Planning Phase: (Start this phase six to nine months before event.)Pray for the volunteers and those who will benefit from the ministry.Set the date and time and secure a place to hold the event.Present the project to the Administrative Council for approval. Invite volunteers and give them your expectations for their roles. Advertise. Use email, postcards, social media, and especially word of mouth invitations. Make a list of necessary materials, such as hand-outs, projectors, etc. Brainstorm what obstacles you might encounter and make a plan to overcome them. Implementation Phase: Send reminders to volunteers.Gather materials. Copy hand-outs, create PowerPoint presentations, make nametags, etc. Arrive early to set up and pray over the space. Greet and thank volunteers and get them ready to serve. Pray with the team before the guests arrive.Welcome the guests and spend time with them. Evaluation Phase:Thank God for whatever happened, entrusting the event into divine arms of love.How did the event compare to what you had envisioned? Did the ministry fulfill its purpose? How was it different from your plan?What went well? What aspects can you celebrate?What did not go well? Where do you see room for improvement? Did you meet your goals for this event? Which ones? What “lessons learned” would you like to share with others? How can you thank your volunteers? ................
