Department Overview

Fidelity Asia Services Pty Limited is the centralised financial operations centre for the Asia Pacific Region. Multi-lingual teams of accounting professionals, dedicated to specific countries, control all facets of the regions accounting processes in a shared services environment. Finance functions operate from a number of offices throughout the Asia region to ensure optimal service levels and all regulatory requirements are met.

Purpose of your role

To undertake and be responsible for the accounts payable and associated accounting for regional entities – inclusive of those for Hong Kong & China – in accordance with regulatory and tax obligations. To liaise on a regular basis with the Accountants in Sydney to ensure correct filings are made. To provide guidance to the team in respect of correct account processing, and ensure high levels of customer service are maintained.

Your key accountabilities

• Ensure process improvements in line with regional policies

• Maintain process documentation

• Receive invoices from suppliers and correctly log them (in English) within the GL Accounts Payable module

• After the authorized invoice has been received, complete the transactions for processing

• Follow up invoices that have not been returned by the business

• Answer supplier queries (in English or native language of country)

• Set up newly-approved suppliers within the Accounts Payable module, inform them of the Fidelity terms of business and act as their primary finance contact

• Receive T&E claims from employees within the time limits specified; ensure that they are supported by receipts and appropriate documentation

• Complete the transactions necessary to process the T&E claim

• Ensure that all T&E claims received comply with policy and to escalate issues as appropriate.

• Correctly code invoices etc for VAT, GST, sales tax, consumption tax etc

• Ensure invoice cut-off controls are applied correctly

• Maintain administration for Concur and credit card approval requests

• Maintain cost centre authorisation matrix

• Complete all reporting requirements for the regional entities

Your skills and experience

• 5+ years experience as an accounts payable officer, preferably in a financial services organisation

• Basic accounting qualification

• High degree of integrity

• Good communication and interpersonal skills

• Knowledge of JDE One World package (ideal but not essential)

• Intermediate levels of written/spoken English, in addition to fluent Mandarin ability.

• Cantonese written/spoken skills an advantage

• Team management experience (ideal but not essential)

• Attention to detail
