|JOB DESCRIPTION |Job Overview – |
| |The VP Finance position is elected by chapter membership. This position manages the finances of the chapter and |
| |acts as the Chief Financial Officer. In addition to setting and monitoring finance policies and procedures and |
| |driving the annual chapter budgeting process, this position manages a paid bookkeeper who handles vendor |
| |payments, customer invoicing, expense reimbursements, deposits and monthly reconciliations. This position is a |
| |member of the Executive Committee and reports to the President. |

| |Job Details – Individually or through leadership of volunteers: |
| |Responsible for actively participating in all board functions which include developing strategic initiatives, |
| |overseeing the execution of those initiatives, attending board and committee meetings and in general, conducting |
| |PMI Portland business in a professional manner. The position is critical for supporting the chapter’s |
| |organizational requirements and sustainability of the chapter. |
| |. Specifies duties include: |
| |Maintain and manage the financial portfolio, including but not limited to the collection of chapter dues from |
| |PMI, guest payments for chapter meetings or special events and the payment of all chapter bills in accordance |
| |with chapter policies in a timely manner. |
| |Establish and maintain all required chapter bank accounts and/or similar financial transactions; arrange for |
| |officer signatures as required. |
| |Provide financial reporting regarding the state of finances and chapter activities to chapter membership, board |
| |and executive level volunteer leaders on a monthly basis (board meetings). |
| |Develop an annual operating budget and financial statement to be included in the annual application for charter |
| |renewal. |
| |Ensure the chapter has reviewed and reported required tax filings. |
| |Recommend improvements in the financial process to the board. |
| |Establish and maintain financial operational processes to ensure continuity of chapter operations and define, |
| |document and maintain chapter finance and travel policy. |
| |Maintain the annual budget with supporting portfolio assumptions. |
| |Contribute to financial planning/goal setting, investing, forecasting and budgeting for the chapter. |
| |Preparation of the annual financial statements and distribute/communicate financial section of the annual report |
| |to chapter membership. |
| |Provide timely information to independent auditors as required. |
| |Keep an up to date inventory of all the goods and assets of the chapter. |
| |Process all PMI and government required payments. |
| |Ensure maintenance and storage of all historic financial documents. |
| |Serve as liaison with PMI Global Operations Center (GOC) on financial matters. |
| |Prepare financial guidelines and procedures for the chapter along with the board of directors. |
| |Analyze cost impact and income benefits of all activities proposed by the board of directors. |
| |Review any chapter contract, agreement and insurance documents. |
| |Distribute information, materials and/or fees received from the PMI GOC to appropriate officers in a timely |
| |manner. |
| |Confirm and check bank accounts monthly and prepare budget to actual, balance sheet and other necessary financial|
| |statements to present to the board of directors each month. |
| |Monitor the chapter PO Box and distribute information to the respective board member. |
| |Develop and implement succession and transition plan for the Finance portfolio. |
| |Seek to promote and mentor chapter members that desire to volunteer as a way to develop/strengthen their project |
| |management skills. |
| |Follow Chapter bylaws, policies and procedures; strive to fulfill the Chapter’s mission, values, and strategic |
| |plans. |

|REQUIRED SKILLS/QUALIFICATIONS |Knowledge of Financial Planning, Generally Accepted Accounting Principles (GAAP), analytical thinking and legal |

| |The ability to delegate to others yet provides support. |
| |A strong desire to make a difference in the PMI community is essential. |
| |Active membership in-good-standing in both PMI-Portland and PMI Global is required. |
| |PMP certification is preferred. |
