Purpose

The purpose of this document is to serve as a job aid for DMRS Module 1 training that explains basic functionality and navigation of DMRS as well as reporting expectations.

New to DMRS?

Congratulations on completing the on-boarding process! Your office is now ready to begin reporting to DMRS. Before you begin, review the information within this section and make sure the documents listed below have been received.

Organization Administrator

The DMRS team created a DMRS role of Organization Administrator for at least one person in your office at the completion of the Module 1 assessment. The DMRS Organization Administrator will create new users, disable users who no longer need access to DMRS, and set roles (system privileges) for all other users within your office. It is important to note that the Organization Administrator is held to the same inactivity time period as other users, and this person should log into the DMRS application and DMRS reporting workspace at least once every 30 days. The DMRS team provides the Organization Administrator with instructions and a job aid for assistance at the time the role is created.

If an Organization Administrator role was not created for your office, you do not know who the Organization Administrator is, or you need another copy of the DMRS Organization Administrator instructions, contact the DMRS team using the email address found in the last section of this document.

DMRS Expectations

Fannie Mae has two expectations for DMRS reporting: report daily (or as changes occur) and correct any failed events. There are also several best practices for system use. More details about reporting expectations and best practices are covered in the DMRS Requirements document. This document is not posted on the DMRS webpage and must be provided by the DMRS team. Once your office begins reporting events to DMRS, Fannie Mae servicer and law firm relationship teams monitor performance to these expectations.

Occasionally a call (either one time or recurring) will be scheduled with your office by the DMRS team if performance in a particular area is not meeting expectations. These calls are intended to be educative and helpful. The goal of the call will be to provide the information and assistance needed in order to support your office to meet expectations monthly.

Training

The DMRS team provides a variety of training options to meet your needs. The training plan for your office will vary based on the submission method selected. Review the Training Overview document found on the DMRS web-page to understand the courses that will best meet your needs and then complete all suggested courses.

The DMRS web-page offers links to On-demand eLearning courses and job aids. These materials are intended to provide information about the DMRS system and DMRS reports at your convenience. The DMRS team may also host monthly calls, as needed, to review these materials and other training topics. Attendance on the monthly calls is optional based on the training needs of your office. All training calls will be advertised to DMRS users through an email communication at least one week prior to the call.

Change Management

Party Codes--DMRS uses Party Codes as a unique identifier for all servicers and firms. The DMRS Master Party Code list is published every other week in the Broadcast Messages section of DMRS. The version can change and it is

important to check the DMRS Broadcast Messages for the most recent version. If you find that you need a DMRS Party Code for an entity that is not on the Master Party Code List, contact the DMRS team using the email address found in the last section of this document for assistance.

Source Systems--If the source system that sends data to DMRS changes after on-boarding is complete, please contact the DMRS team to discuss the change and determine if there will be impacts to DMRS reporting.

Contact Lists

The DMRS team created a contact list for your office during the on-boarding process. This group of individuals will continue to receive emails from the DMRS team regarding the topics above, as well as any other DMRS related topics. Should the contact list for your office change, contact the DMRS team using the email address found in the last section of this document for assistance.

Accessing DMRS

Sign in to DMRS using the URL, username, password, and company code provided after successful completion of the Module One assessment. Users must change their password after the initial sign in. Please review the DMRS Password Help job aid located on the DMRS webpage for more information.

Users will be disabled after 30 days of inactivity. If disabled, you must contact your system administrator to gain access.

The DMRS User Interface (UI)

The DMRS User Interface, or UI, was designed as a webpage for users to access the information that has been reported to Fannie Mae by servicers and law firms. The purpose of the UI is to:

o Provide a secure communication tool

o Allow users to manually report events via the Spreadsheet Upload or Direct Entry methods.

o Allow users to key in a loan for review or search for a group of loans o Display all reported data to all parties on the loan o Based on the reported data, determine exceptions and display exceptions to all parties on the loan o Provide reporting for providers to examine their performance, as viewed by Fannie Mae

The sections below explain each of these purposes in more detail.

Broadcast Messaging

Broadcast Messages is the first page that appears when you access DMRS. It allows Providers to view messages posted by the Fannie Mae DMRS team within the past 12 months, unless the message has expired. Users can also download attachments associated with the messages. Messages that include attachments are identified by the paper clip icon on the right side of the message. The Fannie Mae DMRS team will post the most recent version of the Master Party Code list in a Broadcast Message twice a month.

Loan Search

Loans can be accessed in DMRS by searching against loan data provided by the servicer or attorney firm. Users can only view loan information when they are a party to the loan and have permissions to view loan details and any associated events. The servicer reported data determines the party on the loan. For example, if the servicer is reporting attorney X is the attorney on the loan, attorney Y will not be able to view the loan information.

Quick Search

With quick search, users can search loan data using one of four criteria: o Investor loan number o Servicer loan number o Firm file number o Bankruptcy case number

To perform a quick search: 1. On the navigation bar, select the criteria you want to use from the drop-down list.
