how to record the dimensions of the photograph. Because we are working with born-digital photographs in a digital archive, we decided against using inches or centimeters to describe the size of the photographs, since inch or centimeter measurements would vary depending on screen size and other variables. The group decided to use pixel size of the photograph to describe the dimensions since that would not vary.Metadata Scheme and Local ElementsMatching our local elements to Dublin Core, both simple and qualified, and MODS did require some thought in order to find the most appropriate element to describe the information. While the elements chosen for the metadata schemes are correct, the problem lies in the repetition of elements. While all of the local elements were mapped to either Dublin Core or MODS, there is no way to differentiate what the elements mean. For example, the local elements for vehicle color, miles, make, model, Kelley Blue Book value, and sale price all map to description in Dublin Core, which is not ideal, but is an almost unavoidable problem when mapping to a non-customized metadata scheme. While meaning of the local elements would be lost if lone elements were taken out of context, the records as a whole, even without the local element names, do retain enough information to suggest they pertain to cars. Metadata QualityIn order to create good metadata, we tried to keep everything as standardized as possible. We made sure to use format schemes where appropriate, such as adhering to W3CDTF for dates and LCSH, and we tried to keep searching and indexing in mind when deciding how to format the metadata. When we decided it would make sense to include the Kelley Blue Book value for the cars in the records, we used the information from the 2011 edition to maintain accuracy in the numbers. We did not use delimiters for numbers because it could interfere with metadata harvesting, and we agreed it would help the records remain extensible in the future. Also, we made sure that all of our local elements were mapped to the established schemes in order to maintain a complete record and all of our records were compared to make sure they were compatible.There were some decisions we had made early on that changed after we took searching and indexing into consideration. While we started out using the factory colors in the VehicleColor field, we later realized that because the names of the colors change frequently and would be difficult to search for, we should instead use generic terms like “Dark Blue” rather than “Dyno Blue Pearl.” Another thing we had to look out for was typos—it was especially easy to miss them because almost everything in the record was underscored by autocorrect— so we shared our records among the group to proofread them.ConclusionOverall, we feel that we achieved the goals we set out for our imaginary institution. The main goal was to provide the user population with a digital photograph archive that displayed information about the vehicle in the photograph. Despite a few disagreements here and there, our group worked well together and was able to create solid metadata records for our imaginary institution.Calhoon
