Electronic Filing Quarterly Conference FormsQC= Quarterly ConferenceEvery church will need to access two sites. Every church has logins and initial passwords for these sites. . This site is used by the Administrator and the pastors only.This site will be used for acquiring the blank QC workbook and for uploading the QC workbook when it is completed every quarter.The other login is for Office 365Portal. or portal.loginThis site will be used by the Administrator and the pastors only.This site will be used to access one drive, share the QC workbook to the responsible persons via email, create the QC folder for reports. Other applications are available for use under this site.Everyone else will be able to update the QC workbook via an emailed link that will be sent out by either the Administrator, Quarterly Conference Secretary, or Designee.Administrators, Quarterly Conference Secretary, Designee and PastorsPLEASE CHANGE YOUR INITIAL PASSWORDS!!!!! Make this the first thing you do when you receive your logins.Try to choose something that is easy to remember. Passwords need to include an uppercase, lowercase, numbers and a special character (.,!*$% are examples of special characters) and be at least 8 characters long to have a strong password that is not easily cracked.OverviewFor the Administrator or Quarterly Conference Secretary or DesigneeLogin in to the portal, click on Records (at the top). Click on “Get started”. Passwords are case sensitive. If you haven’t changed your password, click on the link to change password. Remember the password guidelines given on first page.Once logged in, download a Blank QC sheet for the individual church. (Click on the Import File link at top, a box will appear and a link will show, “Excel Upload, Need a Quarterly Input file?” Click on the link. A QC workbook will download to your device).Once downloaded, open and setup the QC workbook adding any additional sheets you may need. (The auditor suggested that everyone create two additional sheets for class leaders.) Once the workbook is setup and sent out, you will not be able to delete sheets from the workbook so make sure it is right. If you have to make corrections (add sheets or delete sheets), you will have to start over from scratch!!!! Next, fill out top portion of the Statistical Sheet. (When you fill out the top portion of the Statistical Sheet, all of the other sheet headings will also be completed. Many of the sheets in the workbook are linked. Information from one workbook may be the input to another workbook. Many of the financial fields will automatically calculate as well.)Delete Macro buttons at the top and save the workbook.Login in to the church’s Office 365 account. (portal.) First time logging in, will require you to change your password. So change the password and login again. Remember the password logins on 1st page.Create Quarterly Conference Reports Folder on One Drive.Upload QC workbook into church’s one drive account and the folder just created for QC Reports.Steps 2 -7 will only be performed at the beginning of the Conference Year. These steps are completed only once. The remaining steps will be repeated every quarter.Share the QC workbook via email to those who are amenable to QC. When you share, please select the option that allows recipients to make edits.For those who are amenable to the Quarterly ConferenceThose responsible for reports will go to their email, find the link to the workbook, and will fill out the sheets that they are responsible for in the workbook. Many of the sheets in the workbook are linked. Information from one workbook may be the input to another workbook. Many of the financial fields will automatically calculate as well. Please make sure that your information is correct. Your report could be input for other reports. (This is can be seen especially between the trustee, steward and pastor’s reports.) When you close the workbook, the work should automatically save to the workbook on the church’s one drive.For the Administrator or Quarterly Conference Secretary or DesigneeLogin into office 365 and check the QC workbook. Ensure that all forms are completed. All reports should be completed two weeks before the quarterly conference meeting is held.Notify Pastor that forms have been completed.For the PastorView all reports for completeness and accuracy.Share QC workbook with the Presiding Elder. Please select the share option that allows for view or review only.Once Presiding Elder has reviewed and confirms that reports are ready for upload, the Pastor will login to the portal.From the dashboard, click on the import file link.The pastor’s name will go into the Name section, (this is your electronic signature for the workbook)Select your church’s name in the drop down.Select your file and upload your file.The QC workbook will be mailed to the General Secretary and a copy will be sent to the Presiding Elder. ................
