Two-Factor Authentication for Office 365 and Remote AccessBeginning on May 21st, the university will require two-factor authentication (2FA) using Duo for all members of the HIPAA workforce when they access the university’s Office 365 services, including email. The 2FA requirement will expand to include off-campus access to network shares and remote desktop by end of June as detailed below. Why are we requiring 2FA?Phishers compromise university accounts every day. By requiring 2FA, we make it harder for a malicious individual to impersonate other users. When are we implementing 2FA?On May 21, 2018, we are implementing 2FA for all Office 365 services (e.g., OneDrive, Outlook, SharePoint, Skype). On or after this day, when you sign in to Office 365, you will be required to use Duo. You will be prompted to use Duo every 30 days, and when you use a different workstation (e.g., desktop, laptop, phone) or browser. On May 31, 2018, we will require the use of our Duo-authenticated VPN service (2FA VPN) to remotely access data in BU Restricted Use network storage drives (RU-GPNAS). This change will not impact access to your network storage drive, when on campus using the wired or wireless network. Instructions for using the 2FA VPN are provided below. Finally, on June 28, 2018, we will require the use of our 2FA VPN service to remotely access HIPAA workstations. Therefore, if you currently access your HIPAA workstation remotely you will need to use the 2FA VPN after this date. How do I use Duo?If you have logged into BU Works you are ready, but if you have not, follow these steps: Download the “Duo Mobile” app to your phone from the Google Play or Apple store, Follow this guidance (), and Login to BU Works () to establish a Duo account. Will using two-factor change how I read email? Yes, we recommend using the Outlook app because we found several issues when using other mail apps. You can find more details here: . How do I use the 2FA VPN?After you have established your Duo account following the instructions above, follow this guidance on using the 2FA VPN: questions? If you have trouble with any of these steps, contact ithelp@bu.edu. For any other questions, contact your HIPAA Contact or your HIPAA Security Officer, David Corbett, at corbettd@bu.edu. ................
