This position works with other Board of Equalization staff for effective overall coordination of the activities of the Property Tax Department. Candidate must be able to perform the following essential job functions with or without reasonable accommodation.PERCENTAGE OF TIME SPENTDUTIES ESSENTIAL JOB FUNCTIONSSe FORMTEXT 45%Secretarial/Communications Support FORMTEXT Provides secretarial support to the Deputy Director. Reviews incoming correspondence and screens, redirects or responds to nontechnical telephone calls to the Deputy Director, and independently responds or routes to staff based on program area. Prepares and signs correspondence in the absence of the Property Tax Deputy Director.Independently composes and types correspondence, reviews outgoing correspondence prepared by other staff for signature by a Division Chief, Deputy Director, or Executive Director for consistency with Board policy and procedures, as well as format, grammatical construction, and typographical errors; maintains Deputy Director's appointment calendar and sets meetings with Board staff, county assessors, state assessees, personnel of other state agencies, taxpayers, etc.; makes Deputy Director's travel arrangements and prepares monthly travel expense claims. Maintains the Department's executive correspondence files, current petitions for reassessment files, Board Meeting files and legislative files. FORMTEXT 20%Administrative Support FORMTEXT Maintains the Deputy Director working schedule and calendar. Maintains a control system which includes logging and tracking assignments in the Deputy Director's office. This involves analyzing incoming correspondence and assigning to appropriate division staff, prioritizing assignments, and establishing deadlines. Reviews Department's Monthly Activity Reports, coordinating and meeting with Property Taxes personnel, in lieu of the Deputy Director, to meet deadlines for submission to the Executive Director; as well as ensuring that Property Taxes Administration assignments are met. Develops and maintains office policies and procedures and is responsible for setting and meeting daily and long-term deadlines for assignments. FORMTEXT 15%Legislative Bill Maintenance FORMTEXT Establishes and maintains legislative files on bills affecting Property Taxes programs including review of bills to ascertain impact, if any, on Property Taxes activities; setting up files and control cards on each bill and determining to whom and then distributing bills to Division Chiefs and staff impacted; and assigning and maintaining a follow-up system on bill analyses prepared by the Board's Legislative Unit for staff review prior to Deputy Director's signature. FORMTEXT 15% FORMTEXT Researches issues with staff at Deputy Director's request. Typically these issues are related to matters to be scheduled for board action. Determines consistency with past actions, and makes recommendation to Deputy Director as to changes necessary before scheduling for Board action. FORMTEXT ?????
