Welcome to the OCULUS v6 Document Management System

Welcome to the new version of the OCULUS Document Management System

OCULUS is now Mobile and Tablet friendly and is compatible with most mobile devices such as iPads, Android Tablets and cell phones. Additionally, OCULUS 6 works with most modern browsers like Microsoft Edge, Microsoft Internet Explorer, Firefox, Google Chrome, Apple Safari, etc. There will be some slight variations in presentation for each of the browsers.

Even with these interface enhancements, most of the functionality is exactly the same as the previous version with some new additions.

Desktop Top Access

Login Page

The new login page looks like this. Enter you Username and Password and click the Login button to go to the Search page.

Login takes you to the familiar OCULUS SEARCH page, allowing you to query the system for documents using the same criteria as before:

The OCULUS v6 Search page is very reminiscent of previous version of OCULUS with all of the features and functions remaining familiar while being browser independent and mobile friendly. The Search page still utilizes:

• Catalogs

• Profiles/Properties

• Index Characteristics



All main OCULUS functions are located in the top navigation bar in the Desktop interface. Additional operations are nested in the drop-down menu. You’ll notice Search, Actions, Tools, Workflow (if available), Help and Log out. You will also see that it recognizes who you are.

The Tools displayed in this drop down will vary with the tools installed on the system and the user’s individual rights. The System Metrics is new in OCULUS v6 and the Workspace has also been upgraded in this version.

The Workflow Menu (if available) provides access to the workflow inbox and to the Workflow Administrative functions depending on the users access rights.

System Metrics

The system metrics page displays important information on the health and usage of the OCULUS system. The page is available to only to Administrators have been given sufficient rights.

Workspace

The workspace page has been completely redesigned in OCULUS v6. You can now easily change your password, change your email address that is used in OCULUS, see how many documents you have created, manage your recent documents, manage your checked-out documents, manage coversheets, manage your user archives and manage subscriptions.

DESKTOP INTEGRATION

The OCULUS Desktop Integration (ODI) has been upgraded as well. The integration with Microsoft Word, Excel and Outlook operates as it did in the previous version. However, the Desktop Integration now allows the selection of multiple files for insertion rather than only handling a single file at a time. This is accomplished from windows explorer and selecting multiple documents that you wish to insert into OCULUS, right click and select “Send To” OCULUS Enhanced Insert.

The ODI will request a username and password as it always has. You are presented with the standard ODI screen. Insert the indexing information and click insert. It will automatically advance to the next document after inserting.

You can see a list of the documents by selecting Window

Mobile/Tablet interface

The mobile interface maintains the same functionality as the desktop interface but utilizes the standard mobile look and feel. From a mobile device or table, the OCULUS v6 Login looks like this: [pic]

After logging in through the mobile device. The Search page is presented. Enter the search criteria and select Search.

Select the three dashes b eside the OCULUS logo in the upper left hand corner to access the OCULUS Operations menu.
