The IT department replaced its antivirus software with Microsoft Forefront Endpoint Protection 2010, included with the borough’s Microsoft Enterprise Agreement, to net a ?30,000 (about U.S.$48,600) annual savings. With the switch, the IT service also halved security incident remediation time and increased the number of IT staff able to help with security problems.540385883158000Business NeedsThe London Borough of Newham has 10,000 employees. The central IT team manages PCs for half of these employees and is always looking for tools to help it be more efficient. In 2011, government funding was reduced, which required that Newham cut its budget by ?75 million (about U.S.$122 million) over four years. The IT staff immediately began scrutinizing every expense. “We immediately targeted our antivirus software contract, which was costing in excess of ?30,000 [approximately U.S.$48,600] a year,” says Andrew Woodgate, Principal Systems Support Analyst for the London Borough of Newham. “In addition to being expensive, it was difficult to learn. Only four people knew how to use it, and they could be a bottleneck to resolving antivirus problems.” Remediating infected PCs involved sending a technician to the PC to delete its contents and rebuild it.Employees were idled while their PCs were being repaired, and the time that the IT staff spent on security problems was time that it could not spend on other needed projects. “Additionally, the existing antivirus software was resource-hungry and slowed down employee PCs in the morning when it was scanning for viruses,” Woodgate says. “This affected worker productivity and satisfaction.”SolutionMost of the 5,000 desktop and portable computers under the IT staff’s care run the Windows XP operating system; about 250 computers run the Windows 7 operating system. Newham has been a longtime user of Microsoft desktop management software and, in February 2010, it upgraded to Microsoft System Center Configuration Manager 2007 R2 to deploy Windows 7.When the cost-cutting requirement came up, Newham conferred with its local Microsoft representatives, who pointed out that Microsoft Forefront Endpoint Protection 2010 was included in the borough’s Microsoft Enterprise Agreement. Forefront Endpoint Protection builds on System Center Configuration Manager 2007 R2 and R3 to allow customers to use their existing client management infrastructure to deploy and manage endpoint protection. “We originally asked our antivirus supplier for help in reducing our costs, but it couldn’t cut costs as much as the savings we would get by switching to Forefront Endpoint Protection,” says Clifton Melville, Senior Systems Support Analyst for the London Borough of Newham. “We were also under a tight timetable to deploy a new solution because our previous antivirus license was about to run out.” To get early access to and guidance on the software, Newham participated in the Microsoft Community Evaluation Program for Forefront Endpoint Protection. Newham deployed the new security software to nearly 4,500 PCs between December 2010 and January 2011 in a phased six-week rollout with no impact to the user community. The remaining PCs are older systems that cannot run the software.Because Forefront Endpoint Protection is integrated with System Center Configuration Manager, the Newham IT staff now has a single console for managing and viewing PC health. “Every morning, I look at the Forefront Endpoint Protection console, which shows me if any machines have been infected,” Melville says. “Most of the time, the viruses have already been detected and removed. If a PC needs to be rebooted, I instruct the owner to do so. Forefront Endpoint Protection also sends a report to our service desk, which can now compile a history of antivirus problems.” An additional benefit for the IT team is that, for the first time, they can supply weekly PC health reports to management, thus letting managers know how many machines were infected and providing an overall PC health report. BenefitsWith its new, integrated, PC management and security infrastructure, the London Borough of Newham has been able to achieve the following benefits:Antivirus licensing savings of ?30,000 a year. “By switching to Forefront Endpoint Protection, we’re saving ?30,000 [U.S.$48,600] a year,” Woodgate says. “If we didn’t save this money, we would have had to consider staff reductions, which would degrade the level of service we offer our users.”Server savings. When the IT staff upgraded to System Center Configuration Manager 2007 R2, Newham was able to eliminate six PC management servers, which meant an overall reduction in lease costs. System Center Configuration Manager 2007 R2 requires only two servers: one physical and one virtual.Desktop security time halved. The Newham IT staff can now remediate PC security issues twice as fast. “We’re spending half the amount of time on security issues today, which allows our staff to focus on other issues, such as upgrading to Microsoft Exchange Server 2010,” Melville says. “We have far more projects than resources, so every efficiency helps.”Ease of use expands staff available to help with security. Melville adds that Forefront Endpoint Protection is much easier to use than the previous antivirus software, which has enabled the IT staff to expand the number of people who are able to help with security. “Previously, only four people knew how to administer antivirus software; now that we handle security through the System Center Configuration Manager console, we’ve been able to expand the number of antivirus-trained people,” Melville says. “This gives us broader and better protection. We are also planning to train our support center staff to use it, so they can provide better first-level support.” More responsive PCs. Lastly, Newham has observed that Forefront Endpoint Protection is less resource-demanding than the previous antivirus software. “PCs are quicker in the morning when they’re running the virus scan,” Woodgate says. “Employees are not greeted by slow PCs as they begin their workday.” ................
