CORE COURSE GPA

You control which courses are included in GPA calculation. Check out how this works!

School Office GPA setup can accommodate different GPA reporting needs. In addition to offering both weighted and unweighted GPA, course master fields can be flagged to indicate what courses are to be included/excluded from a particular GPA (A, B or C).

For example: Only core courses should count in the calculation GPA A. Go to course master entry and changes and flag the non-core courses by adding "N" to field GPA_A YN (GPA_B YN and GPA_C YN are also available). Placing "N" in one of these fields will exclude that course from that GPA. If the field is blank, the course will be included.

It is important to note, however, that new changes to GPA setup will take place beginning with the current school year's courses only and are not retroactive to previous years' grades. For this reason, making a change to the GPA setup would probably be best when using a new type of GPA. For example, you might need a new GPA scenario for your current freshmen and all graduating classes that follow them. Right now you are just using GPA A and GPA B. GPA C is not being used so it could be set up with the new GPA scenario.

Please contact SDS support if you would like to discuss any changes you are considering. We are here to help

Drama is excluded from GPA_B calculations by putting "N" in GPA_B YN field.

Clearing Transcript Records Created for

IL Student Course Assignment

For Illinois schools who created transcript records for fall Student Course assignment reporting by posting classes to transcript without a final grade, it would be a good idea to clear those out once you have completed student course assignment uploads.

Let's walk through the steps on how to do this: 1. Login Web School Office 2. Click on Processing Center 3. Click on Compute GPA 4. Choose your School Location in the dropdown box at the top of the screen 5. Place a check in the box that says "Clear Current Year Transcripts on Compute". * Be sure to not have the box checked that says Post Transcript Records with NO Final Grade Entered.

This will remove all the current year transcript records with no final gradMes that were created for the fall Student Course Assignment. This will only remove courses of the current year. It will not remove anything for the current year that has been hand entered.

The instructions for running the Illinois Student Course Assignment report, including clearing

transcript records that were created exclusively for this report, can be seen at the following link:

~Quick View Reports~ Explanation

This area is use to create quick and simple custom reports using the SR and Supplemental tables. Check it out!

The first group on the Student Report Group list with the tildes ~ "~Quick View Reports" is an area that can be used to create simple reports using fields in the demographics, demographics SR, & Demographics supplemental tables.

Student Newsletter

This special report group has 7 options to run in box #2. Because every school and/or state uses the SR1 and SR2 tables differently, we do not have a standard Crystal Report for these tables. However, if used in conjunction with the Quick View Report button (the clock), then you can design your own report and sort very simply!

The same holds true with the Demographics Supplemental tables. Each school uses this area differently, and that is by design. For fields you don't want to see in Demographics each day, you can store that extra information in this area. We have had schools use these areas to store emergency contacts and community service records. Again, you can successfully design and run a report from these tables by using this feature.

Want more information? Contact our friendly support team and we will be glad to help you design a report or set up this area to use for extra data storage. On 11/23 we will be emailing you a Movie Monday on Quick View reporting so stay tuned!
