Recording CPD Hours

The following information is to assist you to accurately record relevant CPD activities on your Recredentialling Template. The COGEN Board have now ratified 26 categories of professional and clinical activities, each with a unique identifying code, for formal and informal ways in which to gain your recredentialling hours. Next to each CPD code is an explanation of the category and the evidence required to substantiate your claim. To ensure that ACGEN’s and ACGEEN’s maintain their knowledge and skills through a broad range of professional development and clinical activities, there are a maximum number of CPD hours that can be claimed over each 12month recredentialling period for each CPD category. This allows for diversity for those people who are new ACGEN’s/ACGEEN’s as well as the more experienced ACGEN’s/ACGEEN’s.

You will need to record your CPD activities on the Recredentialling Template that is now available as an electronic record for your convenience.

For example:

1. When you attend a conference, record the code, date and details of the conference, including the relevance of the conference to your GE nursing practice on your Recredentialing Template. Complete all entries relevant to the Code in the same box regardless of how many you enter.

2. The Code is in the first box and the maximum number of hours that can be claimed will be in the last box. Review of your activity will be assessed against the hours you claim and the maximum available.

Perhaps you were presenting a paper at a conference/seminar/workshop, you are now able to claim 2hrs of preparation time combined with the presentation time (see notes below). You may perhaps be asked to repeat that presentation a month later at another meeting and this would give you another chance to gain the presentation time only for Categories B & W. You may present further presentations on new and totally different topics during the year, but you would not be able to claim over 6 hrs in total, using this process once the maximum hours are allocated.

**Following review of many other credentialing nursing groups, it has been determined that a Self-Reflection of the 12mths immediately prior to submission will now be required commencing in 2017. This will be a one-page reflection (maximum of 750 words) of your clinical practice, knowledge, skills, mentoring, education to others, self-improvement and commitment to the field of gastroenterology. Please do not just rehash what is in the Recredentialing Template – this is about you and your personal and professional growth. This will be used to assist the COGEN Board determine who may be eligible for the Robyn Harvey Recredentialed Nurse of the Year. A refund of your application fee will be awarded to the chosen recipient.

Each year, the COGEN President will randomly audit at least 2 applications. If you are to be audited, you will be formally requested, via email, to submit copies of the evidence as provided by yourself on the Recredentialing Template. The COGEN Board may also be able to verify or confirm activities on your behalf. Your inability to supply the stated supporting documentation could result in a denial of Recredentialling status. Board members of both COGEN and GENCA are not exempt from this auditing process.

NO evidence is to be submitted in the first instance however, this evidence should be notated for the Board so it is understood what can be provided should an audit be necessary.

Incomplete or inappropriate applications will be returned to the sender. Upon receipt of your completed application, the COGEN President/secretariat will send a letter or email acknowledging such receipt.

A four (4) week period is to be allowed for marking of these applications once the late closing date has passed.

Applications MUST be mailed prior to close of business on July 1st in the application year. It is now earlier due to change in AGW scheduling.

Late applications will incur an additional fee as listed below. Late applications MUST be mailed prior to close of business on August 1st in the application year. Should candidates not apply for recredential status by the late due date their ACGEN status will automatically become null and void as at that date unless prior discussion (in writing) has been had with the COGEN President.

Notification of a successful application will be via email and presentation of certificates will be conducted during the award ceremony at AGW of that same year. Names of successful candidates will be published in the following JGENCA. Please circle the appropriate answer on application if you shall be attending AGW otherwise, certificates shall be mailed to the candidate as soon as possible following the award ceremony at AGW.

Recredentialling Fees

GENCA Members by CPD hours $ 150

Non-GENCA member by CPD hours $ 300

GENCA member by exam $ 250

Non GENCA member by exam $ 400

Late application fee $ 100

Refund Policy

Should an application be deemed unsuccessful after review of the submitted evidence, the application fee will be deemed to be non-refundable.

At this point of time, should the applicant wish to sit the examination at the next available examination during AGW of the same year of recredential, they will be able to do so by paying the additional amount as per the schedule in this handbook ($100).

Credential Duration

The credential status is valid for 3 (three) years. To maintain this status, the ACGEN or ACGEEN will be required to accumulate a minimum of 20 Continuing Professional Development Hours (CPD) per each12 month period starting June 1 to May 31st of the respective years.

The credential will expire on 31st of August of the year of recredential.

Some circumstances may prevent you from attaining all of your hours in the time given. Should this be an issue, please contact the COGEN President for a hold during this time and an extension to be provided at the end of the credentialing period for such events as maternity, sick/family leave, unemployment, OS travel (extended period) etc.

In Summary

1. You must accumulate a minimum of 20 Gastroenterology (GE) specific Continuing Professional Development (CPD) hours per 12mth period.

2. Refer to the COGEN CPD Codes (in this booklet) for details of ratified CPD activities and the maximum number of CPD hours that you can claim in any 12mth period. This is updated yearly following AGW.

3. The 12mth Recredentialling period is June 1st – May 31st of each year.

4. Electronically record your CPD activities using the Recredentialling Template.

5. When applying for recredentialling, you must submit the completed templates and summary sheet in hard copy together with the appropriate application forms and your payment. These forms are found in the Recredentialling Template Booklet.

6. Each year, the COGEN President will randomly audit some applications. Your inability to supply the supporting documentation could result in a denial of recredential status.

7. If unsuccessful in recredentialling by CPD hours, applicants may consider sitting for the examination during AGW of the same year by paying the additional fee. Notification of this intent must be advised to the COGEN President at the earliest time possible.

8. Your recredential will expire on August 31st of the year you reapply.

9. Contact the COGEN President if, during your 3yr period you are not employed due to sickness, maternity leave, family situations, change of jobs/state and you find you are unable to gather your hours for a particular time so that a cessation of this period can be noted in your records and an arrangement can be made as to when you need to recommence your recredentialling time.

NOTE: You cannot claim CPD hours for employer-related annual mandatory competencies such as Basic Life Support/Drug Calculations/Mandatory Education Packages or any other activities that are required for national registration.

Recredentialling is based on activities that are hours over and above those however, should these activities be relevant to your clinical practice for your 20hrs, and they are GE specific, then they are able to be transcribed for your recredentialling also.
