The office is located in Independence, Iowa.Reports to: Program DirectorType of position: Part-time, hourly (.25 FTE)Purpose: BDF coordinates the local Early Childhood Iowa Area (ECI), Community Partnership for Protecting Children (CPPC), and the Decategorization (Decat) initiatives in Buchanan, Delaware and Fayette Counties. These initiatives engage local community members and stakeholders in early care, health, and education in collaborative efforts to improve the lives of children and their families.Overall Function:The administrative assistant, under the direction of the Program Director, supports the programs and initiatives of BDF. This position enhances our ability to support communities, service providers, schools, contractors and service consumers. This position will be a representative of BDF and will be responsible for maintaining an organized professional office. Necessary Skills and Abilities:Applicant must be able to:Work independently as well as part of a team.Present a business image to persons who have diverse interests and ideas.General office duties, including Microsoft Office and Google applications.Travel and attend meetings as requested, including some evening meetingsUse personal automobile and have liability and other automobile insurance as required by municate effectively with groups and individuals with diverse opinions.Exercise a high degree of initiative, judgement, discretion, and decision making to achieve objectives.Knowledge of the principles of grant writing and development sufficient to work effectively with service providers, community organizations, and stakeholders if helpful.Essential Duties and Responsibilities include, but are not limited to:Assist in coordination of work group and community meetings.Coordinate correspondence to work group participants, including agendas and minutes of meetings.Prepare reports, invoices and supporting documentation as needed.Gather and update agency program information for the community plan and resource directories.Update and maintain the BDF websiteAssist with the creation and distribution of the BDF newsletter, press releases and social media activity.Answer the phone and handle questions and inquiries.Inventory of office supplies and ordering of office supplies.Maintain filing system for all current and past contracts, including information on other organizations relevant to programs supported by BDF. Maintain email and mailing systems.Maintain central calendar showing all meetings, reporting deadlines, and appointments.Assist the Direction with coordination of materials for board, advisory, work group and supervisory committee meetings and mail/email.Schedule and coordinate location plans for board, advisory, work group and supervisory committee meetings.Demonstrate a professional attitude, appearance and effective communication skills with the public and the board.Occasionally attend meetings outside the BDF office.Education and Experience:High school diploma required.Experience in the fields of community services, health care administration, non-profit administration, community development or public administration preferred.Experience in facilitating and supporting community coalitions and community decision-making processes is desired but not required.Strong proficiency in Microsoft Office applications, including Word, Excel, Power Point and Publisher, as well as proficiency in Google applications, including Docs, Sheets, Drive and Sites. Proficiency with social media marketing including website maintenance.Ability to speak and write clearly and concisely for a broad audience.Ability to analyze, think critically, exercise sound judgement, and balance a variety of perspectives within a politically sensitive environment.Experience working with people with diverse visions and bringing them to common work.Knowledge of the early childhood and early child welfare systems in Iowa. ................
