Arena board meeting4/8/2019Meeting called to order at by Mike Carlin @ 6:44 pm.Present: Karla Wotruba, Lynn Redenbaugh, Mike Carlin, Kate Buffington, Ann Konopacky, Jake Suter.Absent Jess Loewe, Mike Bernard, Joe Dube, Janel Pagels, Mike HeleniakLynn made a motion to approve the minutes from our last board meeting. Seconded by Ann. Approved.Financial report—none. Questions for Jess is that have we been paid by the high school so far this season if anything? We may have to actually send them a bill/invoice to get paid.Rink Manager report (Jake)—Ice show was awesome. Hockey camp every Tuesday and Friday for all youth kids. About 50 kids signed up. Lots of our kids and kids from the UP as well. Al Albee has put together a 2004/2005 team on Wed and Sundays. We got a donation from a friend of Mike Bernard’s for $1000. Islander’s (2004/5 hockey team) brings in $100/kid and rest of the cost will be covered by Al. We are renting to the Islanders for $100/hour to keep it affordable. A player was removed from the spring camp for unsportsmanlike conduct. Compressor—there’s an A rack and B rack (2 per rack). The A rack had been leaking oil for a long time. We had the piping fixed. B rack had been replaced years ago. Cost to repair is $1500. We need new oil into it for $4-5000. We are currently running only 2 of the 4 compressors right now until we fix that. We have held off on the $4-5000 until we have money for it. Members are curious how much is in the emergency fund as we need to get this going. June 1 having a golf outing open to the public with all funds raised going to the rink. We have 70 people already with groups of 4 per hole. Could make max of $11,220. Jake’s goal is 100 people with $80 per person to hopefully make at least $8000. All of July the rink is already booked. 1 week (Sun-Sat) for figure skating camp—all day every day. June is still pretty open. Current hockey camp ends after 1st week of June. No Hoe-down this season for lots of reasons including Torpy Park not being available due to building of the new shelter. Estimated cost of the new electric Zamboni is $125K. Not sure how we’ll pay for it. We will get some trade-in value for our old Zamboni. Discussion of selling naming rights for the Zamboni. Ideas of $50K per side, less for the top, and the front. We want to fund raise. Lynn has an idea of an axe-throwing tournament? We need fresh members in the fund-raising committee. Jake is still looking for the debit card still. Lynn points out that everything should be done for account, so we need to talk to Missy Bucklew at River Valley Bank.Mike Carlin—We should find out how to free the emergency fund so that we can pay for compressors. Lynn made a motion seconded by Karla to allow Jake and Jess to free up the emergency fund to pay for the oil for the compressors contingent on there being enough money in the fund to pay for it. Motion carries.For future years thinking again about year-round ice. Is there a benefit there? We save money with energy use taking the ice out in August/September. Others that keep ice year round are Greenheck and Marquette. The numbers regarding cost to maintain versus savings to take out may be skewed because John Dwyer maybe didn’t want to keep the ice in all year for various reasons. Jake thinks we saved $12K on the energy bill taking out the ice those months. We would want to advertise to other rinks to bring in skaters from surrounding communities to bring people in. We want to grow our program all around—hockey and figure skating even if we need to spend a little money. We should take the ice off some point in a year to paint the lines. Question: is it more wear and tear on the compressors to take off for 2 months, or is it better to just keep the ice out year round? High school girls are co-oping with Rhinelander/Antigo, etc. In the end this may reduce how much money goes to the rink from the high school overall. Previously John Dwyer negotiated with the high school for how much the school will pay the rink. We currently get about $1800 for both teams (boys and girls). High school girls will practice here on Mondays. Mike C would be willing to negotiate with Phil Updike at the high school regarding dollar amounts because of change in high school use. Lynn motions that Mike Carlin will be the negotiator with the high school seconded by Ann to negotiate with the high school. Motion carried.Oneida county sheriff dept. is looking for places for people that need to do community service. We may be able to get some work done around the rink by these people. Discussion is who and when would they be here. This sort of group could have been good for painting, ripping out carpet, cleaning the bathrooms. We don’t want to do it when kids would be around. Mike will get more information from the county.We need an emergency action and preparedness plan. We should have something valid for the building/association. Mike C was going to write it a little vague for tornadoes, fires, other emergencies. We should have a liability waiver for any events on or off sight for any events with our association. Another is an active shooter sight assessment. Other business: set the date for the annual board meeting for the association. We will table setting this to next month to get hockey input as well. We should still continue to have open skate as long as we can through the spring/fall. Next meeting: May 13.Karla—Hoe Down was supposed to be June 9 at Torpy, which will not be available. August 3 or 10th is the AVW fireman’s picnic. Noted that the main Hoe-down fund-raising committee are almost out of youth hockey. Other fund raising options are brat stands, Culvers, and papa murphy’s. We made $8600 on the golf tournament. Lynn has another idea of a nice sit-down dinner for $100/plate to raise money. Figure skaters would like to have a Holiday show for a Sunday afternoon mid to early December. Thinking of during free skate.Lynn-figure skating report. We have 2nd session spring figure skating coming up now with 20 people registered for Thursdays. Snow plow is running through May. We are getting ready for the summer camp. Ice show made $5200.
