This safety program is intended to be a guideline that should be used to supplement a more comprehensive program. Non-routine Travel – any form, route, or distance that is outside of regular business activities and locations.General ExpectationsWhile [Company name] willingly takes on the liability of having non-CDL drivers operate vehicles on the company’s behalf, all precautions must be met to ensure any risk associated with operating on public roadways is mitigated to every extent possible. Never operate a vehicle while cognitively impaired. This includes impairment through use of alcohol, illegal substances, use of prescription or over-the-counter medicine, and illness. Do not drive when fatigued.Never operate a vehicle which is in unsafe condition. Inspect each vehicle before starting a journey.Drivers must drive at safe speeds for the road and weather conditions. Never exceed posted speed limits.Never engage in distracted driving. Pull to the side of the road to answer phone calls.Drivers and occupants must always utilize seat belts and as the manufacturer intended. Drivers must always yield to emergency vehicles. Never transport unauthorized individuals, including animals, other than service animals.Never transport firearms unauthorized by [COMPANY NAME].Always drive with headlights on.Ensure all equipment inside the cab of the vehicle is secure before departing a location.Never leave the vehicle in a place that may be unsafe to park.Never smoke in company owned vehicles.Never tamper with installed electronic devices nor install unauthorized devices.Drivers performing non-routine travel must have prior authorization to travel.Seat Belt PolicyIt is the policy of this company, and a condition of employment, that all employees who operate or ride in all company motorized vehicles, including work-function vehicles or equipment; or operate or ride in personal vehicles on company business, wear properly fasted and adjusted seat belts, shoulder harnesses and other such similar equipment when provided in the vehicle they are operating or riding in.Employees are required to report any malfunction of seat/shoulder belts, and to have this equipment repaired or replaced as soon as possible after its discovery.Any employee found operating or riding in a company vehicle, or personal vehicle on company business without proper use of seat belts/shoulder harnesses will be subject to disciplinary action, up to and including termination.“operating” and “riding in” are to be defined as occupying a moving vehicle.Speed PolicyAll employees driving on behalf of [COMPANY NAME] shall drive at a speed that is safe for the road conditions No employee shall exceed the posted speed limit, though construction, traffic, identified hazards and/or weather conditions may dictate a slower speed is necessary. Drivers are expected to be alert to changing conditions and drive at a speed that can be safely controlled.Use of Cell Phones and/or Other Electronic DevicesThe use of cell phones and other viewing devices to engage in texting, emailing, visual entertainment, or internet usage while driving is prohibited. Cell phone usage while driving may only be conducted with the use of a blue-tooth or other hands-free device. Initiating calls may only be conducted if the call can be made with a touch of a single button.All employees shall adhere to federal, state, local, and customer specific regulations regarding the use of cell phones. When a policy differs from our own, [COMPANY NAME] employees shall adhere to the most stringent policy.Key PolicyDrivers shall never leave keys in an unattended vehicle. Keys may be kept on person or in secure location when vehicle is not in use by the driver.Keys to [COMPANY NAME] fleet vehicles shall be turned in to the fleet manager after each use. Drivers who failure to turn keys in after each completed trip may have driving privileges revoked and may be subject to disciplinary action in accordance with the company’s disciplinary policy.Engine Idling PolicyEngine idling affects fuel consumption and the environment. For this reason, if the engine has been idling for more than five (5) minutes, turn the vehicle off. Turn the vehicle off if you will be entering a facility, as any visit can easily take longer than expected.Vehicle Inspection PolicyAll vehicles are expected to be maintained in a condition such that there not be need for emergency assistance through the course of regular driving functions. Prior to departure, employees shall complete an inspection of the vehicle. Visual inspection must include:Tires – ensue tire pressure is in acceptable range for all tiresOil level is adequateWasher fluid level is adequateWiper blades are in good condition and are functionalHeadlights are clean and both lights are functionalTaillights are clean and both lights are functionalTurn signals are functionalAll vehicles shall be periodically inspected by a mechanic or [COMPANY NAME] authorized individual. This inspection shall ensure vehicles are maintained in accordance with manufacturer specifications.Driver Requirements [COMPANY NAME] shall maintain a driver qualification file for each employee who may drive on behalf of [COMPANY NAME]. Any employee operating a vehicle on behalf of [COMPANY NAME] must have a current, valid driver’s license on file with [COMPANY NAME] and on their person at all times while operating the vehicle.Employees must submit an original Motor Vehicle Record (MVR) form each state the driver has held a license in over the past three (3) years.Any driver who maintains a CDL may have additional file requirements based on license class and vehicle types to be driven, as identified in the Commercial Driver Safety Program.If at any time the employee’s license is revoked or suspended, management must be notified and the employee immediately removed from the driving pool.Review of Driving RecordAt least annually, the driving record of each employee in the driving pool will be reviewed. Drivers found to have failed to report changes in their driving record may be subject to discipline up to and/or including termination.Changes subject to disciplinary action include, but are not limited to:Unreported citationsChanges in license status – new classification, revocation, suspensionFailing to report licensure in a new stateNew collisions or accidentsCitationsDrivers must notify [COMPANY NAME] within 2 days of any citation received. Under most circumstances, the driver shall be personally liable for renumeration of the citation. The company will not reimburse employees for the cost incurred of citations received as a direct result of the driver failing to take due caution and/or following the established applicable law. Accident/Incident ReportingIn the event of a vehicle collision or accident, the driver shall report the incident to appropriate authorities based on severity of collision.If no immediate medical attention is required, drivers shall contact their supervisor first, then law enforcement second. Law enforcement must be contacted for every accident.If immediate medical attention is required by emergency responders, drivers shall contact emergency medical services (EMS) first, which may include law enforcement. If the EMS does not contact law enforcement on driver’s behalf, the driver shall then contact law enforcement. After communicating with law enforcement, driver shall contact their supervisor.At no time should a driver admit guilt.Do not leave the scene until law enforcement has completed their investigationObtain a copy of any citation and the case number if plete an Accident/Incident report and submit to your supervisor as soon as possible.Employee AcknowledgementI hereby acknowledge receipt of the Driver’s Safety Program.I understand it is my responsibility to read, understand, and adhere to the rules and policies discussed in this program.
