Post title: Marketing and Communications Executive

This is a temporary role to cover maternity leave – up to 12 months

Responsible to: Chief Executive

Hours of Work: 37 hours per week

Location: Treetops Hospice Care, Derby Road, Risley, DE72 3SS

1. Overall Purpose of the Role

1. To provide leadership and expertise in marketing and communications within Treetops Hospice Care in order to raise awareness of and positively promote the work of the charity.

2. Be the gatekeeper of the Treetops Hospice Care brand, to ensure consistency of style and message in all promotional activity and information, and to ensure it reflects the ethos and values of the organisation and is sensitive to the needs of our service users.

3. Produce, carry out, monitor and review an internal and external marketing and media strategy, working with the Senior Management Team (SMT) and other managers to ensure that they are implemented effectively to enhance and develop the Treetops Hospice Care brand, image and public profile and to promote organisational cohesion.

4. Work with all departments in the organisation to support and promote major fundraising events and awareness-raising campaigns, including Hospice Care Week.

2. Main Tasks

2.1 Manage External Communications

Enhance the reputation and perception of Treetops Hospice Care through well targeted communications, with appropriate content delivered through appropriate media.

• Produce and/or coordinate the production of up to date, high quality promotional/marketing literature in a variety of formats including leaflets, booklets, adverts and posters.

• Arrange photography and manage the photo library.

• Ensure all staff follow the Treetops Hospice Care Communications Handbook

• Proof read and sign-off on communication produced by all other departments, for example, fundraising event posters and Lottery registration forms.

• Manage the hospice’s social media, including staff training, regular updates, and monitoring.

• Review the website on a regular basis and ensure that it provides factually correct and up to date information.

• Send the monthly e-newsletter

• Write and edit the twice-yearly newsletter Treetops Today

• Assist clinical services with the development of a variety of information resources for guests, carers and professionals which are easily accessible. This will include assistance with preparing supporting material for conferences, training and other events.

• Identify opportunities for advertising.

2.2 Manage Internal Communications

Offer regular advice to the Chief Executive and Senior Managers on communications planning.

• Edit and produce a monthly staff and volunteer newsletter, Team Talk

• Develop and manage the intranet

2.3 Manage Media Relations

Work with the PR & Marketing Executive to oversee and coordinate all contact with the media on behalf of Treetops Hospice Care.

• Ensure a proactive approach to generating media interest for Treetops Hospice Care

• Issue press releases and arrange photo/interview opportunities

• Ensure journalists visiting the hospice are chaperoned at all times, and communicate with the relevant departments in making the arrangements

• Monitor press coverage and maintain the cuttings folder

• Encourage and arrange for the writing and publication of case studies in the written media.

• Make sure all service users have signed consent forms and are happy to be featured in the press. As part of this maintain the consent form folder.

2.4 Marketing for Fundraising

A large part of this role will involve working with the Fundraising team so the post holder must be flexible and enthusiastic about the needs of this team.

• Work with the fundraising team to promote their events, including press releases, social media and website articles.

• Ensure the timely provision of high quality exhibition/display materials

• Where appropriate act as photographer at events

• Attend regular marketing/fundraising meetings

• Support the Head of Fundraising in the production of Direct Mail as and when required.

• Inform the fundraising team of advertising opportunities

• Work with the fundraising team to identify and develop a small group of speakers for fundraising and supporter events and train them in this activity.

2.5 Manage the involvement of service users in income generation activities

Many fundraising campaigns are enhanced by the involvement of clinical service users sharing their personal stories. The role of Marketing and Communications Executive is work with clinical services to maintain a duty of care towards each person, ensuring their involvement is always carried out sensitively and respectfully.

• Produce a strategy, policy and procedures in regard to this element of work

• Develop a register of supporters who would like to tell their stories to a wider public, detailing how they are prepared to help

• Ensure supporters understand the potential implications of involvement with the media. This will include explaining their right to withdraw at any time, their right to support by Treetops Hospice Care staff, and any confidentiality issues.

• Ensure guests and carers are not exploited or misused by the media or fundraising staff.

2.6 Manage budgets associated with the above tasks

Prepare an annual income & expenditure budget and monitor and control expenditure against that budget.

3. Other Tasks

3.1 Adhere to Treetops Hospice Care’s health and safety procedures and regularly update and maintain your knowledge of safety rules, fire drills, internal security and accident procedures.

3.2 Adopt a positive and reflective approach to personal and professional development, participating constructively in an annual performance review.

3.3 Participate in a programme of professional development in support of the needs of the Organisation.

3.4 Perform other duties appropriate to the role as required.

Your normal hours of work are from 9am to 5pm Monday to Thursday, and 9am to 4.30pm Friday. You will be required to work additional hours as necessary which will include unsocial hours outside the above times for which TOIL will normally be given, rather than payment.

Person Specification: Marketing and Communications Executive

Essential Experience:

E1 Previous experience of working in the marketing/communications field

E2 Excellent communication, written, presentation and interpersonal skills

E3 Effective organisational, time management, project management and administrative skills

E4 Good keyboard skills

E5 Proven record of collaborative working

E6 Previous experience of social media management

Desirable Experience:

D1 Working in the charity sector, preferably with an organisation similar to Treetops Hospice Care

D2 Familiar with Raisers Edge or equivalent database

D3 Working with volunteers

Essential Knowledge:

E7 Educated to degree level or equivalent

E8 MS Office

Desirable Knowledge:
